The History of Microsoft Dynamics
Microsoft Dynamics is a software application that is used in the business enterprises as a line of enterprise resource planning and customer relationship management. The Microsoft Dynamics ERP as an enterprise resource planning product is an initiative meant for the middle size organizations, subsidiaries and divisions of major organizations. Microsoft Dynamic ERP is composed of;
- Microsoft Dynamics GP which was initially called the Great Plains Software
- Microsoft Dynamics NAV, which was the initial Navision.
- Microsoft Dynamics SLinitially called Solomon IV.
- Microsoft Dynamics AX, initially known as the Axapta.
The Dynamic CRM 2011 is remarked for being the Microsoft’s recent Customer Relationship Management application software which is geared towards the small to medium-sized business markets (Beckner, 2017). With the increasing technological innovations and inventions, the hardware platforms upon which Microsoft Dynamics can be run have evolved from the initial stand along computers to laptops, palmtops and current into simple electronic devices such and the iPhone. For the purpose of this usability evaluation on the effectiveness of Microsoft Dynamics, four participants were used. Two out of the four people used as the sample population were business operators while the other two were clients. All these individuals shared characteristics of using the Microsoft Dynamics in their operations of selling, buying, and window shopping for items that are available in the markets.
The Range of ERP Systems
Due to the changing needs of business and the improvement of technology, Microsoft Corporation a tech giant founded by Bill Gates decided to venture into area of providing business solutions to various companies, Microsoft had a product called the Microsoft business solutions which they later called the Microsoft Dynamics in 2002 when they acquired Navision to become part of the Microsoft business solutions. Microsoft Dynamics solutions were meant to be easy to use and were to be tailored to needs of every organization; the Microsoft Dynamics solutions ensure both the organization and its customers are happy when business operations are conducted using this solution. Microsoft Dynamics family consist a range of the following ERP systems; the first is the Microsoft Dynamics NAV which was formerly known as Navision, Microsoft Dynamics CRM, Microsoft Dynamics GP which was formerly referred to as GP and finally the Microsoft Dynamics AX knew as Axapta (Beckner, McFarland, & Walter de Gruyter Inc, 2017).
The emergence of Microsoft Dynamics NAV started when a group of three college student in Denmark came up with a little and simple system of accounting. What was a simple accounting system became an Enterprise Resource Planning (ERP) in 1994 and after one year a Windows version of the ERP was produced. In 2002 Navision was acquired by Microsoft Corporation to become part of what was then Microsoft Business Solutions before it was later renamed to Microsoft Dynamics NAV, Microsoft Dynamics NAV has evolved from Navision 3.10 to the current version which was released this year which is Microsoft Dynamics NAV 2016. It is equipped with modules such as finance, sales, asset, and inventory among others to help a mid-sized company to manage their business (Brummel, 2010).
The second ERP is the Microsoft Dynamics CRM, the first version of the Dynamics CRM was released in 2001 when Microsoft Corporation acquired iCommunicate a small company which was based on Customer Relationship Management (CRM), with the ten employees Microsoft acquired a web-based CRM application was formed with an email campaign, and contact management was developed. It has evolved through various versions since 2003 where currently we have the latest version released this year the Microsoft Dynamics CRM 2016 is a customer relationship management solution that seeks to improves sales, ensure marketing efficiency through campaign and business intelligence, it has also helped organization to make the right decisions before they can engage in any activities (Brummel, 2017).
Target Market and Users
Both the Microsoft Dynamics AX and the Dynamics GP are not as popular as the Dynamics CRM and Dynamics NAV. The Microsoft Dynamics AX was previously owned by a Danish company Damgaard but with a different name Axapta. Damgaard had already merged with Navision in 2002 when Microsoft acquired both of them; Dynamics AX current versions are well equipped in manufacturing and distributing companies because it can serve customers from different countries and also multiple currencies and language support. Microsoft Dynamics GP like all the other three Microsoft Dynamics ERP family was acquired from another company by Microsoft in 2000 from Great Plains Software, Microsoft have added a lot of improved functionality from the initial features of sales, order processing just to name a few, the current version of Microsoft Dynamics GP 2016 have been equipped with IT management features, Business intelligence and compliance features (Brummel, Studebaker, & Studebaker, 2017).
The main intended purpose of the Microsoft Dynamics NAV ERP is to be a company or an organization perform budgeting, analysis and reporting of the same; it also ensures multiple site operations which require real-time access to information by consolidating data from all the location. The main intended purpose for Microsoft Dynamics CRM, CRM stands for Customer Relationship Management it was intended to polish up the process of business so as to increase the profitability in service division and sales, CRM helps in ensuring that campaigns are successful through customer emails. CRM provides centralized customer information and also a responsive customer services. Microsoft Dynamics AX intended purpose was manufacturing, public sector and retail companies to support operational and administrative processes; it has capabilities such as HRM, supply chain management, BI among others (Buxton, 2013). Finally, the fourth ERP which is the Microsoft Dynamics GP was developed specifically for accounting needs for small and middle-sized companies; it helps in controlling inventory, finance, and other business operations.
The CRM system allows managers to see tasks two weeks ahead of schedule so they can allocate resources accordingly.
There are a lot of benefits in using the Microsoft Dynamic CRM system. If I were a patient of Evolution Home Healthcare I would experience more timely deliveries of my medication, few if any stock outs which means I will never have to worry that my prescription will be on back order, and there will be better tracking of my orders and future orders. I will never have to be reminded that my prescription will need to be refilled, because Evolution will send me reminders. I will have an easier time getting my prescriptions due to the fact that Evolutions drivers will drop them off wherever I need them to. These are a few of the benefits that I will receive from the new Microsoft Dynamics CRM system (Buxton, 2017).
Evaluation Methodology
Along with the CRM system there are four other systems that Microsoft uses as part of their ERP (Enterprise Resource Planning). The four systems are supply chain management, manufacturing resource planning, finance resource management, and human resource management. Evolution home healthcare has already implemented CRM into their systems and are using them, but would any of the other four systems be good for Evolution to use as well? Supply chain management would be a beneficial system for Evolution because they will be able to track the prescriptions from start to finish that are being delivered to their patients. They will have the ability to monitor how the prescriptions are being produced. They will have more information for their patients because they will be involved in the entire process before the prescriptions are delivered to their facility then to the patient’s home. The second system, Manufacture Resource Planning would not be a beneficial system for Evolution home healthcare because they do not manufacture the product in their facility (Chow et al., 2017).
All the Microsoft Dynamics ERP’s have different prices which are dependency on the type of license, number of users and also the type of the ERP. Microsoft Dynamics NAV price range is between $8-$250K where it supports users between 5 and 750 users; Dynamics GP is slightly lower in a price range between $10-$100K supporting a user range between 25 and 500. Finally the pricing for Microsoft Dynamics AX I slightly higher than the ERP where it ranges between $20k and $750k but supports a higher number of users between 5 and 2500 users. Microsoft Dynamics have both users and Developers license, but a developer license is more costly than a users’ license (Deforche & Saelen, 2014).
All the Microsoft Dynamics family products have almost the same Technical requirements; they are supported by all the versions of the Windows version of operating system, the Microsoft Dynamics family also requires a web browser to run their web client features such as IE, Apple Safari, Google Chrome, and Mozilla Firefox among others. They also require a working memory of 2 GB RAM and a hard disk space of 200MB; all the Microsoft Dynamics family also requires the technical support of Microsoft SQL Server Database Engine, Analysis services and reporting services. Finally, they require Microsoft Office products from Ms. Word to help in editing layouts and Ms. Excel to help in tabulation and also reporting (Demiliani, 2017).
User Tasks and Evaluation Procedure
The aim of carrying out the usability evaluation on Microsoft Dynamics CRM is to assess and ensure that there is (in practice), increased and efficient supply chain visibility and business processes streamlining for both business operates and the intended users.
