The primary objective of Lend me your Ears Production is to arrange an event for raising money in quest of doing charity for the orphan children of a renowned orphanage named Barnardo’s Homes and Orphanages. This particular non-profit organization runs around hundred homes in the mission of showing skills and talents of orphan children. However, Lend me your Ears Production has decided to give an honest effort for enhancement of the talents and skills those orphans. Therefore, the organization has decided to expand their hands towards Barnardo’s by providing some economic support to the service providers. However, a music event is decided to arrange for gathering maximum 500 audiences. Music is the source of refreshment amidst this hectic busy professional life schedule. The role of a responsible operation manager is to plan and organize the entire music event successfully by keeping in mind the major operation issues such as risk management, supply chain, waste, CSR and so on.
Lend me your Ears Production has decided to arrange a music event in The royal Park situated in the Old Police House, Hyde Park, London, W22UH. The primary objective of this specific organization is to organize the event in a well-known place where audience would not have to face any difficulties to watch the program (Jones 2014). The royal park is one of the most popular places of London, where people tend to visit at the weekend for spending their leisure. Therefore, this venue would be convenient for the most of the viewers residing in London. Music is the source of energy that renders immense positive vibrant in the mind of an individual. Therefore, the organizers have decided to arrange a music event in this specific location to draw the attention of large number of audience.
The organizers while arranging the entire event have focused to book the location in weekend so that people can enjoy the event by relishing its essence. Working professionals lead a very hectic lifestyle on weekdays (Gamble and Gilmore 2013). As a result, the organizers would not be able to draw the attention of viewers effectively if they arrange the program on weekdays.
Especially young generation from the age group of 20 to 35 years is the primary target audience. The singers who would perform in this very specific project are from young rising stars. They would like to perform along with singing songs. Therefore, targeting young generation would be very much effective for making the entire event successful (Vila-López and Rodríguez-Molina 2013). In addition, as per geographical boundaries, the audience of London is primarily targeted. This specific event will be located at Old Police House, London, W22UH. As the organizers would make the arrangement of 500 audiences only, London is the only city where the target market would be selected. It is undeniable that the entire event is dedicated to the people of different geographical backgrounds and attitudes belonging to various cultures and religions. The operation manager would plan the entire event in such a way that people belonging to different psychological backgrounds and attitudes would not face challenges after being part of the program (Hitt, Ireland and Hoskisson 2012). People having average cost of income status can easily afford the program.
Target audience
Audience would get the accessibility of tickets one week before the event from the ticken counter of the royal park. Interested viewers can collect tickets from online as well. We have hired five reputed singers from Hollywood music industry for entertaining the audience for five hours (Bladen et al. 2012). Besides, some renowned personalities belonging to political sector would deliver their speech in this event about the importance of charity for developing society. All the guests would be honored at the very beginning of event. They will be given cab facilities for availing the location. Lend me your Ears Production will make the entire transport system easier so that viewers do not have to face challenges in going back to home after enjoying the program. Service providers would be very much flexible in expanding their hands for any kind of co-operation to the viewers (Manners, Saayman and Kruger 2014). As a result, the audience would not have to face challenges after entering at the location.

In order to operate an entire music industry the business authority should have legal license. Lend me your Ears Production, before arranging the program or event should be concerned about the legal issues. With the help of data protection act, right to information act the operation manager should not disclose any kind of private information of the organization. In addition, by implementing licensing act the organization would be able to conduct the program until late night (Okolo-Kulak 2015). This very specific act ensures that human in general should have the freedom of enjoying late night refreshment (Lee and Goldblatt 2012). Apart from those regulations, Lend me your Ears Production should apply anti-discrimination act within their organization. With the help of this very specific act and regulation, operation manager should not show biased attitude towards gender.
Accessibility
Risk management is considered as one of the most important essence of event management plans. Before planning a particular program, event managers have to make in-depth risk analysis about the predictable uncertainties (Brown 2014). However, while planning a live music event the operation manager has to make an in-depth analysis about the expected risks and these are as follows:
- Making additional sitting arrangement for overcoming the overflow of crowd
- Maintaining an effective communication with all the supply chain executives for making the entire inbound and outbound logistics systematic
- Assuring the sustainability of location, otherwise the entire plan of music events would become demolished
- Involving a professional technician constantly for overcoming any kind of sudden technological barrier
- Keeping a constant communication with the guests, sponsors and community leaders for the assurance of their presence
- Taking a confirmation of singers for making the entire event successful
The security of public and controlling the wave of crowd at the day of event is a matter of big challenge in a music event (Berridge 2012). People are from various geographical backgrounds and psychological attitudes. The service providers would have to take serious care about every single public who would attend the program. The implementation of health and safety act is evident based on which the organizer would take the responsibility of public facing any kind of heath issue at the event venue (Luonila and Johansson 2015). In addition, the internal stakeholders directly associated with the organization should get the security of their health issue. As a result, the service providers would like to give their best effort for providing effective services for making the entire music event successful.
Based on the supply chain management the success of event is highly dependent. From inbound logistic to the entire outbound logistic the entire process of supply chain would have to be very much systematic. People of various geographical backgrounds and attitudes are associated with the music events (Andersson, Jutbring and Lundberg 2013). They may not be flexible in maintaining effective interaction with each other. Therefore, they fail to share important thoughts and views with each other, which results a serious negative effect on the overall process of work.
However, the arrangement of chairs, sound system, water bottle, carpet, LED lights should be decorated perfectly. The singers should get effective sound system so that they can perform effortlessly on the stage. Guests and community leaders should get the delivery of foods and other facilities at proper time. Audience should have sufficient space for dance for enjoying the entire music event effectively (Tkaczynski 2013). The supply of transport should be available at proper time so that audiences do not have to wait for a long time.
In order to gain organizational image and reputation every business sector should follow a proper corporate social responsibility (Grodach 2012). Raising money for the wellbeing of orphans is a major CSR activity that Lend me your Ears Production is following. After the conduction of this very specific event, the organization like Lend me your Ears Production would be able to expand their hands beside Barnardo’s Homes and Orphanages. As a result, those children would be able to show their talents and skills in the society (Brown et al. 2015).
Event operation plan
Waste management is primarily applicable in post event session. Event managers should take an effective initiative so that a single resource related to music event is not wasted (Wikström 2013). The operation managers can follow three types of waste management procedures that are as follows:
- Indoor waste management:
The entire equipment used for decorating the venue should be properly kept for next event. Excess food and water should not be wasted. It should be distributed among poor.
- Outdoor waste management:
The recycle waste that the public has thrown up after using should be cleaned properly in order to save the environment from being polluted.
- Small waste management:
Containers, storage bins, thermocol, should be cleaned up properly so that these materials do not become harmful for the environment.
As an operation manager of Lend me your Ears Production, I have gone through an excellent operational learning while planning the music event. In order to render an innovation in the entire planning I have not arranged the program in a stereotype way. I have decided to enter the singers on stage from the middle of audience so that audience can related the program in realistic way. Singers’ entry from the back stage would be very conventional. In addition, while delivering the speech of eminent guest about the values of doing charity and the mission and vision of Lend me your Ears Production, I have decided to enact the speech. Children from different age group would be involved for this enactment so that audience does not get bored in monotonous speech of the political leaders. Audiences are not forced to enjoy the program by sitting at their own seat. They are flexible enough to dance with the performance of young singers. The royal park is constituted with available spaces with the help of which audience can enjoy the entire program by flattering their heads and dancing.
In order to make the entire operation plan successfully I have decided to use significant theories related to operation management among which value chain analysis is the most prominent. With the help of value chain process, I have controlled the entire supply chain from inbound to outbound; from sales and marketing to services. I have divided the entire value chain process in five major categories such as inbound logistics, operations, outbound logistics, marketing and sales and services (Salo, Lankinen and Mäntymäki 2013). With the help of inbound logistics, I have made the plan on how the physical equipments used for event decoration such as chairs, sufficient water bottle, carpets, giant screens and so on would be stored and maintained with the help of operational executives. While making the outbound of the logistics from warehouse to destination I would have to train the concerned executive very effectively. On the other hand, as an operation manager I have decided to use social media platform as one of the best places of marketing and sales.
Risk management
However, while planning the entire program I have faced innumerable challenges. I have realized the difference between planning an event and execution. While communicating with the concerned associates involved in this event I have faced language barrier. Due to the lack of language fluency of some of the people, I faced immense difficulties in transmitting my messages (Simon et al. 2017). In addition, members are from various psychological backgrounds and attitudes. As a result, while conducting a group discussion session for planning the event I felt immense difficulties in making collective decision.
In addition, while convincing the sponsors and the city councils I had to face immense challenges. At the very first time, city council denied to attend the event due to lack of time. After making an earnest request, the city council decided to attend the vent for half an hour.
While selecting the venue of this program I have face difficulties. I dint get the permission of conducting the program in the royal park initially. After making a repeated conversation with the authority, I got the permission of conducting the event for five hours only. Before planning the event, I have made an effective and detailed interaction with my senior operation manager for acquiring knowledge and experience. After communicating with my manager, I come to know that I should give more concentration on entire supply chain process. The entire operation method from inbound logistic to outbound logistic would have to be very much systematic. Otherwise, the entire plan would be ineffective.
Conclusion:
The entire event is planned very effectively. The operation manager would like to control the entire process of management. The service providers who will be associated with the organization are well trained and experienced. Volunteers have multi-lingual flexibility. As a result, people of various cultural backgrounds would not have to face challenges in communicating with the service providers. The entire program will be conducted for five hours. The audience at the end of the program can easily avail the cab of Lend me your Ears Production
