Project Overview
The project of social media research centre will be implemented in the form of a web site for the research scholars and students. It is being developed in order to provide the users with a common platform for viewing the research topics and details at a single place rather than spending considerable amount of time in the gathering of information from different sources (Mallery, 2011).
- The project will include the design and development of the web site for the social media research centre to allow the research students and scholars to access information from a common platform.
- The information associated with research work shall be collected from different information sources and shall be uploaded on the application.
- Access shall be provided to the authorized users to make sure that the information is kept safe and protected.
- The application shall be available at all times and shall offer reliable information to the users.

- Communication Plan: Document covering the plan purpose along with communication methodologies and activities associated with the project (Cho, 2016)

- Defect Report: The report covering the list and status of the defects in the developed system

The project will provide its associated users with the ease of usability and availability of information at a common platform and will also provide with a competitive edge above the other similar parties in the market (Dutot, 2016).
Project will not involve any of the activities associated with negotiations with the vendors and suppliers. Also, the advertising and distribution activities will also not be included.

- The project of social media research centre web application shall be delivered and completed within the period of 8 months and budget of AUD 50,000.

It has often been seen that projects similar to the social media research centre and its application development suffer from the pitfalls in terms of overrun of schedule and budget along with the too much expansion of the project scope leading to failures (Nelson, 2005).
The methodology that will be adopted to avoid such pitfalls will be to include the system and progress tracking and testing from the early stages of the project instead of including the same in the advanced phases. Also, the Project Manager along with the group heads will also carry out evaluation methods for the verification and validation of the project activities. These methods will include a mix of formal and informal methods such as reviews, inspections and walkthroughs (Maravilhas, 2016).

The purpose of the communication plan is to develop strategies and methods to allow the project entities to be in constant touch with each other to avoid situations associated with ambiguity and non-clarity of any of the project aspects.

The communication plan will be provided with the weekly status report that would come from the Project Manager and will include the status, defects and progress of the project. There will also be weekly meetings between the manager and the sponsor for discussion on the details of the project (Williams, & Lewis, 2008).
Project Resources
Project resources will have internal and external mediums of communication in order to understand and view the project requirements. Communication mediums will be one-on-one and group discussions with the use of phones, emails and teleconferencing medium along with meeting rooms.

The communication with the partners will take place between sponsor and the partners and the information associated with the project status and progress will be communicated on a weekly basis.
End Users
The end user that is the research students and guides will be communicated to provide them with the details on the status of the end product and its functionalities (Papulova, 2016).
The information that will be shared through the medium of communication between the internal entities that is the project resources will include project requirements, project plan, project budget and schedule, list of duties and responsibilities leave information along with project conflicts and disputes.
The information that will be shared with the external parties will include project status, project progress, project defect and completion status.
The information will be exchanged in the form of reports and meetings. The frequency of the information exchange is as described below.
- Status reports will be exchanged internally on a daily and weekly basis and will be shared externally to the sponsor and partners on a weekly basis.
- Team meetings will take place internally on a daily basis and will be conducted once a week with the sponsor and partners.
- There may be urgent meetings and discussions that may be required during the project lifecycle and such scenarios will be facilitated by the Project Manager.
The project reports will be shared over the emails internally and will be uploaded on the SharePoint location for the sponsor and partners.
Emails will also be used for exchange of information from one party to the other.
Communication is required in all the projects and will be essential in case of social media research centre as well.
The purpose of the communication will be to develop strategies and methods to allow the project entities to be in constant touch with each other to avoid situations associated with ambiguity and non-clarity of any of the project aspects.
Without the presence of proper communication methods, it has been seen that there are various risks that emerge due to lack of information exchange and understanding. The same will be avoided with the aid of enhanced communication measures and platforms (Wilson, 2004).
The meetings will take place in the meeting rooms for the internal discussions and the meetings with sponsor and partners will be carried out through teleconferencing medium.
The use of phones, internal communicators and emails will be done for other discussions as required during the project lifecycle.
Social media research centre and its application in the form of the web site is subjected to a lot many changes in terms of their functional and non-functional aspects. It is because of the reason that there are several components that are associated with the project which may get modified with the due course of time.
It would be required to manage these project changes with a defined change management approach. All such changes shall be first documented and approved by the project sponsor in the form of change request document stating the change description, need, additional costs and schedule, resources and likewise. These changes shall then be distributed to the relevant project resource and the implementation methodology shall be followed for its implementation. A review of changes along with the closure shall be performed thereafter (Brady, 2008).
The meetings that will take place during the project shall be set up and initiated and facilitated by the Project Manager.
The daily team meetings shall focus upon the major areas of the project along with conflict resolution, problem solving and defect status. The weekly meetings with the sponsors shall discuss the changes and the progress.
The meetings shall aim to avoid any of the ambiguities involved in the project.
