Diagnostic Tools for Identifying Communication Styles
Discuss about the Effective Business Communication Style.
Every individual is possessed with different communication styles based on which the person tends to interact with others. In order to become a professional, communication is one of the most significant factors for creating an overall image of an individual on self-efficiency. In this very specific study I have used five diagnostic tools and identified my communication style with which I feel comfortable in interacting with others. Self-perceived communication scale identifies on how an individual person communicates in different kinds of situations created in a workplace (Samovar et al., 2014). In order to become a professional an individual has to face various situations be it challenging or smooth. If the person can handle the situation by maintaining proper communication it will be proved that the Self-perceived communication scale of that person is high. Situation varies from one place to another. Public, meeting, group, dyad, stranger, acquaintance, friend are the various areas where an individual professional reacts in a different way (Canale, 2014).
Non-verbal Immediacy report shows on how much I am comfortable in showing my physical appearance and body gesture while communicating with other people. While maintaining an effective communication only verbal interaction method is not sufficient enough for making the entire conversation successful. The communicator should show a proper professional body language and physical appearance in order to avoid an artificial outlook (Neuliep, 2017). If the Non-verbal Immediacy report proves to be low the person needs to work on body language to make the communication style natural and less monotonous. Intercultural communication report signifies on how an individual is efficient enough in communicating effectively with the people of different geographical backgrounds and cultural attitudes (Skovholt, Grønning & Kankaanranta, 2014). In order to survive in a business organization I should have effective intercultural communication skill based on which I can give equal respect and dignity to every individual. Talkaholic skill is measured as per compulsive communication. Some of the personalities are there who tends to talk much at the workplace. This particular skill is possessed with both positive and negative impact. Tolerance disagreement scale implies on how an individual can tolerate other people amidst lots of disagreement factors. While working together psychology can differ from one person to another (Koprowska, 2014). While differing point of views, the professionals tend to lose their patience. This very specific skill Tolerance disagreement would identify on how a professional is patient in handling psychological differences at the workplace.
After evaluating five diagnostic tools I have observed that my verbal communication skill and active listening skill is very high. By maintaining an effective verbal communication I have resolved immense challenges at my workplace. At the same time, I have observed that I do have the patience of listening to the concerns of others and give them an effective suggestion for resolving the issue.
Based on five diagnostic tools I have evaluated my communication skill. While evaluating my Self-perceived communication scale I have observed that I have scored 30% in public, 26% in meeting 53% in group communication, 83% in dyad, 37.5% in stranger, 35% in acquaintance and 72% in with friends. The overall score in Self-perceived communication scale is moderate which indicates that I can deal with different situations though I have a scope of self-improvement. In every segmentation, I have scored low still it is observed that I am well accustomed in communicating with friend circle and dyad. I can improve my communication style while interacting with public of group members. While evaluating my Non-verbal Immediacy, I have observed that I scored 79 which are low. This specific score indicates that I am not very flexible and comfortable in showing my body language and other physical gesture effectively while communicating with people. As a result, people have to face immense challenges and difficulties in enjoying my lecture in a meeting. I seem to be very much artificial while interacting with people as my flow of expression does not reflect in my body language. While analyzing intercultural communication scale I have identified that my intercultural communication skill is moderate as I have scored 50. This specific score symbolizes that I do not have to face challenges in interacting with the people of different cultural backgrounds and attitudes. As a result, I do not have to face any challenges in maintaining an effective cooperation with the people of various cultural backgrounds. As the score is moderate I have the scope of rendering self-improvement on my intercultural communication skill.
Author’s Self-Analysis of Communication Skills
In evaluating my Talkaholic skill I have scored 26 which seem to be very low. This score indicates that I am not very much talkaholic at my workplace. I have the ability to maintain a professional gesture at my workplace which would help me in concentrating on my own job. While evaluating my Tolerance disagreement skill I have scored 52 which indicate that I as an individual professional am very much patient and tolerant at my own workplace. If my coworkers are not very much cooperative and intend to differ my point of view at every step I would like to convince them by keeping my tolerance power within control. I would not lose my patience and show unethical gesture towards my coworker. With the help of an effective Tolerance disagreement skill I would be able to deal with any unexpected occurrences efficiently.
After critically analyzing my communication style by using five diagnostic tools I have identified two major issues on my self-perceived communication skill, non-verbal skill. I have observed that my is very poor. After being involved within a professional field I have to face different kinds of situations. While providing a presentation in a business meeting self-perceived communication skill or group discussion I use to fumble and falter. As a result, I am unable to transmit my messages effectively to the listeners. Automatically, a communication gap is created between the sender and receiver. While conducting a group discussion session I have to share my thoughts and views in front of numerous team members. Associates belonging to the senior positions also attend the group discussion session (Hargie, 2016). In such a professional business environment I have to face immense difficulties by conveying my message properly. Confidence is a major issue due to which I face immense difficulties in interacting with the group members properly. On the other hand, I have also observed that while presenting my view in front of team members I feel nervous. However, I have analyzed that I feel little bit comfortable in exchanging my views with my friends or colleagues while maintaining information conversation.
Apart from self-perceived communication skill I have communication issue in maintaining non-verbal Immediacy as well. Non-verbal immediacy implies on how much I am flexible in maintaining effective communication with proper physical appearance and body language. While dealing with the people I need to show facial expression so that they do not get bored in communicating with me. While providing a presentation my speech should reflect on my body language in order to draw the attention of listeners. Unfortunately, I have identified that I cannot connect with the people while delivering speeches due to the lack of facial expression. Listeners do not like to show their interest in interacting with me due to the lack of proper non-verbal communication skill. While interacting with the team members I have to face numerous challenges in drawing their attention due to the lack of non-verbal communication skill. As a result, I failed to maintain an effective team bond with the members. However, in order to grab the attention of other coworkers I would have to improve my non-verbal communication skill so that people can connect my word.
Issues with Self-Perceived Communication and Non-Verbal Skill
In this very specific part, I would like to introduce two recent professional interaction happened at my workplace which would indicate that I have major issues in the above two areas that is self-perceived communication, non-verbal skill. I was responsible for conducting a meeting for introducing our next business mission. In this very specific meeting the senior manager and every team member from various team was present. However, in this very specific meeting I was feeling very nervous from the beginning. I am comfortable enough to present myself in front of friend circle by sharing necessary information regarding the business goal. While giving the group presentation I could convey the message properly towards the listeners. I liked to show my intense positive outlook to make me confident. However, my voice became choked due to extreme nervousness. I gave a strong content towards the listeners but the way of presentation was not very perfect to draw the attention of group members. Therefore, it was ultimately a dissatisfied performance based on which I was unable to grab the attention of senior managers.
I can remember one more incident due to which made me understand I have immense issue on non-verbal skill. While conducting a business event I had to play the role of an event coordinator. While playing this very specific role I had to convince community leaders and other eminent persons for attending the event. I have however observed that that eminent personality did not show any interest while I was talking. However, after making self-evaluation I have observed that my way of expression is very much artificial as I cannot relate my messages with my body language. As a result, the listeners do not find that much interact in giving an effective revert on my approach.
As emphasized by Remland (2016) communication is one of the most effective method of sharing thoughts, views and ideas. In order to become an efficient employee within a business organization an individual should have proper communication skill based on which the person would like to keep own concern to the managers or colleagues. Large numbers of professionals are there who are unable to create an effective impression on the mind of business managers due to the lack of proper communication.
Butts, Becker and Boswell (2015) opined that these persons are unable to portray their major concern to business manager due to the lack of an effective communication skill. As a result, professionals fail to communicate effectively with the listeners. In order to resolve this kind of issues the organization can provide an effective training and development program to the employees. Janssen and Gao (2015)opined that by taking an effective training session an individual can develop their career goal and improve communication method. As a result, both the communicator and the listeners can share a good bond with each other which would reflect on the overall performance.
In such a professional business environment an individual has to face immense difficulties by conveying my message properly. Qenani, MacDougall and Sexton (2014) opined that confidence is a major issue due to which the person faces immense difficulties in interacting with the group members properly. On the other hand, while presenting own views in front of team members an individual feel nervous and least confident. As a result, the performer cannot satisfy the demands of business managers. If an individual cannot maintain a proper communication with the persons of various cultural background and attitude in a meeting or conference that individual would not get promoted for holding higher position.
Conclusion
While providing a presentation the demonstration is not ultimate. The entire communication should reflect on the body language of an individual in order to draw the attention of listeners. Unfortunately, it is identified that one cannot connect with the people while delivering speeches due to the lack of facial expression. Gallois and Giles (2015) stated that listeners do not like to show their interest in interacting with me due to the lack of proper non-verbal communication skill. However, a person having poor non-verbal competency can never draw the attention of business manager. As a result, the person has to face immense difficulties in surviving within workplace due to non-verbal communication issue.
In this kind of situation, Fujimori et al. (2014) opined that an individual person need to take an effective training and development session for enhancing the professional skills and competency. Proper professional approach makes a person spontaneous and flexible towards a business environment. In this situation, the communicator does not have to face challenges in showing appropriate facial expression or body language while talking with others. Automatically, the listeners would like to show their interest in interacting with the communicator and giving necessary feedback regarding the progress of business.
Scherer, Siddiq and Teo (2015) opined that in order to overcome communication issue individuals should follow effective communication model by applying which the person would be able to transmit the entire message effectively to the receiver. As a result, the receiver would like to give effective feedback to the communicator. Shannon’s model of communication believes that source of information should be transmitted with a proper channel to the receiver in order to reach towards exact destination. Hsu, Chang and Hsieh (2015) opined that if the receiver gives an effective feedback to the speaker the entire communication channel would be effective. Shannon opines that two reasons are there due to which communicator cannot make the entire communication method successful. The first reason includes invalid information.
It is undeniable that speaker while conveying a message does not focus on the validity of information. After transmitting the message to the receiver the speaker realizes that the information was invalid or inappropriate for the session. As a result, the entire communication objective becomes invalid. On the other hand, it has also been observed that the communication channel that the speaker uses for transmitting the message is inappropriate. McQuail and Windahl (2015) opined that communication method or channel implies verbal or non-verbal communication method. Due to the lack of confidence or experience the speaker is unable to deliver the message appropriately. As a result, the receiver tends to give an ineffective feedback to the speaker. The entire communication becomes failed. Therefore, Shannon has opined that proper source of information should be conveyed with proper channel to the receiver.
This very specific literature review has focused to make an in-depth overview about the importance of effective communication style for rendering proper career enhancement. In order to become an efficient employee within a business organization an individual should have proper communication skill based on which the person would like to keep own concern to the managers or colleagues. After evaluating the opinion of numerous eminent scholars the study has focused to highlight on how the communication issues faced by an individual can be resolved. By taking an effective training session an individual can develop their career goal and improve communication method (Sakr & Hossain, 2015). As a result, both the communicator and the listeners can share a good bond with each other which would reflect on the overall performance.
Still, the entire literature review is not devoid of some of its major drawbacks. The study has not critically analyzed what are the primary barriers for an individual due to which the person is unable to maintain an effective communication. The study has not highlighted the specific reasons due to which an individual person loses self-perceived skill. Bates (2014) opined that lack of experience is one of the most recognizable factors for being nervous and least courageous for attending group session. Therefore, the study could have elaborated those factors in detail.
I have already identified two major communication issues with me and evaluated on how these two major issues has left negative impact in building my career. Due to the lack of self-perceived communication skill, I am unable to transmit my messages effectively to the listeners. Automatically, a communication gap is created between the sender and receiver. While conducting a group discussion session I have to share my thoughts and views in front of numerous team members. In this situation I have to face challenges in transmitting my message amidst large number of people due to the lack of confidence.
In addition, I have identified that I cannot connect with the people while delivering speeches due to the lack of facial expression. Listeners do not like to show their interest in interacting with me due to the lack of proper non-verbal communication skill. Based on these two primary issues I have made an action plan for overcoming these barriers improving my personal career in the professional field:
