Impact of Information Systems
Discuss about the activities of managing the information system within an organizational structure.
Management Information System is a compulsion for every business in the current scenario. It requires data and information to be stimulated and carried forward to process and outcome. Hence, it is clear that every company requires data which is converted into information and further to a manageable operation. Systems were implemented and formulated according to the consciences of business and outcomes (Alamri, Almutiri, Ballahmar & Zafar, 2016). So as to support and help humans and their functions in any part they require in the lifetime. Similarly, MIS is used by companies to have better operations which are more improved and efficient as compared to the previous operations. The demand is raising and accordingly the outcome is supposed to rise in accordance with inclined expectations. In this study, the importance of MIS and information system, as well as its implementation with related consequences, is justified so as to have a better understanding of business and its operating system. The manner in which companies are developing and the business is rising on edges gives a clear picture of technology being a part of most of the projects and scenarios. Woolworth is a very large chain in Australia which operating as the grocery store and capturing a huge market. it is using MIS and technological systems in its business and a justification for the same has been provided with proper analysis while relating it to the company.
Information system plays a significant role in every part of the world in present time. As the rise in technology and demand for more business practices have given rise to this technology (Cassidy, 2016). Every company wants to grow in its sector and wants to business as every before and for which information is a mandatory function so as to conduct operations on a huge scale. There are various functions upon which a company operates and this function justifies the amount of Work Company have to do and for which there is a requirement of people as well as various type of resources. Businesses are growing and rising in a very huge manner and the competition is also rising in the same line. So, in order to deal with these kinds of situations and the rising rivalry in Market companies have to adopt some measures through which it can have a substantial growth as well as admiration for the business it is doing. There are plenty of resources which are available in the market and optimum choice for these resources is what a company has to make. Woolworth is a retail store and a grocery company so it has to choose a plan according to its operations and requirement so as to excel on the right path for its inclined objective. Hence, the right choice for technology is also important for the company so as to have an edge and a proper utilization of resources (Kecmanovic, Galliers, Henfridsson, Newell & Vidgen, 2014).
Convenience
The part which is being played by the company is very much realistic and properly propagated in the direction of growth. Hence, this is necessary to be ascertained as the changes which are being made in the company in regards to usage of technology vary from then to now. As a rising demand of technological factor is there it is merely important for a firm to have a proper Information System. In order to have a better access to operations in terms of communication, work and day to day operation. This will open many channels of support for the company to control and monitor people as well as resources which are used in a company (Chofreh, Goni, Shaharoun, Ismail & Klemeš, 2014). So, the impact which information system has on the organization is very much positive and it is listed as follows:
Information system has made it easy for the companies to record and store data in such a way that was not there before. It is easier for a company to have information in the best way and the software stores that information in a proper manner so as to make it easy for the interpreter to interpret data and develop information which is required from it. hence, the rising era of technology has made it easier for the companies like Woolworth to store data and information of their employees in such a manner that was not there before.
Manually storing data and information and doing every function manually was time-consuming always. Hence, the company has come out with a solution to have technology and systems into its operations so as to make it easy for the employees to have efficient and effectiveness (Costa, Ferreira, Bento & Aparicio, 2016). Hence, IS works as a support to the people who are working for a company like Woolworth to have an ease in the work they are doing.
Everything works properly when it is controlled in a better way and this is the outcome of using technology in the system of a company. Hence, performance is recorded, absenteeism is recorded which makes people self-movers and self-reliant upon the activities they do.
Machines cannot create confusion as far as people do not create a default as it is being processed by people who are working for the company. So, the chances of default are less when IS are used as the functional criteria upon which it works is set for the maximum time (Eden, Sedera & Tan, 2014). And it makes it more reliable and stronger as a system to be broken which is being set upon some set of rules of the company and the system. Automatically the chances of default are least and very much authenticity is there which is a huge support for the company to continue with its operations.
Ease
As it is being justified above about all the easiness created by the IS such that it assists the managerial positions to have better results of the work which they delegate to various employees in the company so as to have the best outcome for the same (Fleisher & Bensoussan, 2015). Hence, it is clear that it helps and supports the ad-ministerial roles to perform better.
When the company uses customized software for its operations it is precisely sure that the company will work better than all the other market holders. Hence, this supports in having an edge over the market by performing better than others. So, it supports the company and its operations to grow as never before with its functions and operations. IS helps a company to reach a level where it can have the best performance for its operations better than everyone in the market.
An analysis is done to get a solution to a problem which is intuitive at times and to have an outcome of the plan which is being implemented in the system of an organization. In order to analyze the outcome of using management Information System, analytical approaches can be used (Galliers & Leidner, 2014). This approach will help in knowing the contribution of MIS in the organization such as Woolworth which is operating on a very big scale. The outcome of this analysis is justifiable and properly defined. Hence, when MIS was introduced to an industrial sector it was obvious that some ease and convenience for the managerial positions were created. MIS is defined as a set of systems which are being used by large companies and associations to ease the work of employees and people who are working in it. The things in which human takes the time can be done instantly by the software and machines which is saving of time. Hence, Woolworth uses software for an attendance of employees, billing machines, online transactions and so on which is a huge time and money saving tools for the company (Gelinas & Dull, 2008). Appointing people for all of these activities would have been more costly and more time to consume as there is a pace at which generally human brains work and MIS works better than that. The analyzation of the data and information created by the software is much easier and safer as compared to another generic functional usage. Hence, the impact of MIS is better described below with the usage of analytical approach:
Proper Operations
Identify the problem
It was identified that there is a problem of efficiency and effectiveness in business and the demand for the products and services are rising in the market (Saini et al., 2016). Due to globalization, each and every business was affected. This was a huge problem for the business to have work completed on time so as to maintain sustainability for a strong position in the market.
Choose best solutions
There were ample of a solution to this difficult problem out of which best has to be chosen. Solutions such as hiring more employees, implementing technology, using software etc. According to the best outcome, the solution to proper research has to be chosen (Goetsch & Davis, 2014).
Select the best among alternatives
There are so many alternative solutions for it among which the best has to be chosen and that best has to be the most efficient and from all those technologies was chosen and that technological approach was regarded as the best solution in all at that time for the kind of problem which has risen.
Implement the solution
Technology in the form of Management information system has been implemented in the company so as to have convenience and ease for the managerial level (Berger & Lafferty, 2017). The best solution to cope up with the challenges which were rising and MIS was implemented.
Follow up
Further, the performance was analyzed and the result was ascertained about the growth and development of people as well as the company (Hall & James, 2014). Any type of problem or misusage is determined in this function so as to solve it.
MIS triggers the performance level of a company so as to perform in such a way that it has worn out the specific idea of the company. It helps in achieving the organizational goals and standards on tie with the estimated cost to be spent for the same. Business process decision making is impacted by MIS in such ways that it gives data and information which is appropriate so as to know where to make changes and where not. It helps in making plans for the process of the company to achieve more targeted and oriented targets which are promising for the growth and development of the company in long term and short term. The result which is being set after using MIS in the planning are phenomenal and promising as well as the chances of default is less (Pearlson, Saunders & Galletta, 2016). The analysis shows that there was a requirement of this factor of technology which has to be used in business so as to make proper directional operations to grow and sustain the market for a longer period of time. The impact of MIS on business practices has always been positive and directional. Hence the information system plays a keen role in processing data for the company so as to make appropriate plans for success of an organization. This helps the company to stand out and have the better perspective to the approach of achieving goals in a proper manner on time with efficiency (Hill, Jones & Schilling, 2014). The things in which human requires significant investment should be possible in a flash by the product and machines which is sparing of time. Henceforth, Woolworth utilizes programming for the participation of representatives, charging machines, online exchanges et cetera which is an enormous time and cash sparing apparatuses for the organization. Naming individuals for these exercises would have been all the more expensive and additional tedious as there is a pace at which by and large human brains work and MIS works more superior to that (Laudon & Laudon, 2016). The examination of the information and data made by the product is substantially simpler and more secure when contrasted with other nonspecific useful use. Hence, these systems are directly contributing to the growth and development of plans as well as the organization in an effective and efficient manner such that it can have an edge over its competition which is huge in a market.
Least chances of default
Each and every scope has factors associated with it which helps the plan to grow appropriately. There are so many elements which combine and constitute a whole plan which further leads to some objectives and goals and standards which are compulsory for a company and its objectives (Hunton, McEwen & Wier, 2015). Information vision is defined as the parameter to which a company can require data to process through various stages and plans which are there. Information technology if the part of the company which helps it to have proper operations and supports human to be more efficient at their workplace. So there are various elements which recognize the needs for this system and according to the strategy with plans is being made so as to deal with current as well as future scenarios. Several elements which justify the need to formulate information and IT strategy for the company such as Woolworth is listed as follows:
Needs and requirements
There are various needs of the company which are present and future which has to be taken care of. There is a forecasting process in an organization which aims to identify the long-term and short scenarios of the organization to reach a specific position (Liebowitz & Frank, 2016). Hence, a vision of the company is identified so as to acquire where the company has to reach in terms of the information it requires or otherwise what kind of information it will require in future and what is the strategy to gain such that information so as to have smooth functioning of the operations.
Increasing competition
The amount of rivals has reached a level for Woolworth so it has to be a step forward in every section it operates for which information is mandatorily required. Hence, this element also specifies the need for research and development for the same (Romney & Steinbart, 2009). Substitution impact is effective and very adverse which may cause the problem for which company have to have a step forward in every operation to cope up.
Rising demand
Customers always require some or the other new innovation in product and services to the company have to work in line with the demand. A population is also rising day by day and the segments of people are becoming more larger and bigger which has to be taken care of by the company (Pearlson, Saunders & Galletta, 2016). So, this factor is only supported by the use of proper technology and proper information so as to have further plans. The requirements of the people associated with the company are fulfilled more efficiently wit technological usage. In a company like Woolworth where the operations are huge, IT is very useful to trigger the achievement of goals. Hence, the requirement for the information vision is required to ascertain the future requirement as well as a present. So, a strategy is formulated to perform the function of satisfaction of the demand which is huge and large.
Managerial role
Market size getting bigger
The size at which company operates have to be smaller at the beginning of the business but eventually as the business grows it keeps on rising which has to be taken into account. There are new challenges in every new market and each and every market has competition as well as new set of ideas which are being used (Richardson, Chang & Smith 2014). Technology is the only sources through which company can identify the weight age of risk associated with a particular market and what is a popular segment in the same market. hence this is also a matter of fact which has to be taken care of in the superficial way for which information vision and IT strategy is required.
Better operation
Businesses are growing so as their pace of working is developing. Each and every organization needs to maintain the culture for employees to work and get the optimum result (Premkumar & King, 1994). So, what is required in terms of technology today and what will be required in future are two matter of fact which is being supported by usage of proper technology. This is necessary for a business to have the proper result for the operations. In such that way operations are inclined to have better performance and growth in business line as well as further developments (Romero, Usart & Ott, 2015).
These above are just for the elements of information and technology which are required to initiate the longitivity of the program which company like Woolworth is working such as to increase the retail and operation.
Conclusion
It has been concluded by the above report that there is a huge necessity of technology in today’s business scenarios to be at an edge over the market. The companies have to make sure that they are having proper information setup and an IT department which helps to incline the operations in such a manner that it triggers the performance. Effectiveness and efficiency are enhanced with such support which helps the company to excel and grow in the field which it is working. A justification of a requirement of technology and the visions to associate with information is also a result of this research which will help businesses to grow. These function will totally be associated with company’s growth and development which is required very significantly in today’s competitive scenario.
