Language Barriers in Business Communication
With the increasing ramification of economic changes and increasing complexity in business, there are several barriers which may be faced by employees and management department of organizations while communicating with each others. An organization may face problem in achievement of set objectives and goals if it does not have proper level of business communication. It is evaluated that effective business communication can boost company’s creditability and reputation in the economic environment in effective manner. However, Email, business meeting, feedbacks, memos and employees grievances forms are some of the element of effective workplace communication (Riege, 2005). These are the business communication channels which could be implemented by the organizations to overcome communication barriers between employees. It is analyzed that best business communication communicators pursue a multi- layered strategy to send message, engage with clients, and interpret results and exchanging information with employees. As per the collected data from the secondary sources, it is evaluated that business organization is accompanied with employees from different cultures. It is possible that some of the employees do not understand the corporate language and jargon used in the corporate sector. Therefore, organizations by implementing linguistic landscapes will provide clear pictures to navigate those employees who get confused with the instructed words. If an employee does not understand the instructions given by his managers to him then it could result into non effective work. Throughout the time, several big multinational organizations have made mandatory for its employees to learn English and speak in English with each other for the effective level of communication. With the increasing complexity of business process, employees may get confused with the particular words and language used in organizations (McQuail, and Windahl, 2015). This could be determine with the help of short example that if employee do not have understanding on English language and his manager has given him instruction to complete assigned work with in particular deadline. Then in this case, employee due to non understanding of his manager instruction may get confused with the meaning of the instructions given to him and could provide result less effective and without adhering to the deadline (Men, 2014). However, there are several countries in which all the people are required to learn English language on compulsory basis in addition to their vernacular language. Moreover, there are several countries in which corporate and business organizations has to customize their working environment as per their stakeholders. Culture causes various in language. For instance, In French culture a man would be known as American while, at the same time, woman would be stated as Americanne with extra (NE) (Arnold and Boggs, 2015). Therefore, it implies that French cultures determine differences between genders while using language at the time of communicating with each other. Another example could be taken for the vocal use of English word in New Zealand. After collecting data from the employees working in KIWI organization in New Zealand, It is observed that employees get confused with the pronunciation of words when their managers give them instructions. In one of the case they get confused when manager speak Taught word in its sentence. In this case, employees understood taught word as tort. Transparency in communication is the most important element to overcome the communication barriers and it must be visible and accessible. Therefore, it is analyzed that due to the culture difference and less effective business communication, employees may find themselves in big dilemma while understanding instructions and orders their line managers. Moreover, multinational organizations and other companies having business on international level also stuck in business communication while communicating imperative information to its stakeholders, For instance, Key managerial persons in multinational companies are more inclined towards using standard language, or business jargon. In order to speak limit or restriction on something, key managerial persons use word “CAP”. It is business standard word which is used in place of limit. Another example could take as PROXY. This word is used by KMP person for the person who could represent another person. Therefore, these types of business jargon could be the biggest hurdle in effective business communications. In several cases, business organizations have faced high level of losses while implementing their project due the business communication problems. The main result which arises due to lack of effective business communication in organization is less productive result from the input. If employees find themselves stuck in understanding particular business standard word then they might get confused with the instructions given by their line managers. These barriers have shown negative impacts on various business organizations which has reduced overall business efficiency. There are several barriers to the effective business communication in organizations such as less employees oriented communication, use of business jargon and its less awareness in employees, misguiding rules and regulations and euphemisms and ‘management-speak in different context than what an employee expect. In addition to this, employees also face problems in business communication due to cultural differences. For instance, Key managerial persons in multinational companies use standard language, or business jargon to communicate with their employees in business meeting. Therefore, employees having less level of information about the corporate world may fail to understand the key aspects of business and standard words. These are the common problems which could be overcome by the organizations if proper level of inbound activities is performed. For instance, if proper level of communication chain is established in inbound activities of organization then there could be less chances of misinterpretation. It is analyzed that if proper level of written communication is implemented then there could be less chances of miscommunication in process system of organizations. Furthermore, barriers from employer may also includes lack of trust in employees by the management department, lack of knowledge of non verbal clues such as body langue, gestures, use of eye contacts, shortage of time. On the other hand, barriers from employees are consisted with less motivational behavior and their rigidness to learn new things Organization should focus on including following aspects of business communication such as Focus, clear object, written information, concise and use of right communication tools. Ideally, in business process of organizations, written email is considered the best communication channel for communicating required level of information with each others. This E-mail process channel not only provide effective business communication between employees but also provide clear evidence if anything goes wrong in organization (Coombs, 2014). In addition to this, other different channel of communication could be direct confrontation, conducting meeting and seminars and providing consistent training program to employees for their professional development. Organizations could also implement linguistics landscape signs and posters. These linguistic landscapes will provide clear pictures to navigate those employees who get confused with the instructed words. There are other management strategies of communication which could be used by organizations for mitigating the business communication problems. Management department of company needs to consider the subject of information while communicating with other employees. After that, flexible democratic communication channel would be used by management department. In the end, motivation of employees and dispute management program needs to be implemented for mitigating the possible communication barriers (KAUR, 2016). It is also further evaluated that If organizations conduct proper level of communication training program to its employees then that will surely increase the effectiveness of business communications and mitigate the possible communications barriers. Managers of organizations need to act like a communicator, planner, motivator, leader and controller for the better communication of information. There are several plans and process which should be implemented by organizations for effective level of business communication. E-mails and conducting training program will help management department of organizations to mitigate the communication barriers. Transparency in communication is the most important element to overcome the communication barriers and it must be visible and accessible. Organizations should firstly reduce the hierarchy chain and increase the co ordination between its team members for effective implementation of communication plans. Now in the end, it would be inferred that communication barriers are common to arise in each and every organizations. However, these shortcoming and barriers could be overcome by the top management of organizations with effective planning procedure and training process. These all given plans and training programs are the short term plans which could be implemented for better communication channel between its employees. However, Long term plans such as improving employees understanding level and providing them regular professional development training may reduce the communication barriers in determined approach. Hence, to sum up all the details and factors this essay, it could be concluded that if given recommendation such as , Email, business meeting, feedbacks, memos and employees grievances forms are some of the element of effective workplace communication is followed properly then organizations could easily overcome their business communication problems.
