Approaches for Office Automation
Introduction:
The Regional Gardens Ltd. is the private company which focuses on gardening activities. The inspection of the garden is the activity which is performed by the company executives. The company is looking forward for increasing the sale of the nursery plants in the public and private sector. The organization is looking forward to plan a program for providing advice related to garden, innovative plan for designing, and consultancy services. The traditional working of the company is equipped with the small data centre located at Bathurst. The owner of the company wants to transform the traditional working platform to the cloud architecture. The purpose of this presentation is to highlight the concept of the cloud computing technology and which is the best suitable cloud architecture for the effective working of the enterprise (Yoo, 2011). The company is looking forward to bring office automation in managing the task related to the email, word processing, spread sheet, and etc.
The two cloud approaches which are most suitable for bringing office automation are:
- Process as a service: This approach helps the regional garden Company to bring office automation in the sending and retrieving of the emails, increasing efficiency of word processing, sharing of processes, and resources among the team members located at different site of the enterprise (Dillon, 2010).
- Database as a service: This approach helps in keeping all the records of communication and agreement with the vendor. The database can be shared among the professionals of the company.
Approaches |
Benefits |
Issues |
Process as a service |
Promoting communication between data and services for developing garden design (Malladi, 2016) Creating innovative business process for increasing the efficiency of the processes. Flexibility in the change of processes Processes are easy to change |
In the management of processes related to the meta-application (Mirzaei, 2008) |
Database as a service |
This approach helps in keeping all the records of communication and agreement with the vendor. Promoting communication between data and services for developing garden design (Nazir, 2012) The database can be shared among the professionals of the company (Xue, 2016). |
Security is the major concern |
The company is looking forward to bring office automation in managing the task related to the email, word processing, spread sheet, and etc. Database as a service is the most suitable cloud approach for handling the activities of the enterprise (Sriram, 2016). The sending and receiving of the email, data related to word processing, development of the garden design, and etc. can be effectively done by the organization. This service model helps in providing the scalability to the working environment of the enterprise. This approach helps in keeping all the records of communication and agreement with the vendor. The database can be shared among the professionals of the company.
It is recommended for the regional garden company to adopt database as a service for managing the information and data related to the company. The email and data related to the word processing can be easily stored on the network for easy retrieval of the garden design according to the requirement of the client.
Introduction to the cloud architecture
It is suitable for the organization to adopt Infrastructure as a service cloud computing because it is useful in reducing the administrative working efforts of the professional, increasing the flexibility in the storage system, availability of resources on demand by the user, and scalability of the resources.
This architecture is useful for adopting the cloud platform by the enterprise. The infrastructure is provided to the resources and services deployed by the cloud (Kuyoro, 2011). The relationship can be effectively managed with the communication between external and the internal resources. The security system of the cloud environment should be implemented in the internal and external resources.
Benefits and Issues of Approaches
The traditional architecture is not capable of managing communication between the experts of the enterprise located at different site since different software is used by the firm to provide different functionalities. The renovation is required for the management of different software and technological infrastructure for the cooperation and coordination of activities between the processes undertaken by the company.
The following diagram shows the cloud architecture with the deployment of different service model such as Software as a service, Platform as a service, and infrastructure as a service provided by the cloud:
The cloud computing provides three types of services which are classified as Infrastructure as a service, platform as a service, and software as a service.
IaaS: The infrastructure as a service is Helpful in managing servers, balancing the load on the network, storage spaces, and involvement of virtual machines. The hardware resources and the operating system can be effectively made available to the user on their demand.
PaaS: The Platform as a service is responsible for managing the communication between the applications. The service model helps in providing the scalability to the working environment of the enterprise. The security is the major concern with the platform as a service model. This approach helps in keeping all the records of communication and agreement with the vendor. The database can be shared among the professionals of the company.
Software as a service: This service model is responsible for managing the application according to the user demand for the accessing of emails and other related information and resources. The relationship can be effectively managed with the communication between external and the internal resources. Security is the major concern of this service model.

Difference between IAAS, SAAS, and PAAS:
The difference between the infrastructure as a service, platform as a service, and software as a service is described below:
IaaS: The infrastructure as a service is Helpful in managing servers, balancing the load on the network, storage spaces, and involvement of virtual machines (Morsy, 2016). The hardware resources and the operating system can be effectively made available to the user on their demand (Kumar, 2012). The network of the virtual machine can be effectively laid down by the IaaS service model.
PaaS: The Platform as a service is responsible for managing the communication between the applications (Majendran, 2013). The service model helps in providing the scalability to the working environment of the enterprise. The security is the major concern with the platform as a service model. This approach helps in keeping all the records of communication and agreement with the vendor. The database can be shared among the professionals of the company. It provides the environment of executing the programming languages.
Summary
Software as a service: This service model is responsible for managing the application according to the user demand for the accessing of emails and other related information and resources. The relationship can be effectively managed with the communication between external and the internal resources. Security is the major concern of this service model. The following diagram shows the difference in the IaaS, PaaS, and SaaS service model. The desired operating system and the software can be easily accessible by the user on demand.
Infrastructure as a service model is the recommended service model for the Regional garden company to increase the efficiency of the organization. The resources can be effectively managed between the staff of 70 persons. The deployment of the share point 2010 among the staff of 70 person helps in the sharing of resources, equipment, and data effectively over the network. The premises of the organization can be extended according to the requirement and the need with the use of share point services. The share point service model is combined with the capabilities of Infrastructure as a service model helps in providing the services like risk management equipped with the governance plan, communication with the clients, accessing of the vendor and client account, managing the infrastructure of the resources, deployment of the effective network controls, promotion of application, management of different operating system according to the requirement of the client, and managing the communication between physical hosts, network and data centre points of the enterprise. The following diagram helps in analysing the relationship between share point service and Infrastructure as service model architecture for promoting the smooth flow of activities performed by the Regional garden company.
The problems and issues which exist with the adoption of Infrastructure as a service model are described in the table below:
Problems |
Description |
Security |
Security is the major concern related to the confidential information stored on the cloud |
Technology |
Sometimes the downtime of the resources can be increased which create the feeling of annoyance in the employees |
Vulnerability |
Inclusion of malicious attacks can disrupt the information stored on the cloud. The information can be hacked by the hackers. |
Limited network control |
The management of the traffic can create a problem in providing effective service to the user |
Latency |
Low latency period associated with the management of the resources (Cancila, 2017) |
Dedication of the employees |
The internal and the external employees are not ready to adopt new technology of IaaS model. |
Inefficiency in performing IT operation |
The unavailability of resources can create a problem in handling of task related to IT operations (Gorelik, 2013). |
The deployment of the share point 2010 with the inclusion of infrastructure as a service model among the staff of 70 person helps in the sharing of resources, equipment, and data effectively over the network. The share point service model is combined with the capabilities of Infrastructure as a service model helps in providing the services like risk management equipped with the governance plan, communication with the clients, accessing of the vendor and client account, managing the infrastructure of the resources, and etc. There are some problems and issues exist with the deployment of the share point services with the IaaS which are categorised as security, latency, technological, and etc. The solution to the area of concern helps in the successful implementation of the share point services for increasing the functionality module of the enterprise. The transformation of traditional working model with the share point service based on IAAS helps in increasing the profit for the enterprise.
