Project Management is an important section of the work wherein the project that is being developed could be managed for the purposes of the company. For a project management to be successful, there should be performance measures which should gauge the performance of an organization in a way that will help in combining the different aspects of the performance along with the time bounded and once the two aspects are considered, there should be a performance measure in that aspect to understand the way the performance has occurred and how successful it had been.
HDS is an organization which hosts open source software for customers to access and use. In recent years, it is trying to integrate cloud services in the network and for that purpose, it requires certain analyses to be done. It has been found that the organization had started small and has failed to expand massively though it has amassed a number of customers. There is a problem with management and the IT infrastructure of the company which is underdeveloped.
As a Chief Information Officer (CIO), the small company HDS has been found to have different problems regarding management and infrastructure issues. There are certain areas wherein faulty management has resulted in the fall of the popularity of the organization. The small infrastructure of the organization continues and becomes a major problem for it. Hence, it is necessary to identify and analyse these issues for the benefit of the organization as a whole. So, as Chief Information Officer (CIO), it is a duty to guide, and identify the problems of the company and advice remedies to them.
There are certain technical requirements that needs to be fulfilled when a website is being constructed and these technical requirements are:
- Points of Accessibility: The website should clarify the points of access that would help an individual to access and explore the website. The points of access is such that the website can be defined to be accessible from different areas, such a mobile, computers, tablets etc., and there would not be any restriction in the free flow of information once it is accessed through any one of these access points (Binder,2016).
- Security: The security of a website is very necessary as a website, once developed, should not only be secured in terms of the information that is provided, that is the information should not be changed by random users without authorization, and similarly, the website should be secured in terms of protecting user information and privacy (Mir & Pinnington, 2014). Hence, security of the website as a whole should be considered a technical requirement.
- Design: There should be a proper design that should be made upon the website and with the help of this proper design, the value of a website can be made to increase. The website design will be used to attract customers and there will be a general way of smoothness of the user when they will access a well-designed website. Hence, website should be designed in the proper manner so that there could be better free flow or flexibility of information.
- Technical Writeups: Almost similar to design, the writeups in a website is equally important. In a website, the writing that has been provided by the technical writers, creates the access of the individual with the requirements of the website and through this information, the individual is capable of understanding what the website is offering (Binder, 2016). The writing should be combined with the design of the website in a way that it will be useful and comprehensible by the user. There should not be any misinformation presented in the writeup as any kind of problem in the information would make the company liable to misleading users towards a wrong path.
The website of an organization is one of the ways through which a user gets access to the information and all the aspects of an organization, hence, there should be a proper website analysis that needs to be done that can help in developing and creating the better part of the website as a whole. Some of the ways in which website analysis could be conducted are:
Security planning: A website should be secured. There should be a proper way in which the website can handle information and keep the information entered into it to remain secured in the website design and the organization database and for these activities, there is a need to create a plan for the security as a whole (Andersen & Grude, 2018). Security requires to be integrated into the website in a manner that security analysts could make sure that it is capable of holding security in the website (Jacobs, Chase &Lummu, 2014).
Case Study
Cache management: A website should be able to manage the cache that is the minimal storage it needs to run on, of a specific organization in a manner that will help it to conduct the task in a proper manner. The cache management is necessary to uphold the flexibility of the website and to see if the website can be capable of handling large influx of traffic without freezing or without getting affected by any form of informational changes that will create a problem for the website.
Design flexibility: There should be an analysis done into a website in terms of design flexibility, that is, there should be a way in which a proper design once made, could be seen to be flexible in nature and could be presented properly without there be any case of overlapping of information (Eskerod& Jepsen, 2016). The design should be capable of handling the influx of traffic and therefore, loading itself in a easy manner, so it should be highly defined that would require more time to display the matter on the screen.
Speed: Speed is an important factor in terms of website loading. There should be a proper speed that should be capable of holding the website and presenting information easily and to match the speed of the same, there should the ability of the website to not be crowded by the traffic influx and be more capable of handling the data outflow and traffic inflow in a more expedient manner (Fossum, et al., 2018).
There are certain critical issues that the company faces which will have an effect on the company as a whole and it will create a problem unless they are analysed in a proper manner. The critical issues considered in this case, would be the lack of organization in the company and the lack of assessment conducted in this case which would help in the organizational procedure. There are tactical decisions taken in the organization but there is no documentation of the impact of such a decision (Verzuh, 2015). There is a lack of proper risk management or documentation of steps taken by the organization which will create a problem for the organization as there is no tracking process which will help to understand how different or how the organization has been affected by the decision taken.
There are constraints in any organization and it needs to be identified so that the same constraints could be managed in the organization and corrected. Some of the constraints that could be identified in the organization are:
- Lack of analyses: There is a lack of information analyses in the organization which has resulted in the problem as there has come a constraint in this case. The constraint has been that there is no proper directive to analyse these issues and so there can be a problem regarding such analyses and functions. There is a constraint in the number of analysts to take up this specific function (JOSEPH et al., 2018).
- Lack of network expansion: There is a lack of network expansion in that the area wherein network could be used to expand and grow has failed to do so because of structural constraints. The structural inability to grow has resulted in the constraining of the network for expansion purposes (Coombs, 2015).
- Workload: Due to the increasing workload, there has been some moral issues wherein the motivation for working and work culture has become disrupted. This is a constraint because there has to be an expansion process, but there is no proper way in which the direction can be set for the individuals. Hence, this is a constraint that needs to be identified as well (Harrison & Lock,2017).
Developing Technical Requirements for a Website
Project Management is an important section in any IT industry. Some of the ways in which project management could be done in this case for the website development is:
- Planning: First there should be a planning of the project. This planning should consider the objectives of the project and how the website of the project is supposed to be built in a manner that the project can be considered as a point of accessibility and proper information for a user who can use the same to design and make certain ways to use the project (Badewi, 2016).
- Task division: There should be a proper way in which the task could be divided among different individuals in such a way that the task once delegated could help in building and creating specialization for an individual in this case. The task division will help in the specialization of the task requirements of the website as a whole (Fossum, K. R., Danielsen, Aarseth& Johnsen, 2018).
- Timeline: The project should be made in accordance to a specific timeline. Each timeline should be considered in a way that the project could be divided and among them, and each ending of the project should coincide with a specific time that will help in the completion of the project once done. The timeline is a important part of the project to make it into a time-bounded affair.
- Vision and Mission: The vision and mission of the organization and the website should be considered and should be integrated to the design process in such a way that the company should able to convey their vision and mission through the graphical and orthographic representations in the website and that could help in the process of developing the website as a whole, along the lines of the objectives and mission of the organization (Mir&Pinnington, 2014).
Apart from website analysis, there should be a stakeholder analysis that needs to be done wherein, the stakeholders of the company would be analysed in terms of their needs and importance and therefore placed on the priority lists. The stakeholder analysis of the organization are:
- Customers: The customers are the major stakeholder of the organization and they should be catered to be providing them with the best design of the website and easy accessibility so that the customers are capable of accessing and identifying the mission and vision of the organization and capable of understanding what they can use the organization for. The customers main need is to create demand, that is, that they create demand which the organization strives to fulfil (Heldman, 2018).
- Board Members: Board members are the major members of the organization that control and finance the organization as a whole. The board members are the ones that make sure that the organization is properly financed, and that employment is done in a proper manner. They are significant for the survival and continuation of an organization and their main need is to get returns on their investment through the organization.
- Employees: Employees are the ones who work for the organization. They will include the IT analysts, network builders, engineers, penetration testers, etc, all of whom work for the company (Too & Weaver, 2014). They are important and would be necessarily remunerated for the work they perform for the company as a whole. The employees in this case required for the functionality of the website, and they need remuneration from the company (Unger, 2015).
- Management: Management or managers are the ones who manage the organization, set up communication channels and help in maintaining the free flow of information in the organization. They need remuneration and respect against the responsibility they hold. It is a significant position, as management helps in the building of relationship in the organization (Meredith et al, 2016).
The strategic planning done by the organization should be in a way that will help the organization to grow and integrate their strategies into the planning process. Some of the ways in which strategic planning should be done are:
- Tagline
The company should have a proper tagline that could attract people immediately and such a tagline should be small and powerful, like, ‘Connecting People to Software’.
- Vision and Mission
It is important that the organization understands their mission and vision and conveys it to the users. The vision of the organization could be ‘Connection people to software’. This encapsulates the objective of the organization since it hosts open source software. The main mission of the organization should be to provide a free access to the users to use the open source software hosted by the organization (Badewi, 2016). The cloud system used in the organization recently should be properly incorporated and integrated into the system and the users should be made aware of it and provided instructions for its use as well.
There should be a proper SWOT analysis done by the organization so that the current strengths, weaknesses, opportunities and threats of the organization could be identified and analysed. Some of the SWOT analyses done is this organization are:
- Strengths: It is necessary for the organization to measure their strengths and that would be:
- The organization has the required employee force
- They are willing to change the structure of the organization to integrate it with cloud systems
- There is a general level of cooperativeness among individuals that leads to the benefit of the organization (Lock, 2017).
- Weaknesses: It is necessary for the organization to identify their weakness too, which are:
- The organization makes tactical and sudden decisions that leads to the instability of the organization
- There are no analyses done in the organization which results in the lack of organizational study
- Lack of vision and mission results in the lack of understanding of the working and objectives of the organization.
- Strengths: The strengths of the organization are that:
- It is integrating with Cloud and is therefore capable of connecting people with open source elements.
- It is inviting more customers to take part and connect with the organization as a whole.
- It is expanding towards new areas to serve customers.
- Threats: The organization will have certain threats which are:
- There is a lack of proper security against third party breach in the case of cloud system (Cleden,2017)
- There is a lack of integration and analysis organization costs in the cloud process installation.
- It lacks the infrastructure to handle the major amount of traffic influx that may come into the organization.
The three primary business drivers that affect the business are:
- Time: As of now, the business does not have the luxury of time, since most of its competitors have already integrated cloud systems and so, the business must make sure that the cloud system is in place for their processes (Cavanagh, 2017).
- Cost: There will be some major costs that will have to be considered by the business, as these costs will come when the company integrates the cloud system. However, such costs can be channelled to proper returns if the organization can attract customers and earn through them (Kerzner,2017).
- Quality: The company must have certain quality analysts to maintain and improve the quality of the services offered as it will be necessary that the quality be maintained or else there could be a loss of customers.
The founders had started the company with a laptop each. Now, with the increased traffic there is a need to expand the network infrastructure so that the company could cater to all the needs of the customers. Some of the ways in which the organization could take up this issue would be:
- Servers: There should be a proper way in which the company could establish servers in the infrastructure in a manner that could help the company to use the server base and to connect different components and peripherals to that base. Also, the server should be capable to conduct different information in a manner that is organized and fast.
- CRM: There should be CRM system attached to the network so that any form of customer information could be understood, linked and stored in the network storage system so that there could be a proper way to manage the entire operations in a proper manner, keeping the customer’s opinion at the helm.
- Hosting Services: Since the organization is involved in hosting open source software, it needs to create a proper transmission-based connection so that the customers could easily get access to the different software and cater to their objective and needs (Kerzner, 2017).
There are certain client services that require to be understood and followed in this case, and they are:
- Customer service: There is a need for a proper customer service to be developed and used in the case of the organization so that the organization is capable of understanding the need and to cater to the customers. Hence, there is a need for a proper customer service centre to be opened in this respect.
- CRM: The CRM connectivity should be such it can be accessible from all different portals which includes mobile, tablets, computers, etc. The CRM would also include traditional phone-based recording for older customers.
- Social Media Delivery: For modern customers, there should be a way in which social media delivery could be initiated so that the items for the delivery or the guidance could be easily handled thought social media and contact established through social media (Neal & Harpham, 2017).
- Correct Guidance: The way of guiding an individual should be also determined. Older generations may require direct contact through phone and so no digitalized operators should be installed for them, but such may not be the case for younger audiences who may work with digitalized operators.
- Service Emails: There should be a way in which the service emails are considered, acknowledged and replied as soon as possible for the benefit of the customer service management.
Some of the IT infrastructure that needs to be considered are:
- Roles and responsibilities: There is a lack of proper defining of roles and responsibilities which should be undertaken by the founders and the general management of the group.
- Project Margin: Project margin of the company is declining since there is no proper analyses or time-based bounds in the organization and so, the project margin needs to be improved by proper project definitions and time lines (Marouf & Khalil, 2015).
- CRM integration: The CRM integration is necessary into the IT infrastructure as it is necessary for recording customer information and there will be a need for customer relational management and for that reason, integration should be made necessary (Turner, 2017).
- Cash Flows: There is a decline of cash inflows and that could be due to the faulty management and the lack of proper IT infrastructure, so there should be a way in which the founders can make sure that the IT infrastructure is modified (Verzuh, 2015).
Conclusion
Hence, it is clear that the founders need to change certain aspects of their management for the benefit of the organization. There should be proper infrastructural growth and management-based decision making to match the expansion process. The organisation should start entering into certain analyses of all the aspects of the body, that is website, stakeholder and infrastructure. There are developmental technical requirements that need to be considered as well.
