Problem Statement

A case study is selected to analyze the re-engineering business practices into the cloud network. The Reinvention Network is implemented of cloud based server in their network functions. Process framework helps to manage re-engineer practices into the cloud based server helps selected client organization to implement of cloud technologies (Doumeingts & Browne, 2016). The cloud technologies are consisted of agile and flexible IT infrastructure resulted into business agility. The collected information is kept into secured computer files. The files are being backed up to avoid of losses to collect of data as there are malfunctions of computer and deletion of files. This research study is based on achievement of best cloud server for the client to eliminate current problems that the organization is facing in their existing business operations.
Novikov et al., (2016) stated that business process re-engineering is radical changes with shorter period of time. The changes are being achieved by business process workflow, measurement of business performance as well as adoption of the information technology. The organization is implemented of collaboration tool for their business which helps the organization with collaboration, file sharing, knowledge sharing, video as well as documents among the team situated all over the world. The organization is used of Podio collaboration tool as it is a flexible as well as customized online platform for the collaboration as well as work with the team. The feature of this collaboration tool is share file and project management (Chang, 2016). Podio is a cloud based collaboration service that organized the team interaction, business processes as well as data content into the project management. The organization can select of business applications from the online app to store and build as per the project requirements.

Due to lack of collaboration among the project team members, it is hard to understand client’s requirements and manage cloud based platform. The stakeholders those are involved into the project work are project sponsor, project manager, data analyst, document and minute taker and researcher. All those stakeholders are involved into the project work to implement of collaboration tool. As the organization is faced of problems related to collaboration, file sharing, knowledge sharing, video as well as documents sharing, therefore collaboration tool which helps the client organization to collaborate and support group of team members to accomplish of the project goals. The proposed collaboration tool is such an online collaboration tool which lets people work in real time over internet.
Project Objectives
The aim of this research study is based on implementation of enterprise system for the organization so that the company can analyze re-engineer processes for the business practices. Following are the objectives of the project study such as:
- To analyze enterprise system implementation available for The Reinvention Network and analyze best cloud solutions for the company
- To design of proposed framework and display new business forms once there is execution of proposed framework
- To complete the implementation work by June 11, 2018
- To link of business management, client project management and research management systems by use of cloud based applications
Drucker (2014) stated that collaborative learning is fostering development of professional skills like the accountability of individuals, communicational skills and providing of feedback. Various collaboration tools are required to facilitate of online collaboration and files sharing. This study is focused on utilization of collaboration process model for classification in various categories such as communication, resource management in addition to project management. Luo, Shi and Venkatesh (2018) argued that when the employees are working together, engagement is tend to increase when use of online collaboration tools. They can share of thoughts and ideas with each other. They can update the project progress as well as keep open with line of communication. Giachetti (2016) discussed that main purpose of the collaboration software is enhancement of organizational productivity of individuals in the organization to achieve of project goals. Banerjee (2015) argued that implementation of collaboration software are critical business decisions. It is required to assess the factors and requirements in relation to the business. According to Morden (2016), cost of collaboration software is varied from vendor to vendor in addition to based on features of software. The features of collaboration tool are file storage, customization, integration with applications and advanced security among the team members.

From the customer review, it is analyzed that Podio provides help for the project management purposes as the platform is offered higher customized in addition to flexible settings to adapt internal user interface to the project requirements. The goal of this project is to find how effective Podio is in respect to the customer’s review. After analyzing 20 customer’s reviews, it is observed that Podio software is flexible. The tool is customized, little hard; best feature and moderate (Mashhadi, Azar, & Shahin, 2015). It increases communication as well as collaboration among the project team members. Most of the customers stated that the tool has efficiency and it has no phone support. The tool is not secured so much. As per few customers, Podio tool is time consuming and expensive.

It is found from the study is that the collaboration tool is communicated organized and worked done into one place by means of Citrix Podio. It is customized to fit how to run the projects properly and effectively. With organized projects, it will slow the team down to get status related to project work. Giachetti (2016) stated that the collaboration tool helps the team to communicate as well as organize things for facilitating completion of project tasks. Whether there is requirement of urgent message from the member to share of information, Podio collaboration tool is put in conversations into one place for easier monitoring. Selected research approach means of proper theories as well as hypothesis to solve the research problems and tests the theories with use of empirical observations. Descriptive research design is used to provide detailed processes involve with analyzing re-engineering with business practices. Dang and Pheng (2015) discussed that use of examination plan enables to choose data on attributes of precise individual to perform required tasks. The methods which are used to collect data are qualitative research methodology. A technical survey is conducted among the employees for cloud based online tool. The researcher has captured of recent customer reviewed from the collaboration website as well as ratings are indicated how much the collaboration tools are useful for their customers. Therefore, it makes qualitative research more costly (Neuman, 2016). The benefits of this research approach are that the information are richer and has deeper insights into the research phenomenon. Therefore, main methods to collect qualitative data are survey, focus groups, action research as well as observations.
A sample is being taken from target population which are being researched. When the sample is adequate, then it will have same characteristics of the research population. The sampling methods are those methods which are used sample from population by reduction of more convenient size. The sampling techniques are used when the interferences are to be made about targeting the population (Alvesson & Skoldberg, 2017). The target population are to be selected and chance to select one object is equal to chance to select of other object. In this particular study, the selected sample size is 20, where 20 customers are used to perform online survey, take feedback of employee in addition to review to gather of data. For those customers, technical survey is conducted and the researcher has captured of recent customer reviewed from the website based on the ratings which are based on various features.
The report is based on re-engineering business practices for cloud-based network operations where the re-engineering guidelines are ensured about development of common application software to be configured into the business applications. It is imperative that the applications are being developed to make them standardized in addition to compatible to host and run across the states (Razmerita & Tan, 2017). This requirement is translated into development as well as roll out of the product cloud enabled application that can run and also hosted to configure them as relevant processes with minimum customization for rolling out the services into shortest time. From the past 12 months, there is adoption of collaboration software which is taken as biggest trends (Razmerita & Kirchner, 2015). Collaboration tools are making improvement into the business to enable better communication along with an increase into productivity of business. A survey is taken of the 20 customers so that it is analysed that the organization are used of cloud based collaboration tool to share of files, knowledge sharing along with vide sharing among the project team members. Razmerita, Kirchner and Nielsen (2016) discussed that Podio is a cloud based collaboration tool that can supply of web based platform towards team interaction, business functions and data content into the project management. There are various standards which are available into the software engineering lifecycles that is ensuring about quality product development as well as scope towards continuous improvements (Merz, Seeber, & Maier, 2015). It is required that software engineering standards are being adopted throughout initial stages of development lifecycle to make sure that developed solutions are meet with quality certifications along with security testing. As part of software engineering, it is required to use of technologies which are developed into open standards (Kirchner & Razmerita, 2015). Minimum customized and maximum configurations approaches are to be adopted.

The factors which are taken into consideration for analyzing Podio software are flexible, customizable, increase communication and collaboration, efficiency, phone support, overall complex and moderate and time consuming or expensive. At first, the researcher has provided with positive feedback such that among 20 customers, 16 customers said that Podio collaboration tool is flexible, 15 of them said that it helps to increase into communication and collaboration. 9 of that customers are provided feedback that Podio has efficiency and customizable in addition to integration. 4 of them said that it is less flexible and 3 of them said that it is hard to customize. Based on flexibility, there is wider range of available applications; Podio is used into the industry as best full package software (Yadegaridehkordi et al., 2018). Podio is customizable software program which allows building the program with no need for particular knowledge’s. The development team of Podio is accessible towards customer’s feedback and the users are agreed to receive of dependable support. The users of Podio is claimed that implementation of software will make improvement over long distance communication among international clients. El Mhouti, Erradi, & Vasquèz (2016) concluded that Podio is an average project management system. Due to unlimited storage abilities, Podio is a file sharing tool that is integrated with major file storage and file sharing services included of Google drive, and Dropbox. Apart from these upsides, there are also some downsides of Podio collaboration tool and the researcher analyzed the negative feedback out of those 20 customers. 4 customers said that it is time consuming and expensive, 3 of them said that it is hard to integrate with third party application and complex. Whereas, 2 of them said that Podio is not supporting mobile application and not secured. The downsides are included of limited time tracking. Podio is not come equipped with the stopwatch timer and capabilities. Time tracking is being incomplete to elective timesheets that can build with the application along with inhabit with the data. Podio is simpler than build-to-order program, where the users are found it to complicate for everyday usage (Podio, 2018). When the end users are thinking about project management software, then Podio is involved with too much of time in addition to effort. Podio protects the safety as well as privacy of the users but its security is low as there is less secured of host, low secured encryption and also unrestricted access to the employee’s information.

Apart from Podio software, there are also some other collaboration software which are used into the business applications such as Zoho Cliq. It has features consisted of document management, drag as well as drop file sharing, channel based permissions and team video calling. It is allowing the team members for real time communication, sharing of audio and video files. It is provide with mobile applications for iOS and also android devices. Zoho connect is a cloud based collaboration software has features of customized application builder module that allows the users for designing the applications. Samepage is also software with features of sharing of files, managing of tasks, calendars and editing of spreadsheets and other in real time. The research is analyzed that Podio is best online collaboration tools which is flexible as well as customizable online platform for collaboration as well as work with the project team (Iizuka, Iizuka & Suematsu, 2015). The features of this online tool is share file and project management with integration of Dropbox, Google drive, Evernote. The selected research methodology is qualitative that is part of the data collection techniques. There is proper use of online survey web- based tool, feedback of the employer and reviews to gather data, survey questionnaire to get feedback on effectiveness of proposed collaboration tool (Luo, Shi, & Venkatesh, 2018). The ratings which are provided by the customers on the tool indicated how much the Podio tool is useful for their customers.
The Podio collaboration software tool is easier to use as well and customize, so that the features are working effective. It is a best place to collaborate in management of project work. There are greater organized as well as updated data with drag and drop feature to integrate with other applications along with programs (Corradini, Polini, & Re, 2015). Podio is helping for the project management purposes as the platform is offering higher customized as well as flexible settings to adopt with the external user interface to requirements or characteristics of project. Podio’s user friendliness is larger personal opinions. From the Podio review, the users those provided with positive review is liked customizable as well as flexible the system is to make it possible for fitting with business requirements. There are some negative reviews related to Podio such as less secured, not supported mobile application and expensive.
This particular chosen research topic is helping to expand of knowledge on the online collaboration tools. In this particular study, there are some research limitations and defined project scope. The limitations of this study are time constraint. The researcher has lack of time to do further research on other collaboration tools expect five which are mentioned in this paper. Detailed analysis is not possible to do because of cross sectional study which leads to limitation. Due to budget constraint, the researcher is faced of issues such as lack of budget estimation, lack of fund to perform study. Therefore, it provides effect on quality of study. The participants those are concerned with this study are not focused on motivational factors. The participants are not motivated by management level to work and provide results based on selected research topic. Concerns regarding reliability are a concern for this particular study.
Following are recommendations which are stated into the study based on selected collaboration tools such as:
Scalability: Into Dropbox business, two main factors are required such as extensibility as well as scalability. This collaboration tool is mobile friendly, therefore can access via virtual every channel.
Free version: Podio is recommended to use of free version with limited users to ensure that the application is such that it can able to work. It will help to practice making custom workspaces.
Perfect project management software: Samepage is proper project management collaboration software to communicate with various business as well as group options.
