Charity Event to Raise Funds for the Needy Community
The following report is based on a Charity event that has been designed to help the homeless of Sydney. The event has been organized by a local NGO named Love and Care that is famous for its charitable deeds in Sydney. The mission of the following event is to accomplish a well done community service for the neighborhoods of Sydney that have been experiencing homelessness and to initiate an essential way of obtaining different resources.
As mentioned earlier the following program will be focusing on the raising of funds for the needy community. The fund raising event is necessary for the proper uplifment of the needy community of Sydney and ensures the goodwill of the community (Holmes et al. 2015).
A Community cultural program has been organized in the local community with a limited budget and it will see the participation of some eminent celebrities. The cultural program will involve a number of different events for the children as well as the adults especially from the backward community. The total budget of the program has been fixed at an amount of $5000. The limited amount however will not act as a constraint to the success of the event (Jones 2017). The cultural events will be attended by a number of different people and the participation cost has a fixed amount of money which will enhance a good amount of fund for the charity event. The concept testing using the ideas of different other events have to be done to cover the total event. This will include a research from the part of the NGO where they will be conducting a market survey and analyzing the responses. The results of the analysis will be used for the proper organization of the following event.
The match as well as the program is scheduled to take place at Green park theatre hall in Western Sydney. The theatre is a old structure but has undergone massive refurbishment in the near past. The management of the theatre has levied no charges for the organization of the particular program. The NGO has organized the following event to connect with the community in a better way and also help other people of the community to have a better understanding of each other and also help the needy in distress. A total number of 450 people are supposed to attend the event and a number of arrangements including community events, food stalls and some other events have been included in the main event. The ticket charge for attending the event ranges between $20 to $50.
Event Details
Conception
The Homeless needs food, drinks, baby food, clothes and other things like different body essentials.
Planning
The plan is to cater upto 50 different individuals and complete all the tasks that leads to the event within three weeks.
- Retrieving $500 funds (Donations, Salvation, Department of Homelessness and Supportive Housing)
- Finding Volunteers (Product Counter, Assistants, Drivers)
- Promote More of the Event to attract more sponsors as well as increase the amount of the charity
- Find Able and Efficient Volunteers.
Milestones of the Event
The milestones are the notable achievements during or before the event. This includes the likes of;
- The different types of funds and donations retrieved from the different kind of sources
- The completion of the gathering of all the resources that includes the likes of volunteers, perishable items, equipments, bags, gift packs, organizing needs and many others as such
- Turn up is real and moving well and in a proper direction
- Setting up of the date, time and checking of the weather
- Marking all the people who are to be selected for the charity event
Assumptions
Some of the main assumptions are;
- Every single planning must go according to the cost, resources and time.
- The target has to be set for making a charity of a fixed amount.
- Resources and other funds have to be assembled in advance
Staffing and description
Number of Staffs of Love and Care
A total of 52 different staffs will be involved in the follow up to the event starting from market survey, to the collection of data for the analysis, Selection of the people who are to be helped and other different considerations.
Number of Volunteers for the event
A total number of 50 volunteers will be needed for the smooth organization of the event. The volunteers will be selected based on different types of the qualification like their experience in managing such events, their interest for volunteering the event and many more as such.

- Specific- The goals are specific as they aim to make the event of the charity a hit
- Measurable- The goals are measureable as the target can be easily measured on completion of the project of making the clinic for children
- Achievable- The Goals are really achievable through the conduction of the fundraising event
- Reliable- The presence of reliable stakeholders will ensure the success of the following project
- Time Based- The goals are time based as they does not rely on unrealistic facts.
Vendors
The suppliers of the events includes the likes of the sponsors, the supplier of the jerseys, the supplier of the different gifts, the supplier of the special balls and all the other kinds of items that are required for the organization of the particular event (Getz and Page 2016). The vendors will also provide different kinds of items that are required to organize programs for the event. The most important events were the charity match as well as the different cultural programs.
Human Resources
The club hired a number of professional Human Resource experts to manage the workers as well as the crowd efficiently. An independent enterprise has been provided the opportunity to organize the event in an organized and efficient way. The organization of the human resources will ensure the smooth functioning of the event along with its success (Richards 2015). The Human Resource department will help to organize the ticket sales and will collect the money from the sales of the ticket. Before that the department would be making sure to retain the most able people to the different volunteer post for the event. The Human Resource will also have to arrange the total program in an organized manner.
Volunteers
The organization that will be ensured to organize the event smoothly will have to appoint able and sound volunteers to manage the crowds efficiently and properly (Leask 2016). The presence of able volunteers will help the club to ensure a chaos free event and will ensure the success of the particular event. The volunteers will be arranged in such a way that they are fit for the purpose of a charity event. They would be trained in an efficient way to make them ft for the particular purpose.
Financial Resources
The financial resources of the club are the pre fixed budget of the particular event. The budget of the event has been fixed at $5000. The budget though limited provides ample scope for the club to attain the main objectives and goals of the event. The proper management of the budget will increase the scope of the event (Raj Walters and Rashid 2017).
Risk Assessment
According to, Steven Morrison and Castley (2015) the duty of the management is to measure the risk factors involved in the event. The risk factors must be evaluated and managed accordingly to ensure that the club avoids any kinds of unavoidable circumstances during the course of the event.
