Objectives of the project
The objective of this report is coming up with a business information system that will help Crinitt Venice in improving the ways it offer services to its customers. The main idea in achieving the development is first of all identifying the benefits that will be associated with this BIS being successful (Baltzan, 2017).The other objective is identifying the stakeholders of the project and, much more preparing the system requests. Last objective is knowing how to the system development life cycle in identifying the best methodology of dealing with the IS development. The problem that need to be achieved in the business information system is the developing of a system that will automate all the operations of Crinitt Venice. The statement of the problem is coming up with a system that will generate the reports monthly, annually and semi-annually and much more a restaurant business application where customers can view menus and order online without necessarily calling for waiters. Also we need to understand how the problem will be solved and what are some of the methodologies to be applied in finding the solution.
In business information system the stakeholders are the users of the system, developers, managers and technical staff that support all the functions of Crinitt Venice. The following figure show how the stake holders interrelate in the restaurant.
On the left side of the diagram it clearly shows the stakeholders involved in the development of Crinitt Venice’s BIS which has been broadly classified by using different stakeholders (Whitten, 2013).
- System analyst- this is the person who serve as system facilitator by offering the bridge in communications gap that may be developed in between the non-technical system users, the technical designer of the system and the builders.
- System Owners- these are the holders of who are always interested in cost and benefits of the system. They come from the management in different ranks. In cases of situations of large or medium firms the stakeholders here are the middle or the executive managers but for small firms the owners are the middle managers or even taking the title of supervisors. It’s good to know that the system owners are always interested in the bottom line.
- The system users here are the people who are concerned with the functionality of the system as they the ease of use of the system. This users may be the normal clerical service workers, technical staff, professionals staff, the supervisors or middle managers, clients/customers, the suppliers, partners who collaborate with Crinitt Venice, normal employees. This always ease the learning and hence becoming a primary concern as they get the job to be done.
- System designers are stakeholders who have interest in the information technology choices and in the system designing
- System Builders- are used for constructing the system according to what the system designer has designed
- Project managers- this individuals who work tirelessly by working together as a team in building an information system. The project manager is known for ensuring that the systems development is on the timeline and work within the budget constraints and with a quality that is acceptable.
The software development process is a very major process in every successful project. SDLC is known for setting all activities, offering the best practices, producing deliverables and automating tools that the stakeholders applies in developing and maintaining the IS and software (Dennis, 2012).Using the general approach of Waterfall method where we will explain the steps of achieving the Business application system for Crinitt Venice restaurant (SISMD, 2015). The process will be as follows.
- Identifying the Crinitt Venice restaurant problem
- Analyzing and defining the problem experienced by Crinitt Venice
- Identifying the requirements and the expectations of Crinitt Venice(Modernrequirements, 2017).
- Consider and identifying the alternative solutions and choosing the best action(Avison, 2006).
- Designing the best chosen solution
- Implementing the best chosen solution
- Evaluation of the result
In the case of Crinitt Venice the problem is automating its operations and the analysis we got is that we want an app that have menus and where the customers can order online, also we have seen that we need a system that will be able to produce or generated reports yearly, semi-annually and monthly. We have to choose the best solution from that we come up with a system that will meet the needs of the user and those of the owners (Panchal, 2015).
Stakeholders
In planning phase is here we meet with the customers so that we can understand their requirements. At this stage Crinitt Venice will know the whether the project will be clear, activities which are discrete and hence work needed to be accomplished within the single project. It’s good to note that if planning is completed successfully it will help in ensuring the smooth working of all other phases. Lastly is that planning is used for developing a Baseline project Plan and the Project Scope statement
The analysis phase is very important in documenting all the requirements that are desired for development of the software. In getting the analysis we can do this in Crinitt Venice by dedicating time in conducting extensive interviews with all restaurant stakeholders (Gordiyenko, 2014). The analysis will compose all the structures of the incoming data, then we analyze the data and consider all technical limitations that may occur on the customer’s side and hence the system analyst has to come up with a specifications which are ready-to-follow that meets the needs of the clients. When doing the planning and analysis then we have to consider all the constraints which may hinder the development such as the timeline and the budget.
The system request response is based on the following scenarios and commitments in developing the BIS for Crinitt Venice restaurant. The following issues in identifying and making the work being successful in preparation of a system request are described in the table below.
System Request Form
ELEMENT |
DESCRIPTION |
EXAMPLES |
Project Sponsor |
The first step is identifying the project sponsor being the individuals who recognizes the needs of the business and serving as the primary contacts for the project |
In Crinitt Venice this are the system owner’s stakeholders |
Business need |
Identifying the needs of the business is the next procedure in the plan where to know the prompting reasons to why Crinitt Venice has prompted in developing a business information system. This is known as it will include all the capabilities and the features the IS will include in it. |
Increase sales Improve market share Improve customer service Improve access to information Generate reports Increase competitive advantage |
Business requirements |
The other plan is knowing the requirements of the business and this is simply the capabilities that the system is having or need to have. Great emphasis is given on their reason to why it is required other than what it achieve in real sense. |
Provide online access to information Capture customer demographic information Include product search capabilities in form of menus Produce management reports Include online user support |
Business Value |
There will be increased in competitive advantage, Another benefit is that less will be spent in employees many staffs |
High percentage in increase in sales Percentage in increase in market share |
Special issues or constraints |
This is mostly on the timeline, budget and much more the unavoidable situations |
Govt.-mandated requirements System needed in time for the On peak season Top-level security clearance needed by project team to work with data. |
NB: After completing the System request plan preparation is then submitted to the committee of Crinitt Venice for approving after considerations.
The budget is made and designed on the basis of SDLC used (InfoEntrepreneurs, 2018). IN this case the budget will use the waterfall model in explaining the cost which will be inform of dollars as shown below. Assuming we are given a budget constraints of about $10000
Some of the competitive advantage gained by Crinitt Venice will be that they will have an automated system and hence loss of information and incorrect order and records when dealing with suppliers will be very minimal and very rare (Eduqas, 2018). The other competitive advantage will be that the restaurant will be updated by knowing what the other restaurants are offering as they will be online and this will help them in adjusting the price for them to be able to be stable in the economy. Last advantage will be that they will gain more customers as the growth of technology has incorporated many which has results to many using it even in areas whey they do online purchasing and delivered at their home.
Possible Effects
Some of the possible effects if the system is implemented will be as follows.
- There will be increased number of orders
- There will be accuracy and transparent as the system will be able to cater for all Crinitt Venice issues.
- The other effect to expect is that there will good and accurate records of the finance monthly, semi-annually and yearly generated.
- Lastly is that it will reduce work and save the cost of hiring many people as the system will do some jobs that could have been done manually.
- There will be less paper work.
Conclusion
The idea behind this proposal is understanding the concepts of Business Information technology and if implemented how it will help Crinitt Venice?
