Required skills and knowledge
The main objective of this project is to develop and implement a website and mobile application for social media research Centre. Budgets and time limit has already been decided by the client and we have delivered website in given time limit and with required needs and quality (Burke, 2013).
Required skills and knowledge
Every member of the team should have following qualities in them-
- Punctuality- Every member should be punctual of time and should be present during their office hours.
- Efficient communication= Communication skills of each of the member of the team should be effective and efficient. There should not be any ambiguity in the communication process.
- Delegation- Delegation is one of the most important skills required in team member as a person cannot perform all the functions. Therefore particular job should be delegated to person apt for such job (Parumasur & Govender, 2013).
Team communication
All the communication done between the team in relation to the above-mentioned project would be in written form. This step is taken by the team management to assign proper accountability and responsibility among team members. The communication will be done through work email id and communication done from personal emails will not be considered in case of conflicts. Weekly meeting will be conducted at registered office of the company (Ferrell et.al, 2013).
Team rules and expectations
I have worked as a part of a various team in my experience and I have gained both positive and negative experience. Usually where the communication between the team members is not efficient and goals and not properly defined, in such cases my experience has been generally negative. The project is never completed in time and the budget usually exceeds in such cases. Hence in this project team, I expect that the communication between team members would be efficient and we will be able to timely achieve out project goals and objectives.
Team values
- Participation from each and every member of the team.
- Proper knowledge management i.e. sharing knowledge gained in a project with other members.
- Important decisions in the team would be taken on the basis of skills and knowledge rather than rank in the organization.
- Proper channels of accountability and responsibility.
- Finding scope for improvement at every stage of the project.
Codes of ethics
- Each and every member should be present at a workplace at given time.
- Any ethical issue faced by any team member should be communicated to concerned parties.
- The decision which affects every member of the team should be taken with the consensus of every member.
- Workplace rules and regulations should be followed (Ferrell et.al, 2013).
Rules and expectation
- Every member of the team is expected to be present at workplace every day and in case of emergency, they should inform team leader.
- No member should be absent from the weekly meeting and prior notice should be given in exceptional cases (Robles, 2012).
- In case of conflicts, a proper chain of command should be followed for resolution of such conflict.
Implementation of learning cycles is very important for effective and efficient working of the team. Learning cycles help in giving structure to a team and repetitive works can be done in lesser and lesser time as the number of execution increases.
As part of the execution of learning cycle, we will assign roles and responsibility to each and every member of the team at the time of conclusion of the first weekly meeting. Assignment of roles can be divided into two major categories i.e. – the organizer and the scribe.
The organizer- organizer is a person who is responsible for organizing the meeting and also responsible for effective conducting of the meeting. He makes sure that each and every team member is able to present his or her views and other people are following the instruction given by organizer in relation to their roles and responsibilities.
The scribe- the role of the scribe in these meeting is to write down each and every activity done in these meetings in detail and form conclusion on the basis of this documentation. The documents prepared by the scribe will be used by project management team, therefore these documents should be prepared following the principles of accuracy and relevance (Young, 2013).
Team communication
The process of team management is not completed it proper communication plans are not prepared as per need and requirement of the project. There are various people associated with a project who have direct or indirect interest in the project. These people are called as stakeholders of the project. Needs and requirements of each of such stakeholder might be different from each other. Therefore it is important to prepare communication plans to satisfy requirements of each stakeholder (Seuring, & Gold, 2013). In this segment of the report, we will list out various stakeholders in a project with their requirements with the project. We will also define the means through which these needs and requirements of each of these stakeholders will be completed. Project underhand is the development of the website and mobile application for a client.
List of stakeholders with their expectation from the project
Customer
The first person who has a direct relation to the project under development is a customer who has demanded such project. He has invested all the money in the development of the project, therefore it is important to give such person regular update of the project. This can be done in form of a weekly report which will be set to him on email. We will also conduct a personal meeting with the client to take his approval at regular interval of time.
Top management
These are the people who are preparing strategies and plans for the development of the project under consideration. The primary responsibility for the completion of the project lies with top management and they transfer these responsibility to separate teams and team leaders. In case of any default, top management will be held accountable by the customer. Top management generally keeps a regular eye on projects by the formation of steering committees. Otherwise, top management should be communicated in form of periodic formal reports (Beringer, et.al, 2013).
Project team
These are the groups of people who are actually working together for completion of the project as per needs and requirements of the customer. These can be regular employees of the company or can be hired on contract basis for the specific project. The objective of these team members is the completion of the project on a timely basis so that they can receive their incentives and salaries. Team members require regular updates of the status of the project as an individual team member is performing a small part of the project. Hence regular meetings should be helped by all team member in which they can discuss various aspects and problems faced by them in relation to the project.
Team rules and expectations
Supplier-
A supplier is a person who provides raw material in the project. His interest would be to get regular payments for the material supplied by him.
Resource manager-
The objective of the resource manager is to evaluate the resource requirements and utilization of each project undertaken by the company. The interest of resource manager would determine that the project team in not inefficiently using any resource of the company. Regular updates resources issued and utilized should be given to resource manager in relation to every project (Schwalbe, 2015)
It is very difficult for a group of people to work together and follow given a path toward achievement of common goals and objective. Each and every person have their individual qualities and mindset. This different mindsets and opinions can create conflicts in a team management. My experience in working with my assigned team was mostly positive. There were some conflicts in certain situation but these situations and properly dealt with as per set policies and procedures. The biggest advantage of working with this team was that each and every member of the team was given specific roles and responsibilities. Members were given total creative freedom to deal with their part of project management. This has helped me keep the team members motivated and keep the project on the predefined timeline.
As a team leader, my responsibilities were higher as compared to other members of the team. As per my experience following are some of the management techniques which are very helpful in management of IT project-
- Motivation- It is very important to keep the members of the team motivated otherwise the can get deflected form project goals and objectives. I have given complete creative freedom to the members of the company so that they keep their interest in the project under development (Manzoor, 2012).
- Leadership- leadership is quality which enables the team leader to lead people and enable them to contribute toward achievement of goals and objectives. I promoted self-leadership style in my team so that each and every member of the team can be able to show a certain degree of leadership qualities. This will also help them in their overall professional development (Northouse, 2015).
- Work breakdown structure- one of the best time management techniques is work breakdown structure. With the help of this technique, we were able to complete the given project in given time limit.
