The main objective of the report is to demonstrate the essentials for operating the computer with regard to store, analyse, retrieve and present the data. The report will outline the findings from monthly sales of X-Fit chain of gyms to state the revenue earned from peak members as well as off peak members. There are numerous benefits that can be extracted by the business through usage of Microsoft Office in their business activities. The report will also explicate how Microsoft Office like MS – Word, MS – Excel and MS – Power point can be used for increasing the productivity of the business (Norquest.ca 2017). It will also describe various technological advancements that the business shall be aware off for ensuring that they are updated with the technological advancements. Finally, the report will point out some some key points on the basis of the discussion and findings and will suggest the necessary recommendation (Bott and Siechert 2013).

It can be recognized from the above figures that the total number of members during peak season is 17,680 whereas the number of members during off-peak season is 10,457. Further, the fees charged from members during peak season are £ 58 and during off-peak season is £ 36. Total fees received from both the season is £ 14,01892, out of which the maximum part that is £ 10,25,440 is received from peak members and the rest part that is £ 376,452 is received from off-peak members (Gprc.ab.ca 2017). The highest fees received by X – Fit chain of gyms are from club located in Shoreditch and the fees received amounted to £ 376,114. On the contrary the lowest fees received by X – Fit chain of gyms are from the club located in Peckam and the fees received amounted to £ 240,610. Further, out of total 5 clubs, 3 clubs are earning profit and 2 clubs are in loss.
Every company prefers to make the jobs easier for their employees to increase their productivity. This will enable them to get higher productivity without investing large amount on new business applications or technologies. Just the company has to invest the amount for training the employees on new technology (Bu.edu 2017). With Microsoft office the company can remove the burden of the employees with regard to storing the data, managing the data and making various adjustments in the data. However, Microsoft itself does not increase the productivity but it assists the employees to communicate in easy way, gain knowledge from the business data and share crucial information among themselves. Moreover, it makes the decision making procedure easy as the data are readily available to compare, analyse and apply (Wilson 2014).
Microsoft Office and Productivity Enhancement
Microsoft Word is the graphical program for word processing that are used to type with. The purpose of MS Word is to enable the users in typing and saving the documents. It is similar to the word processors and is helpful in preparing the document. Most obvious advantage of MS Word is its availability. Further, it can be used to save the documents that can be used conveniently and can be taken anywhere with the user. Another important advantage of MS Word is that it enables the users to make various formats as per the importance and need of the user. Apart from that it allows the users to prepare simple documents for the business correspondence and greatly helps to design and create the brochures, business cards, new letters and various other items as per the required shapes, fonts, smart art, clip art and charts.
MS Excel is the integral part of most of the businesses. It is used by the business establishments for different purposes. It comes with million rows and columns of data and automates the number crunching (Anderson, Sweeney and Williams 2014). It is further used for raking sales trends, generating the memos and maintaining the business data. Te grid interface of MS Excel enables the users to define the information structure that are required to be managed in easy and simple way. Generally it is used for financial related tasks. Users can use custom formula to calculate the quarterly, half-early and yearly results. Moreover, it is used for presenting the data with graphs and statistical data (GCFLearnFree.org 2017).
Various businesses use the MS Power point for simplifying their creation efforts associated with presentation. The main objective for which MS Power point is used by the businesses is to relieve the employees from the burden of generating the business forms like invoices, fliers and labels through tapping into the template collection of Power point (Larson and Gray 2013). Through power point interface the user can use bullet points for details and in addition various formatting options are available to customize the data. Tasks like adding the logo in the corner of a slide, reformatting of the fonts to match it with the logo or altering the colours of template just takes single or couple of the clicks (Schoeneborn 2013).
Perfect Gym – it is the system for the club management and can be used by all kinds of sports facilities, gyms and fitness clubs. It helps to tackle all the requirements associated with facility management associated with membership management, tools for sales, booking, reporting, marketing and billing. It offers various features for management of membership that enables the users to manage the preference and profiles of the members, track purchases and visits, manage discounts, view reports, measure KPIs and view the activity logs. Further, the built in CRM allows the managers and owners to store the contact data, interact with the sales representatives for assigning tasks and launch marketing initiatives and campaigns. MS Word
QuickBooks – it is leading software for accounting of the small business organizations and is manufactured by Intuit. It manages all the finances with the online version or the licensed version. It helps in instant access to the vendor, employee and customer information. Various accounting features those are supported by QuickBooks are accounts receivable, accounts payable, collections, cash management, fixed asset management and billing and invoice. The condense data utility feature under QuickBooks streamlines the data file of the company through removing the unused list of elements and condensing the closed transactions into the summary of journal entries. While conducting the business the professionals generally rank up various expenses that are used for customer billing purposes. These include small purchases like meals and mileage or the large expenses like international business visits. Irrespective of type or size of the expenses, the QuickBooks software maintains the feature that enables the users to record each data (Schiff and Szendi 2014).
Laser-jet-printer – the business owners requires printing out various documents and business materials on daily basis for the normal business activities. Therefore, he is required to invest for high quality, energy saving laser jet printer for quick printing. As all individual business has individual needs and preference the company shall contact a specialist for suggestions before purchasing and implementations of the printer. Purchasing the right kind of printer will enable the company to stay organized and minimize the costs associated with completion of task and enhancing the productivity. Moreover, the management shall spend some times for analysing the specific requirements and selecting the most appropriate one. From the above discussion, it is concluded that Microsoft Office plays an important role in daily business activities. The accountants can save large amount of times as well as can minimize the manual errors through usage of MS Office which in turn assists in increasing the efficiency and productivity of the business. Various MS Office components that are used by the businesses are the Microsoft Office, Microsoft Excel and Microsoft Power Point.
