The topic of the presentation here is “importance of motivation at workplace”. In the present day business scenario, motivation has become an integral part of business and human resource management. The presentation will present to its leaders the problems caused due to absence of motivation at workplace, the challenges required in motivating the employees, the models of motivation at workplace and the results of implementing motivation at the business organization. Thus, the presentation will help the readers grasp the concept and importance of motivation at the workplace in depth.
Before getting into the intricacies and in depth study of motivation, it is extremely important to understand the true essence of motivation. The term ‘motivation’ has been derived from the word ‘motive’. Motive may be defined as an inner state of our mind that activates and directs our behaviour. It makes us move to act. It is always internal to us and is externalized via our behaviour. Motivation is one’s willingness to exert efforts towards the accomplishment of his/her goal. Motives, goals and the behaviour to accomplish those goals are called motivation. Hence, it holds significant importance for the achievement of the organizational goals.
One of the major problem the employee faces in the absence of motivation is that he loses the enthusiasm or the inherent spirit to go to work, thus he is always late and become a subject of constant banters by the managers. The problem here lies that organization completely sees this as the fault of the employee, but in reality there is no push or force provided by the organization to pull him to his workplace. The employee is demotivated to the core, loses track of time, inefficient working hours, loss in productivity, lack of discipline are the problem faced by the employee due to lack of motivation.
Business environment and organization are changing at the tap of a finger, this provides for the leadership or the management to be flexible in its approach while dealing with a specific situation. For instance, another major problem with the absence of employee motivation is high turnover / attrition in the organization. Employees who are demotivated working in the business organization start looking for other suitable opportunity. This is a loss for the business both in the longer and shorter run, as the organization loses one of its employees on whom the company has invested hundreds and thousands of dollars, at the same time the bad name of the company also floats in the market.

This clearly implies the premise of one of the most important topics management, MOTIVATION. Lack of motivation hampers the productivity of the employee significantly; he does not bother to complete his job duties on time, and is just wasting the time in office. This reduction in the overall productivity of the employees eats up the organization, thus citing the draconian problem of motivation at the workplace.
Definition and Essence of Motivation
The next logical point following the Problem faced by the organization due to demotivation is, what has to be done in order to overcome the challenges faced by demotivation and to keep the employees motivated and focussed on their business goals. Thus, comes motivation into play, the essence of motivation is sufficient for the employee to work with enhanced productivity. The section following the slide will discuss what the organization can do to motivate its employees effectively.
Motivating employees is a critical element in the success of the business organization, however in practice it is a systematic process which leads to the motivation of the employees. The first step is creating or setting up the goals of the employees in sync with the goals of the organization. This gives a feeling of importance to the employees as they have a clear understanding of their goals, and the important role they play in the attainment of those goals. Thus, they are focussed on their jobs; they know their responsibility and accountability and are also aware of the path they have to walk in order to attain the goals set for them, thus motivating them to reach towards their goals.
The image here depicts the process of reward and recognition in the business organization as a factor for motivation for the employees. Reward and recognition serve as the factors of extrinsic motivation for them, which results in boasting their confidence, which eventually leads to high productivity at the workplace. Every individual likes being appreciated; it acts as a catalyst to push them to work with enhanced productivity. Thus, reward and recognition is important not only to boast the morale of the business employees, but it certainly motivates them to work efficiently for the organization.
The image here shows a business organization in which every person talks with everybody and openness in communication is the order of the day at the workplace. Openness in communication helps the employee in understanding the rationale behind the strategies, process and practices of the organization, and they become accepting to the changes. It also makes it easy for the employee to approach any person in the organization, which helps in motivating them. Thus, communication has a major role to play in motivation of the employees; it can be by virtue of giving them feedback, open door policy, communicating information/goals and many more.

Effective learning at the workplace by the virtue of modern day communication and collaborative tools helps in opening up various avenues of success for the growth of the employee. Learning and development also helps in putting the employee on a pedestal to fast growth and opportunity, thus motivating them to work effectively in the organization.
Many business organizations see motivation just as a set of activities which motivates the employees in the organization. However, it is an accumulation of plethora of factors which leads to the effective motivation of the employees. One of such techniques is the implementation of feedback policy or a 360 degree performance management system for the employees. Feedback from the colleagues, peers and the managers helps in identifying the lacunae in their working, which they can improve to work effectively. Thus, it is extremely important to engage with the employees and give them a constructive feedback about their work and behaviour in the organization.
Problems caused by Lack of Motivation
Employee empowerment is the process of including the employees in the process of decision making, brainstorming activities, deciding on a possible strategy to overturn the situation and in many other situations. Employee empowerment has a great motivating impact on the employees, and as it can be seen from the image the employee then perceives himself as a SUPERMAN. The employee feels valued, he feels that his opinion and feedback carry a weight in the organization and he associates himself more closely with the business, thus making him a coherent part of business organization.
The slide here focuses on another important aspect which helps in motivating the employees at the workplace, the development of teams and better engagement with the employees. Team work helps in building positive synergies which lead to achievement of the organizational goals in a shorter duration of time. Team work also promotes bonding, better cohesion and a feeling of oneness which eventually contributes towards the motivation. In the similar manner engaging the employees in complex tasks, fun activities and other activities would not only keep him occupied but would also keep him happy and motivated.
The next slide will describe some of the models of motivation which can be used for motivating the employees.
The slide here shows the very first model of motivation which was invented by the eminent research and management expert Maslow. The Maslow hierarchy model states that not every employee is same, thus it is very important to identify their stage of life and what motivates them to reach for their goals. Maslow has divided the different life stages of an individual into 5 categories, according to which the employee can be motivated. The 5 life stages on the basis of the needs are:
- Physiological
- Safety
- Love/Belonging
- Self Esteem
- Self-actualization.
Herzberg Motivation-Hygiene Theory is another contemporary model used by the human resource department to motivate the employees. The motivation is extremely practical in existence, and based on the research in the workplace, feedback of the employees and the current trend, the organization tries to eliminate the factors of dissatisfaction and fill in the motivation factors in the workplace. The factors of Job dissatisfaction at the workplace are called the hygiene factors and comprise of Monthly pay, status, job security, working condition and others. On the other hand the factors of job satisfaction are called as the motivation factors and include providing meaningful work to the employees, responsibility and accountability, feeling of achievement, R&R and many others.
Adams equity theory is another relevant model of motivation which states that people feel motivated if they are treated equitably and receive a fair consideration for their efforts and costs. According to this theory, people compare their contribution to work, costs of their actions and the benefits that will result to the contribution and benefits of the reference person. If people perceive that the ratio of their inputs-outputs to the ratio of referent other’s input-output is inequitable, then they will be motivated to reduce the inequity.
The next section or the slide will now focus on how does applying the learning related to motivation and the theory of motivation can change the fate of the organization and lead to the envisioned success of the organization.
The slide here reflects the positive impact of motivation in the employees. As mentioned in the problem sections that absence of motivation leads to unproductive employee which impacts the performance of the organization. The picture here reflects the two happy, motivated and influenced employees who are determined to complete their work on with enhanced efficiency and effectiveness. Thus, motivation here played the role of game changer for the business organization.
The slide here shows a ladder pointing towards the cloud, the literal meaning of the image is that the motivated employees are always aiming to reach for the sky. In the due process, the organization also grows and reaches the pinnacle of success. The underlying reasoning here is that it is the employees who with their dedication and hard work help in attaining the goals of organization, which ultimately results in reaching the zenith of success.
The image here reflects the distinction between a demotivated and a motivated employee. Demotivated employee is always sulking in isolation and always thinking of how bad the organization and its managers are. On the right hand side, the image is of motivated employee who is skyrocketing to reach his personal and the goals of the organization. The slide thus reflects that on one hand demotivated employees create negative impact on the organization, whereas the motivated employees have significant positive impact on the organization.
Lastly, this is the image of a motivated employee at the workplace. As one can see the employees has maintained high degree of cleanliness and has kept his table neat and clean. It also shows a line graph which shows how the organization is rapidly climbing up on the chart of progress, depicting the growth and exponential increase in the revenue and profit figures. Thus, the motivated employees increase the overall productivity of the organization and eventually lead to sustained growth.
