The aim of this report is to identify two areas of the corporate communication and PR which are of special importance and are responsible for commencement of the processes.
Objective:
The major objective is report is to identify the corporate communication skills within the organization so as to improve it and for that a new training program is to be implemented. The two major areas which has been identified includes the Effective team communication and conflict management.
The changes in the technology has been associated with bringing a lot changes to the way people works. This is generally done by having a special focus upon the communication which is very essential. Communication is becoming very important for the members of the team and the major reason is that each team member should know what his or her fellow team member is up to, what are the ideas that they are having and what are the plans they are having so as to move the work forward (Brock et al., 2013). Breakdown in the communication might lead to huge amount of tolls on the workload giving rise to various type of new challenges. Communication can be used so as to achieve various goals that the organization of Mary’ s Aussie Adventures Tours is having by having trust amongst the team members and getting the things done in a simple as well as in a better way by knowing what to do or speak and when to speak or do. So while considering the team communication it is possible for the organization to do a wide range of things so as to increase the overall communication all across the team.
The major reasons lying behind the development of an effective team communication plan would be helping in the following ways:
The relationship that exists between the team communication and the team performance might be entirely dependent upon the different kind of factors like the time of face to face interaction, the amount of familiarity amongst the team members and the ways in which the team members are associated with communicating amongst each other.
Objective
The link that exists between the communication and the performance is seen to be much stronger when it would focus upon the quality of work that is to be done by the team rather than the quantity of the communication.
The team communication plan’s quality if increased would be helping in addressing the contents of the communication as well as the ways by which the team would be communicating.
Conflict management is generally considered to be the process of limiting the negative aspects that the conflicts are having along with increasing the positive aspects of the conflict. The major aim of conflict management involves the enhancement of the learning and outcomes of the group (Weller, Boyd & Cumin, 2014). This also includes the effectiveness or the performance that the organization is having along with improving the outcomes of the group. Identification and handling of the conflicts in a sensible, fair and efficient way are done in this process. Conflicts are considered to be a natural part of any workplace so it is important to make sure that people are understanding the conflicts along with knowing the ways by which they can be resolved.
There are 5ways by which the conflicts can be managed ad this includes the accommodation, avoidance, collaboration, competing and compromising (Harris & Sherblom, 2018). An accommodating manager is to be appointed who would be associated with high degree cooperation and this generally seen to eb at the own expense of the manager who actually works against the own goals, objectives and the desired outcomes of the manager.
Having a good and effective communication channels would be helping the team in gaining a lot of support some of the ways by which effective communication amongst the team can be established has been listed below. This steps would be taking the communication to a next level and would also be helping in achieving a happier and more productive team.
Open door policy: In case if everyone is shut behind the closed doors then it would be creating an atmosphere of secrecy which is applicable for the physically as well as to the psychological state of the team members. By physical opening of the door and by encouraging an open plan environment it is possible to communicate in a clear way so as to make every team member understand that they are a part of the same team. This would also be associated with offering the team with a message of transparency which is considered to be an important concept needed for building trust and clarity amongst the team members (DA, 2013). Besides this the team should also be made aware of the fact they can always seek help from one another and they should essentially encourage the communication amongst the colleagues. Open door policy is also associated with encouraging communication on a regular basis than conducting meetings rarely. The status of the progress of the organization can always be continuously discussed so as to resolve the various kind of issues that might arise.
Identified Corporate Communication and PR
Creation of an open communication environment is one of the ways by which the organization can gain an effective communication amongst the team members. In this type of environment each team member should be free to share the feedback that they are having along with the ideas which are interesting and criticisms against any of the specific issues.
Employment of inclusive communication strategy: this is the strategy related to communication that can be included so as to make sure that all members of the team are being invited to become a part of the decision that is to be taken and these decisions are generally related to the day to day business of the organization (Hung, Kuo & Dong, 2013). This in turn would be encouraging the team members to deliver their service in a productive away with more creative ideas for the organization. This would be helping the organization in understanding the fact that the talent source is not limited.
Making sure that the communication is two-way communication: It is essential make sure that the communication that is taking place is not one-way communication. Two-way communication generally refers to the communication which can be carried out horizontally as well as vertically which means that not only the senior personnel’s but also the lower level employees are provided with an authority of transferring the information to their respective senior employees.
Making the Interactions result oriented: All the business related communications should be necessarily being oriented around the results and should focus upon the results that are fruitful for the organization (McCarthy et al., 2013). It is also to be made sure that the organization is understanding and is associated with delivering the employees with the measures that are necessarily required for the purpose of increasing the productivity of the business.
Employing of multiple channels for communicating: In order to make sure that each and every member of the team is receiving the massage that is required, multiple channels can be used. There are several channels which are highly effective and this includes the memos, emails, faxes, face conversations, interacting via phone and many more.
Repeating of important messages: Along with the usage of multiple channels for transferring the messages it is also essential to make sure that the organization is circulating important messages amongst the team in a repetitive manner (Bassanino, Fernando & Wu, 2014). This is to be done so as to make sure that none of the vital information is left out during communicating.
Focusing upon listening: This is another important factor that helps in the establishment of an effective team communication. This is especially important in cases when there exists one-to-one communication (Rahim, 2017). Everyone involved in the communication should be an active listener and besides this reflective listening ability can also be adopted for the purpose of establishing effective communication.
Making sure that every message is being delivered properly: Besides listening it is also essential to make sure that the essential information is being communicated in an active manner to the person desired. Honesty is to be maintained and it is to be made sure that the messages are being delivered in an open and gracious manner.
Effective Team Communication
Communicating the objectives and goals with every team of different departments: no matter what is the role that is played by the team members it is essential to make sure of the fact that they are clear and understand the policies and goals that the organization is having (Schlaerth, Ensari, & Christian, 2013). Besides this it is also essential to make sure that each and every employee is being informed about the functionalities that are important for eth organization. It is only possible for the organization to develop an effective communication within the organization.
Making sure that every vital information is available to the team members: there are cases when one or more individual of a team is not available at the time of presenting important section of the work (Wolff & Yakinthou, 2013). So at this time it becomes vital for the organization to ensure that every employee is receiving the information even after being absent. For such time the organization must be sure about the fact that the information is available to that team member by making use of the emails or messages.
Keeping a check of the communication process: It is essential to make sure of the fact that there always exists a cross check so as to make sure that the communication process is working in a well manner. Implementation of the communication strategy is not sufficient and also required timely examination of the strategy which helps in reaping the lucrative gains of the organization.
Making the Internal communication friendly to masses: Irrespective of the adopted communication method adopted it must be made sure that the team is acting in a friendly and responsive way towards the masses (Stipanowich & Lamare, 2014). Along with this it is also to be made sure that none of the communication processes are being outlines of within the discipline framework. This should be strict along with being delineated in a friendly fashion and everyone should feel free to communicate.
Communication problems of different type are to be managed: Despite of the existence of various kind of techniques, skills and strategies there still exists different kind of problems that might occur in the process of communication. For this this the best way of handling all the issues is to be done in a wise and professional manner (Wolff, 2013). Dealing with the problematic peoples, conflicts along with the management of different opinions are some of the challenges that are faced while establishing an effective communication. For all this reason it is essentially to be made sure that each issue is being handled with patience and intelligence.
Identification of the conflict source is necessary as the more amount of information that is received about the conflict the more it becomes easy to resolve the conflict. The manager needs to gain all the appropriate information from both sides between which the conflict has arose. this in turn would be providing them with the opportunity to understand the situation along with helping them in demonstrating the impartiality as well. Five of the major ways of managing the conflicts have been listed below:
Major Reasons for Development of an Effective Team Communication Plan
This is the strategy which is essentially associated with entailing and is responsible for providing the option to the opposing side to show what it wants (Spaho, 2013). The usage of the accommodation is often observed when one of the party makes wish to keep peace or is associated with perceiving the issue to be minor.
This is the strategy which is associated with seeking for putting off the conflict immediately. This is generally done by means of ignoring or delaying the conflict and by this way the avoider hopes that the conflict can be resolved without being confronted (Saeed et al., 2014). People who are actively associated with the avoidance of conflict at a frequent rate are having low esteem or is holding a position of low power. In some cases, avoidance is considered to be profitable conflict management strategy for example after the dismissal of the popular but unproductive employee and the hiring of the new productive person helps in smoothening much of the conflict.
This is the conflict management strategy which works out by integrating the ideas which are set out by numerous people and the major aim of this technique is finding a solution which is creative and acceptable by everyone. Despite of being useful this technique is also associated with calling for a significant commitment of time and is not appropriate for all type of conflicts (Silvetti et al., 2014). One such example is the working of the business owners in a collaborative way with the managers so as to establish policies. Besides this the collaborative decision making would be helping a lot in reducing the wastage of time on office supplies and helping the organization in spending a lot of time in other activities which are for betterment of the organization.
This is the strategy which is associated with calling for both the sides of the conflict so as to give up the elements according their position so as establish a solution which is acceptable and agreeable. This is the strategy which is prevailed in those type of conflicts in which the parties hols approximately the same amount of power (Pines et al., 2014). Business owners are associated with frequent employment of the compromise strategy at the time of contract negotiation with the other business when it is seen that each of the parties is tending towards the loss of of something that is valuable like a customer or a service which is necessary.
This is the strategy which operates as a zero-sum game and in this one side wins whereas the other side loses, it is often seen the personalities who are highly assertive falls back when the completion is considered to be a conflict management strategy. This type of conflict management strategy is seen to be best working for a limited number of conflicts like a time when there is a situation of emergency (Bomers & Peterson, 2013). In general, it can be stated that the business owners would be gaining a benefit if they are associated with holding a competitive strategy in reserve for the situation of crisis and for decisions which are responsible for the generation of ill-will like the pay cuts or layoffs.
