Target Business
1.Evaluate the organisational characteristics in your chosen Organization.
2.Analyse what role project management can play in this organisation.
Organization working can be considered one of the most important sectors which play a dominating role in the aspect of reaching to project success. There are many problems, which are faced within an organization, which may hamper the internal as well as external working of the organization. In most of the cases, it is seen that a process is needed so that the problems, which are faced within the organization, are mainly avoided.
The main aim of the report is to take into consideration an organization and put forwards the different problems and challenges which are faced and how the addressing of the problem is done. The organization, which is selected in the case, is the CISRO. They are an information technology organization, which is residing different problems. The report also gives a overview on how to minimize the problem and how to implement them.
Target Business
The organization, which is taken into consideration, is the CISRO, which is an information technology. The organizations main target business are the common people who reside in Australia. The organization gives facility in the sector of smart phone application and robotics to technology, which are wearable. The organization thrive to provide the information technology solutions, which would be helping them to secure the digital future of Australia.
Business problem
The main problem, which is faced by the organization, does not involve only one sector. In most of the cases, it can be seen that IT organization face more problem than any other sector of the organizations. Few of the problem, which are faced by the organization, are stated below:
- Data backup issue: The data of any organization can be considered one of the most important vital things, which should be kept secured. In most of the cases, it can be seen that organization data loss become a factor, which eventually lead to failure of the organization. The organization which is taken into consideration in the report CISRO stated that they have a business plan set up but there were actually no planed involved into the working. In conjunction to the issue, which stated a good back up, plan can be considered as one of the events which can be stated as the last line of defense taking into consideration the ransom ware attack.
- Too much paper work: one of the main sectors, which involved problem, was the paper work, which is involved into the working of the organization. In most of the situation it can be stated that paper work can directly reduce the overall activity of the organization. The systematic arrangement of the data can directly alter the internal and external working of the organization and bring into consideration profit for the organization.
- No IT planning: The organization did not take enough time to implement a proper IT planning which would be helping the organization to excel in the sector of their working. The organization made the mistake of thinking the prospective of the technology as a “get out of the jail free” the approach which was followed by the organization was very much wrong. The concept of the information technology can be applied as a force multiplier for the organization.
- Security issue: The security, which can be applied to the data of the organization, lacked in the infrastructure of the organization. Most of the data in the organization can be termed as crucial which involves different important aspects. In most cases their party would indulge into the data and make the data use for their own benefit which would be affecting the internal and external working of the organization.
- Company infrastructure: There should be always a common infrastructure within which the functionality of the organization should be maintained. CISRO does not have a proper infrastructure, which can be implemented within the working. The lack of infrastructure directly affects the working of the organization.
Address the problem
There are different types of problem, which is being faced by the organization, which needs an implementation of a technology which would help to alter the working of the organization. In recent times, there are different methodology, which can be implemented within the organization, which can help the organization to get what they actually need. In the case of CISRO the concept which can be applied that would address all the problem of the organization is the cloud computing aspect. This is due to the factor that cloud computing can be considered one of the approaches were the organization can benefit without involving much of the money and without altering the preexisting framework of the organization. The advantage which can be achieved from the cloud computing is not directly towards one sector only; it has many individual sectors which are involved into the concept. The model, which can be used, are the Software as a service, platform as a service and infrastructure as a service. Putting all the models in working the use of the platform can be done according to the requirement and the payment for the model would be done according to the usage of the approach.
Business problem
Relies the idea
The main solution to the problem can be moving the overall working of the organization into the concept of cloud computing. It can be stated that movement to the concept of the cloud can be used to release the different problems which currently faced by the organization. The main idea, which can be implemented, are stated below:
- Reduction of the capital investment: one of the biggest advantage, which can be achieved from the concept of the cost, is the reduction in the cost by means of paying for the things, which are being used. The concept gives the facility of increasing and decreasing the number of user. In most of the cases it can be seen that the number of users increase in such a situation the payment would include the extra persons only on the other hand if the number of users decrease it can be scaled down so that wastage and increase pay is not done.
- Increasing the scalability: In the current situation, the organization is using a traditional model on the other hand the movement to the concept of the cloud can help in the increase of the scalability of the organization (Svejvig and Andersen 2015.). Taking into consideration the present working with the traditional system if there is a need of up gradation many work has to be done in order to achieve it. On the other hand, the up gradation concept within the cloud computing aspect is very much easy to apply. The cloud providers takes into the consideration the entire hardware and software requirement and the organization does not have to think about the techniques (Heagney 2016).
- Increase security: In most of the organization there can be a huge loss involving the working due to loss of data. It can majorly destroy the overall working of the organization. The threats which are related to the loss of the data can be minimized with the implementation of cloud computing. The process is very much secured due to the factor that the information is not stored in the hardware or the software of the system and it is stored in the concept of the cloud, which has many security practices involved. The cloud providers are directly responsible to keep the data save and away from the intruders. It can be stated that the security of the cloud can be hundred times better than the security aspect, which is achieved form the traditional system of computing.
- Increase competitiveness: the cloud providers directly gives the provisioning of the technology, which are used by some of the major organizations. The CISRO’s direct advantage, which can be used by the organization, can be compared to the other competitors who are working in the same sector. It would be very much beneficial in a way by which the organization can match the standards of other organization, which would directly helping them to excel in the internal as well as external working.
Entrepreneurial lifecycle
In the Entrepreneurial life cycle, there are eight stages which are stated below:
- Trusted advisors
- Style of the company
- Life style of the company
- Company value
- Increase value
- Exit prep
- Exit execution
- Prost exit (Kerzner and Kerzner 2017)
The idea, which is stated for the CISRO that is the concept of cloud computing sits in the increase value stage of the entrepreneurial life cycle. This is due to the factor that the concept of the cloud computing can be beneficial in a way of increasing the company value by means of the achieving the standard of the organization which can be achieved quite easily. The means of getting all the services within one sector or one implementation (cloud computing) reduces the overall load of the organization thinking about the different requirement of the infrastructure which is required to deal with the normal working.
The main point, which is taken into consideration in this aspect, is the role of the project management in the proposed business environment. It can be stated here that the role of the project management can be considered very much important which would be altering the internal and external working of the organization. According to the concept, which is stated by PMBOK guide, a project can be considered as an endeavor, which is temporary, which is undertaken to create a service, product or a result. The project, which is taken into consideration, needs professional management not just like a task set which has to be executed. The concept involves teamwork and accountability to directly finish the task on budget and within the time framework, which is allocated for the task. Therefore, it can be stated here that there are mandatory two roles, which are the people who are actually doing the teamwork and the team members. The person who are directing and managing the overall working of the project and looking into the sector that the management goals, which are predefined, are meet – the project manager (Nicholas and Steyn 2017.).
According to the PMBOK the role of the project manager is very much crucial due to the factor that the he has the overall control of the project which may include internal as well as external working. After the project manager the team member play a vital role in the sphere of project management. Team members can be considered as individuals who perform the various activity of the project in order to complete and make the project successful. Projects are basically performed somewhere most of the cases the inetranl projects are developed with the internal resources, these type of resources belong to the internal working of the organization which belong to the business unit which exist within the organization. If there is a project, which is for the customer the seller will be using the resources from the different business unit. On the other hand, if the project is cross-departmental the good practices is to have one of the business unit to show the accountability and the responsibility. The criteria can be concluded on a note stating that there is always business unit responsibility for any type of organization.
Address the problem
The functional manager main interest can be authorized and the control of the resources usage are against the business budget and goal. According to the statement, which is provided by the PMBOK it, can be stated that the functional manager is someone who is within the management authority over a unit of organization. The role, which is put forward aminly, involve the sector of the task, which are being performed, and the role, which is put forwards (Boud Cohen and Sampson 2014).
The project management concept can be very much crucial for the working of any organization due to the factor that it directly provides a framework of working which if implemented within the working can be very much beneficial for the organization. The main approach, which the project management scenario states is that it defines the role of the individual who work for the organization. The way the basic plan should be implemented and the proper approach, which has to be followed by the person, are clearly stated. The project management concept clearly states the guideline by which a project can be driven to the factors of satisfactory.
Taking into consideration, the project management structures there are basically three structures which are present that are:
- Functional organizational structure
- Matrix organization structure – This structure can be further broken down into strong matrix, balanced matrix and weak matrix.
- Projective organization structure.
The organization structure, which can be appropriate in the case of CISRO, is the functional organization structure. In a functional organization structure, the definition of the components of the system of hierarchy should be done where the authority driven aspects of schedule, budget and equipment rest in the direct shoulders of the functional manager who has the significant level of expertise in the same domain of working. In these type of organization structure the role of the project manager can be considered to be very much minimum and in some of the cases the project manager post does not reside only. The main approach, which is set forward by the process, is that the working of the organization is broken down into sectors or departments for example sales department, human resource department, administration and public relation department. In simple terms it can be stated that working is more or less like the traditional approach of the project management were the staff is presided or placed over the supervisors which are based on the functions within the working of the organization. The communication aspect is most often done thorough the different department heads directly towards the senior management. One of the most important factors which can be considered to be very much important relating to the organization structure is that the employee can be considered to be more skilled in the department in which they work so that they easily take up the tasks which they are appointed (Harrison and Lock 2017).
Relies the idea
On the other hand, it can be stated that the task is very much monotonous due to the factor to the intensity of the job which are performed by the individual. This may result in less enthusiasm and direct reduction in the loyalty of the organization. In addition to this, it can be stated that cross-departmental communication could become poor and the high level of bureaucracy could affect the decision-making directly in a negative way. The concept of decision-making can be considered one of the important factors, which play a vital in the approach as well as in the internal and external working of the organization. The main decision making aspect is presented from the viewpoint of the managers and the approach is directed towards the completion of the project within the proposed framework.
It can be stated that the role of the project team is one of the most important sectors, which drives the project to success. The team members are directly responsible for the overall working of the project. They have a fixed budget and time, which they have to follow, and if both the aspects are taken into care, a project can be considered as a success. The team after the completion of the project may take into aspect the detection of the minor faults, which did not force and harm to the project could have been a major fault. They can form a panel of body to detect the errors or the faults, which were performed during the implementation, phase of the project so that in the next project same mistakes do not take place. In some cases, it is seen a project may exceed some of the factors such as cost or time, after the completion of the project the factors, which actually resulted in the event, can be discussed so that future improvement can be done (Fleming and Koppelman 2016).
Conclusion
The report can be concluded on a note that the organization which is taken into consideration in the report which is the CISRO has many problem attached to their working. The problem which are seen majorly fall under the aspect of internal working, the main focus point would be on the sector the IT security issue which are seen. The problem was affecting the working of the organization. In order to propose a plan to actually help in the factor of improving the working is the implementation of the concept of cloud computing. The cloud computing prospective can be very much beneficial for the organization due to the factor that it would be reducing the elements of risk and improving the standard of working which would be involved into the aspect.
