Background of Quasar Communications Inc.
Quasar Communications Inc. is one of the largest communication company in the world. Currently there are 340 people working in the company. The age of the company is thirty years. The organization has prominent structure of management hierarchy and the technology used in the organization. The main objective of this paper is to evaluate the problems those are happening in the proper management of the operations in the organization. In order to resolve the problem the vice president of the organization has proposed a plan for taking more active actions for the improvement of the overall action plan. The discussion will include the change in the request and change in the project management process for the each stage of the project life cycle.
Quasar communication is a 30 year old company which provides telecommunication services to the users. It is one of the largest company in the telecommunication industry. The organization has faced various changes in the managing of the organization since 1996. In 1999 the company has owned project management group which was headed by the vice president of the company. In order to resolve the problems happening in the company at present situation of the meeting between the vice president and the project manager has been conducted. Some of the problems has been discovered through the meeting session. On the basis of the identified problems the mitigation plan for the improvement of the overall situation has been proposed in this context. The proposed improvement has been done through change in the request and change in the project management process.
The change in the request in the project management raises when the client or the situation demand alternation or additional feature in the project. In the current situation of the Quasar organization the changes are needed to be done in the internal workings of the organization in order to improve the whole system. There are certain steps for managing the change in the project.
The main problem the project manager is facing is regarding the communication between the different department in the organization during the development of the project. The main objective of the project manager is to develop the products those can be introduced in the market. In order to do this the project manager has to work with the quality assurance team, finance team engineering team and the marketing team. In this course the project manager is facing a problem in understanding the requirements of the projects in the middle of the development process. The biggest problem in this context the project manager is facing is with the marketing team. The communication between the project manager and the marketing team is not conducting in a proper way. This makes the marketing team to take decision about the cancellation of the project without project manager’s concern. In this context the proper communication plan is needed to be implemented in the organization so that the acknowledgement can be done from all the teams associated with the development of the project. Apart from that the priority of the projects are also affecting the users. It has been seen that the clients in the project with lower priority is suffering as the project manager is busy working on the projects with lower priority. In this case, it is difficult for the project manager to manager more than two projects in a simultaneous manner. In this situation, the number of the project managers can be increased. Apart from that current software the company is using are setting the priority of the projects based on the feasibility study and cost benefit analysis. This affects the quality of the small projects as the software is not assigning the right priority for the smaller projects. In this case the software system of the priority system is needed to be redefined.
Problems in Project Management Process
The changes needed in this context in inside the scope as the changes are required to obtain the desired results in the organizational performance. It can be said that the changes will bring the flexibility of the system and will increase the communication plan inside the organization. This will help in the better management of the project.
There are certain kinds of risks associated in acquiring the required changes in the project. The implementation of the change may be failed as if the employees may not approve the change. Apart from that the project managers handling the large project may object these kind of changes. The improvisation of the implemented software may get failed if the process can not be handle by the experts.
All the features of the changed request has been evaluated by the vice president of the company. It has been considered by the vice president that the organization can afford the changes to be carried out in a certain way. Hence the changes in the company has been approved.
The vice president is going to take the actions those will be helpful to implement the recommended changes in the organization. The number of the project managers will be increases. Apart from that redefinition of the current software used in the organization will be implemented in proper way where the parameter for assigning the priority will be redefined. Apart from that the better communication plan between different departments will be taken care of.
In order to implement the request of change the management of the implementation of the changes are needed to be done in each stages of the project life cycle. There are certain factors those are needed to be considered during the implementation of the changes in the project life cycle.
Defining the changed objective: In this case the requested change in the objective is needed to be valuated. In the organization the required change is regarding the change in the project management process and setting the priority of the process along with the better communication plan. This can achieved through the gathering of the requirement in a careful way. The proper documentation of the requirement will indicate the areas for changes in the process.
Developing the plans for achieving the change: The plans are needed to be taken care of in order to implement the changes. In order to implement the change in the organization the vice president of the organization is needed to recruit a large numbers of the project managers. This will reduce the stress of managing the multiple projects at same time for a project manager. This will lead to the enhancement of the quality of the project. Apart from that proper communication plan between the business unit and the technical unit is needed to be implemented in a proper way.
Solutions Needed for Successful Project Management
Creating the separate project management groups for different projects: It has been seen that the project manager is facing problem with the marketing team as they are changing the status of the project frequently without acknowledging. In order to resolve this issues different project management groups can be created. The project can be assigned to the different groups based on the priority and the requirements of the project. Apart from that the improvisation of the priority assigning software can be improved.
Monitoring the process: The process can be monitored through the simultaneous evaluation of the functioning of the project or the process. The evaluation of the process can contain the feedback. By providing the feedback the improvisation of the whole system can be done.

The discussion is regarding the changes in the project management process in Quasar Communication Inc. From the case study it is clear that the project manager is facing some problems while managing the ongoing projects in the organization. The meeting is done between the project manager and the vice president of the company. From the evaluation of the problems the vice president has decided to implement some of the vital changes in the process or the functioning of the organization. The paper has discussed and evaluated the possible changes those can be implemented in the organization in order to enhance the flexibility of the functioning. The identification of the areas those are responsible for the problems are done in a proper way in this paper. Apart from that the implementation of the project management process to adopt the change has been discussed in a proper way in this paper. However, the steps for managing the changes are needed to be followed in a proper way. The experts can be included in the team for the proper management of the changing of the process. The project team for the implementation of the change can be led by the vice president of Quasar Communication Inc. It can be said from the above discussion that the proper implementation of the recommended plans can help to increase the flexibility of the ongoing processes of the organization.
