Different project management processes to be applied to handle the task of takeover of the William Tools by the Crock Company.
Discuss about the Project Management for Wiilliam Tools by the Crock Company.
Project management can be regarded as the set of tools required for organizing the project in a structured manner. In other words, project management is considered as the set of essential knowledge or techniques that are essential for meeting the project requirements within the assigned deadline (Heagney 2016: 203). Different authors cited different definitions of project management; one such definition of project management is centralization of the ideas for the purpose of initiating and execution of the concerned project (Snyder 2014: 502-501). As per another author, project management can be regarded as the art of handling all the necessary aspects of the project starting from project initiation to that of successful closure of the project (Ojeda and Reusch 2013: 530-536). The following section elaborately discusses the different processes required to adopt the project management approach within the William Machine Tools company.
Following the overtaking of Williams Machines Tools it is necessary that the Williams upgrade their machineries. The new task manager has to keep in mind the following points while planning the project for4 the William Machine Tools:
- The first and foremost step is the Integration management of the project. This will help in unifying all the functions of the project. In other words, this step will hold the project together throughout the tenure of the project. The integration management of the Williams project will mainly include development of the project charter, drafting the project plan, directing the project work, monitoring the progress of the project, making the necessary changes and the successful closure of the project (Hornstein 2015: 291-298).
- The next step that must be kept in mind while project planning for the William Tools is the project scope management. This knowledge area of the project management will mainly deal with the project scope (Svejvig and Andersen 2015: 278-290). Considering the case of William machine Tools the future scope of the company involves innovation of its machineries. This step is essential for the successful implementation of the project plan as the scope of the project tends to change with time.
- Another aspect that must be considered while planning the project for the William Machine Tool is the project tenure which means time management of the project. The different tasks such as planning of the project, availing the raw materials for the machineries, hiring new employees all these tasks are required to be scheduled and the task manager is required to monitor the progress of the project on regular basis.
- The next approach is the cost management of the project. It is essential to estimate the costs for the different5 task of the project. Cost management of the project mainly involves planning the project budget considering the various methodologies that is to be incorporated in the project, cost estimation, determining the final budget and the control costs are calculated at the end of each of the tasks (Too and Weaver 2014: 1382-1394).
- The quality management of the project is essential for the making the project a success. In order to ensure better quality better time and cost is a necessity. In case of the William machine Tools the project quality is required to aimed beforehand while managing the project cost and time.
- Human resource management for the William machine tool is necessary for the progressing with the project. Different roles are needed to be assigned for the purpose of managing the task of the Williams’.
- The next approach that is to be considered within the William Machine Tools is the communication management of the project. It is essential that the task manager establishes connection with the various stakeholders for the concerned project of the Williams’ Machine Tools. In order to maintain, healthy communication with the stakeholders it is this approach is essential.
- The next approach is the risk management of the project. During the phase of project planning it is necessary that the project is all the possible risks are assessed beforehand. The Williams’ already running at loss. Thus, this approach is important for to avoid loss in the near future.
- Procurement management of the project must also be considered while planning the project of the Williams’. This will include planning the procurement management, conducting, controlling and closing the procurements.
- Stakeholder management of the project should also be taken in to account while planning the project for the William Machine Tools. This will involve identifying the stakeholder, prioritizing different stakeholders, addressing their needs and controlling the stakeholder’s engagement (Todorovi? et al. 2015: 772-783).
In conclusion it can be said that in order to deliver a successful project for the William machine Tools incorporation of certain processes is the necessary. The above discussed points clearly depicts that the all these approaches must be carried out sequentially for the successful completion of the project within the William Machine Tools.
The William’s Company has been taken over by the Crock Engineering as there has been the circumstances of recession and the demands for the innovation and development of new products has been constantly increasing (Stark (2015: 1- 29)). Moreover, the employees in the higher management position are resistible to any changes implemented. They are having a strong belief that improvement of an existing tool is much better option than leading to the development of a new tool.
Owing to such reasons the company has faced a great demand for the development of new product as the sales standards have decreased and the employees are still resisting the change. Thus, the company has been adopted by the Crock Engineering Company. There have been huge cultural changes witnessed by the William’s Machine Tool Company. These cultural changes have incorporated huge advantages to the company. The changes in the organizational culture have brought about huge financial benefits as the culture incorporated deep engagement of the employees understand ability (Alvesson and Sveningsson (2015: 225)). It becomes easy for the organization to work so as to gain immense amount of profit once, the employees have clear understanding of the tasks done by the company. Moreover, an efficient supply chain technique that meets the demands of the customers also enhances the revenue collection of the company. The new culture will also enhance the internal cooperation among the employees such that there are great improvements in the internal communication and cooperation. This ensures proper execution of the task and the supply chain method becomes more streamlined, efficient and shows increased responsiveness to the rapidly changing markets, customer needs and the implementation of technology (Benn, Edwards and Williams (2014: 165)). The changes in the organizational culture also incorporate increased communications among the employees, and hence impart greater communication among the employees of the organization. These factors not only keep the employees motivated but also enhance the teamwork capability and cooperation among the employees. In addition to these advantages the organizational cultural changes also leads to increased motivation and collaboration among the employees (Leonardi, Huysman and Steinfield (2013:19)). Moreover, the improvement of the cooperation among the employees between different levels of management enhances the decision making capability of the employees that enables them to take proper decisions. These activities add to the benefits acquitted to the organization. Moreover, the changes in the cultural organizations include meetings at regular intervals. The meetings with the higher authorities helped the employees to open up and increase their participation in the meetings. This also leads to the enhancement of the creativity of the employees and also leads to innovation (Hatch (2018: 365)). These benefits further add to the increased productivity of the employees and also of the organization.
Advantages acquitted to the Williams Company due to the cultural changes implemented by the project management
In addition to the changes in organizational culture, it is also important to understand the importance of change management itself. Change management is a chain of processes that is to be introduced in a project or an operational stage when certain issues and problems occur with the existing system. The main objective of the change management is to bring some beneficial changes that will enhance the existing processes and also drive the organization towards a better operational environment as well as changes of better cost benefit (for the commercial organizations) (Davis (2014: 189- 201)). Since the duty of change management is generally on the project manager, it also enhances the leadership skills of the project manager. Thus, the change management drives are mostly focussed on the overall development of the employees (Todorovi? (2015:772- 783)). The employees are provided full freedom to express their views regarding the risks relating to their work duties so that the project manager can bring suitable change management steps accordingly. However, in some cases, change management implementations may not always be successful due to out of context steps taken. Hence, it is important for the project manager to ensure proper steps are implemented that are as also relevant and specific to the problem / issue.
Thus, there were numerous change managements steps were introduced in order to bring in some cultural changes implemented in the William’s Machine Tool Company and new methodologies of project management were implemented as the company was taken over by the Crocks Engineering Company. These cultural changes in the organization brought about great changes in the organizational culture. These changes brought about huge revenue to the company and also incorporated immense profits to the organization (Mir and Pinnington (2014: 202- 217)). It also led to various other advantages as well such as the development of the skills of the employees. Moreover, it also enhanced the performance of the employees by increasing the satisfaction of the employees and engaging them in crucial decision making. The cultural changes implemented the enhancement of managerial skills of the employees and facilitate the decision making skills of the employees.
There are several factors that contribute to the success of new management approach in project management. The success factors depend on the implementation and planning skills of the project manager as well as the timing and other related factors regarding the implementation of the approach. Rapid changes and implementation of new management approach are not suitable for many projects, it requires slow transition from one approach to another providing enough time to develop adaptability of the employees to move with the changes.
Factors that contribute to the success of the new management approach in Project Management
There are various factors that lead to the success of the project management approach of the Crock Engineering Company. The project management approach requires careful planning, detailed attention and effective communication techniques so as to facilitate the success of the project. The various factors that lead to the successful completion of the project management such as smart people, smart planning, open communication, careful risk management, and strong project closure. The successful completion of the project requires the proper working of the employees that comprise the team and proper implementation of the strategy (Beringer, Jonas and Kock (2013: 830- 846)). Without the proper implementation of the strategy and lack of the right team may lead to the project failure. It is the task of the project manager to assign the right people the task such that the tasks leads to successful completion and execution without any extra overruns of time and cost (Snedaker (2013: 341)). Moreover, the project manager should keep the entire team involved in the project completion informed about the entire details related to the project in order to achieve the successful completion of the project.
Another factor that leads to the successful completion of the project involves proper planning of the project (Hornstein (2015: 291- 298)). The proper planning aids the team to stay organized and keep to the strategy of the planned project such that the task is completed on time without any cost or time overruns. Moreover, the project planning involves keeping the all the stakeholders informed regarding the progress of the task and the sections of the task that would be taken up in the coming future. Furthermore, the smart planning technique allows the creation of reliable and realistic time scale. It also provides clear documentation and the milestones of the tasks. Moreover, it also provides accurate time and cost estimates so as to provide clear documentation of the deliverables and milestones such that it facilitates the clear view of the progress of report (Zou et al., (2014: 265- 274)). Furthermore, it also provides warning if the task slippage is at risk.
The most important factor that leads to the proper project management is the open communication. It is considered as the most vital factor for the successful completion of the project. Keeping the team members and the authorities informed about the progression of the project helps to prevent problems from occurring (Lam (2014: 685- 688)). It also provides provisions for providing accurate information and also stating clear conclusions such as whether they would be able to perform a task or not. This is also managed by the project manager.
The most important feature in the successful completion of the project management is the approach to the proper and careful risk management (Fadun (2013: 225)). A proper risk management technique enables the team to resolve the issues with the management plan there by reducing the impact of the risk involved. It also provides the team members the confidence to deal with the risks involved. It also ensures the stakeholders about the risks involved. The risk management technique also enhances the successful completion of the project as it efficiently solves the issues that incorporates risk and also gains the customer’s confidence, thereby gaining benefits from the project.
The final step towards the completion of the project is the strong closure of the project. It can be considered that the project continues to consume resources if the project does not contain a string closure (Burke (2013: 554)). The project can be closed once, the formal acceptance of the project has been confirmed and clearly stated that the project meets the customer requirements successfully.
It can be concluded by saying that it is the duty of the project manger to ensure the proper working of the project as well as change the management approach. However, it is also the duty of the project team members and other stakeholders to adapt with the changes in the management approach and work accordingly. Furthermore, before implementation, it should be ensured that the new management approach will bring about positive changes in the organization only and will not affect the employees or the processes negatively.
Total quality management (TQM) can be described as an important aspect for the long-term success of the project. It mainly involves customer satisfaction. The purpose of TQM will be achieved by the improved performance of all the members within the organization. TQM will ensure improved services, products as well as culture in the work place (Bon and Mustafa 2013: 516-529). TQM mainly incorporates eight key principles which are customer-focused, employee involvement, process, centered, integrated system, strategic as well as systematic approach, continual improvement, decision making and communication (Gharakhani et al. 2013: 46-50). TQM approach is completely customer-oriented. The TQM approach can be summarized as the involvement of all the employees within the organization with the help of enhanced strategy and efficient communication (Dale 2015: 214). In the following section the impacts of the TQM in the Crock’s company is discussed in detail. The section also elaborates how TQM can act as tool for the company’s cultural change.
Following the overtaking of the William Machine Tools, the Crock Company decided to change the entire age-old traditional culture of the Williams’. In this context, TQM can be instrumental in bringing the cultural shift in the company proceedings. TQM mainly aims to please the customers. In any business maintenance of the customer satisfaction is crucial because in the process of delivering customer satisfaction the Crock could enhance the work culture within the company. As for example, for the purpose of TQM, employees will be trained to deliver the best results this will enhance the collaborative work culture within the organization. All the employees will work for the common aim of gaining revenues for the Crock. The next aspect of the TQM is employee involvement. Employee involvement will greatly determine the quality of the products and services (Bryde, Broquetas and Volm 2013: 271-298). In case of the Crock company, as new employees will be hired for the William Machine Tools incorporation of such processes is essential. In order to ensure employee engagement the Crock Company will have to create friendly culture within the organization such that each of its employees feel involved with the company as well as its services. Processes are an important factor for attaining TQM. People greatly support these processes as this satisfies the basic vision the company. TQM also comprises of the integrated system, this means an integrated work culture, unification all the genre of works. Integrated system will surely bring a positive change in the working environment within the Crock Company (Weckenmann, Akkasoglu and Werner 2015: 281-293) . A systematic approach or strategic planning will encompass the integrated as well as a strategic work environment within the company. The other aspects of TQM such as apt decision making, communication and continuous improvement will give the Crock Company with the scope of enhancing the traditional culture of the William Machine Tools (Goetsch and Davis 2014: 670-672).
In context of the practical point of view, implementation of TQM means implementing a concept or reasoning that must be incorporated within the organization as well as into its culture. Practically, number of assumptions is taken into account before the implementation of TQM. Some of such assumptions are stimulating employee involvement; feedback process can lead to the improvement of the entire process (de Carvalho, Patah and de Souza Bido 2015: 1509-1522). Creation of different teams, identifying and prioritization of the demands of the customers are some the basic steps that are required to be assumed for the purpose of TQM.
Thus, in conclusion it can be said that the implementation process of TQM will enable collaborative working environment. As the Crock intends to entirely change the traditional proceeding of the William Machine Tools ensuring TQM is essential for the purpose of maintain smooth working engagement within the company. All the aspects of TQM lead to improvement of the working culture. Lastly, it can be seen that TQM can lead to the change in the working culture of the Crock Company.
