Hospital Information System for different Departments
Write about the Proposal of a New Information System for Adelaide Hospital.
An information system is a set of software which allows the organization to reduce the manpower and increase the efficiency of the work done. With Information system manual work done is transformed into machine work which increases the chances of accuracy multiple times and occurrence of errors are very less. When this information system is used at hospitals it is then termed as HIS (Hospital Information System).
All healthcare centers produces data round the clock which has to maintained with dignified efficiency and for this purpose Royal Adelaide has been already using HIS since long, but now the directors want the information system to be rebuilt as they want a new Royal Adelaide which has to be world class with the most innovative information system that will include payroll, pharmacy, patient record and case notes, robotics, general administration and finance systems. This paper attempts to identify outdated information system of Royal Adelaide and to replace it with possible innovation information systems.
A hospital consists of various departments and modules and each department has its own requirements, hence a separate HIS is needed for different departments of Royal Adelaide.
In the current scenario where demand is high, the use of robotics to optimize inventory is an emerging use-case. Also new robots can perform the task of logistics (scheduling tasks and maintaining elevators) and transport (tow, carry). Robots serve the delivery routes. They even make use of RFID (radio frequency identification) tags to track the on-demand inventory. Staff can order the robot to get dispatched with a single touch on the screen (Göransson, Pettersson, Larsson & Lennernäs, 2016).
US hospitals are already using robotics in their hospitals since 2012 and a significant reduction has been noticed in the pharmacy medication errors. Linen washing and managing is also troublesome task as it requires much labor; service robots are also being used as labor saving devices. A team of two new staff would need to be appointed who possess good experience or knowledge on robotics and can guide the other staff to use the same (Göransson, Pettersson, Larsson & Lennernäs, 2016).
Since long Royal Adelaide is using OASIS software for the purpose of resource allocation, financial management and activity planning. This software is outdated and does not performs many tasks electronically which needs to be handled manually then. CLASSICA is a new decision support system which effectively manages staffing, resource allocation, financial management and activity planning. The reviews of CLASSICA suggest that it successfully assists the staff against every task and helps in performing cost effective management.
Inventory and Laundry Management
Orion Heath is performing well in this field with over 15 years of experience comprising of well renowned clients such as NHS in UK. This system is used in more than 30 countries today and most of them possess positive reviews about this software. It is responsible for delivering much improved outcomes and patient experience, strengthened by an integrated digital health record (Gardner, et.al. 2012).
The software Orion Heath allows the healthcare givers and clinician staff to access patient record across organizations, locations and any remotely located systems. Beside this, EMPI (Enterprise Master Patient Index), already in existence but different information systems are combined which provides individual, unified view of every patient record. A wide variety of important information is included in patient record such as allergies, medications, diagnoses, hospital attendances, test results, mental health contacts, and end of life wishes (Gardner, et.al. 2012)..
This is the most crucial part of a healthcare center as it is connected to hematology, biochemistry, microbiology, pathology, serology etc. The general work of LIS is to collect sample lists, scheduling work, registration of the specimens, reporting, results management of entry and verification. Financial statistics, expense reports were used as data source, interviews with staff using Classica has been conducted and results shows a reduction of 49% in total costs which has been spent on extra hours working labor and 9% reduction in control units.
Studies conducted on Robotics shows that it is responsible for good return on investment. There was a total cost deduction of 12% with robot couriers along with much decreased delivery time and increased delivery stability. Condition for this is hiring a staff that could provide proper training to the whole staff on dealing with service robots and generate a will of acceptance in all of them by showing positive sides of using this software (Göransson, Pettersson, Larsson & Lennernäs, 2016).
Financial Accounting, Activity Planning and Resource Allocation Management
A staged approach was implemented for Orion before its practical use in healthcare. In December 2013, 12 month pilot-scheme went live which included 500 urgent users from all over the world including North Somerset and Bristol consisting of occupational therapists, nurses, anesthetists, pathologists and similar others (Friess, Hen, Boutry, Braconnier & Gouget 2013). These users were satisfied and responded positively as they are able to make more efficient use of their time because the required information is now available to them at fingertips and they are able to provide best facilities to their patients. At present more than 15000 records are accessed every month.
To achieve the most profitable result by the replacement of HIS, certain factors must be followed. The managers and directors of Royal Adelaide hospital should timely evaluate financial and organizational gains from the replacement. The cost of possible system errors and cost of maintenance must be monitored. Existence of a help desk and technical support must be provided 24/7 so that bugs could be fixes in no time which will prevent loss of work, hence a vendor that could provide help over telephone or web must be contacted (Troster, Henshaw & Buss 2013).
A feedback program for the users of the new information system must be started without revealing their identity which will allow tracking the honest reviews of the staff regarding new software and solutions to their problems could be retrieved. The directors have to be patient and understanding regarding behavior of their staff as any kind of change need time to get adapted to it (Stair & Reynolds, 2011).
The prominence of providing proper training to every staff member of the healthcare can neither be over-emphasized nor over-rated, also it must be not only for once but has to be periodic. A round of strong deep training which must be followed by revision training where staff members can clear their doubts and problems arisen. Managers must treat every major change as equivalent to new innovative implementation and must support the concerned department so that it would impact business processes in a positive manner (Troster, Henshaw & Buss 2013).
Conclusion
The overall success rate of any major change in any organization depends upon the management, global buy-in and committed support of each shareholder. Through positive attitude, enthusiasm, energetic co-operation and support by the staff members along with their department heads, coupled with the faith and aspiration of directors that the new hospital Information system is accurately a measure of their requirement and needs is crucial for the overall success of the project.
Some significant triumph factors are sensible business process re-engineering, successful change management and vigorous necessity management. The success and failure of the project depends upon the efficiency management of these factors.
