Project initiation document (PID)
QA Higher Education (QAHE) is planning to refurbish the teaching rooms and the computing labs based in London Campus. They have planned to replace the existing hardware, software peripherals with the new ones. The teaching rooms, as well as the computer labs, will have new hardware and software computer systems, new furniture, designed doors and windows, projector, improved network connectivity. They are also planning to include IT help desk that will assist the students and the teachers to get used to the new IT services. The Managing Director has taken the responsibility of the project, and he has full support from the Director of Operations. I have been appointed as Project Manager. It is the responsibility of the Project Manager to prepare a project plan.
The project plan defines every essential project activities along with time constraints and budget. The stakeholders will have a clear idea on how to accomplish the entire project within the given timeframe and budget.

Approach QAHE is planning to refurbish the existing teaching rooms and the computer labs. The smart classroom, the adaptation of IT infrastructure and the IT services will all give QAHE the competitive edge so that they can compete with other reputed educational institution. The Managing Director of QAHE takes the responsibility to refurbish the classroom and make it a smart classroom. The classroom will have a computer system with updated hardware and software systems. The Managing Director appoints a project manager, database administrator; network engineer, programmer, IT technician and IT support representative who will handle all the IT operations in QAHE (Ramazani and Jergeas 2015). The electrician, roofer, plasterer, painter and decorator will take the responsibility to refurbish the classroom. The project will become successful if the stakeholders follow the project plan and work accordingly. QAHE through successful project completion can be able to refurbish the classroom, and this approach will certainly enhance the education. |

Risk management approach
QAHE can mitigate the risks raised with the aid of a specific project methodology. There are several project methodologies which Managing Director can follow to mitigate the risks associated with the project. The online course materials available over the Internet can be managed and secured following certain regulations. The project methodology can be useful in applying such regulations. QAHE students can use mobile phones in the classroom following certain policies (Hornstein 2015). The project methodology can be helpful to make such policies. Again, the project methodology assists in mitigating the malware and virus. The teachers and students of QAHE can be able to use the IT services provided by QAHE. QAHE can also safeguard their system following appropriate project methodology. The project methodology is helpful to implement IT Governance rules. IT Governance rules assist in managing all kinds of risks. Thus Managing Director of QAHE with the assistance of project methodology can reduce risks related to deadline, budget and others.
The PRINCE2 methodology is one such methodology that can offer QAHE maximum benefits. PRINCE2 is capable of analysing risks quite early. PRINCE2 creates a Project Charter based on the Project Charter QAHE Managing Director can have a clear view of all the project aspects in details. Thus he can know the risks associated with the project quite early. The stakeholders of QAHE can come to know the full effect of a particular threat or risk. The stakeholders can even predict the long-term effect on the business (Lecomber and Tatnall 2017). PRINCE2 also offers policies following which QAHE can respond to those risks and threats. PRINCE2 detect four types of risks-
Objectives
Avoid- Removal of risk at the beginning by making necessary agreements in the project.
Reduce- PRINCE2 tries to reduce the adverse effect of the unavoidable risk to a maximum extent.
Transfer- PRINCE2 transfers the effect of risks or threats to any third party organisation.
Accept-PRINCE2 takes no action in a case where any risk is unavoidable or has zero impact.
Thus PRINCE2 enables the users to detect a risk at the early stage, and thus it restricts the consequences before it becomes irreparable.
Conclusion
It can be concluded from the above discourse that QAHE with the aid of PRINCE2 methodology can be able to refurbish the teaching rooms and the computer labs. The paper defines the project plan in details along with summary tasks and milestones. The stakeholders can get a glimpse of the overall timeline of the project activities. The stakeholders can even know the entire project budget. The stakeholders defined in the project are roofer, floorer, and decorator who will refurbish the classrooms and the computer labs. The project plan also defines IT technician, IT support representative who will take charge of installing the hardware and software system. The network engineer will configure LAN connectivity. The paper also defines the risks that QAHE can face. The risks are sharing of course materials and malware attack. PRINCE2 will help them to set up IT Governance policies in QAHE. QAHE with the assistance of PRINCE2 can be able to analyse the risks at the beginning and based on that they can mitigate all the risks, and all these have been discussed in the paper.
