Building Effective Relationships through Professional Communication
Communication has a critical role to play in all the domains of business. According to me, they help an individual in attaining professional as well as personal growth. This is because a business is a social entity and there exists no department a business where communication is not required (DiSanza and Legge 2016). Communication goes a long way in building the personality of the person which assists him n climbing the ladders of success. I believe that professional communication is important because of the following reasons:
Communication goes a long way in building the various relationships which exists in an organization. With effective communication skills, an individual will be able to bond with his team mates and engage in positive encounters with them. An effective Professional communication also helps an individual to sustain in the good books of the manager (Allen, Ottmann and Roberts 2013). This helps them to get promoted and climb high on the ladder of success.
- A good communication skill at workplace also goes a long way in facilitating innovation at work. If employees use clear professional communication skills at work then they will be able to engage in cooperation and innovation. With this they will be able to share their ideas professionally and this will lead to a growth in the career of the person.
- Builds an effective team
Professional communication at workplace also goes a long way in building an effective team at work. Team work is the key to success at work place as an organization comprises of various teams who try to work together, Professional communication at work helps an employee to build relationships at work and build better teams (Bosch-Sijtsema and Sivunen 2013). When an employee is able to build a better team at work, there are chances that seeing his capabilities, he might be promoted at work and might be given a chance to become the leader of the team. This is because; business owners want individuals who are good at communicating the message of the organization to its stakeholders. If an employee is able to do that well, then he becomes of a great use to the organization which helps him to grow professionally.
One of the greatest criteria’s of working in an organization is engaging and managing employees in a work place. If a person is able to manage the employees of the organization by using his or her professional communication skills, the organization functions well and there are chances that he might be promoted to the post of a manger in future which can be considered to be a career development (Ding and Savage 2013).
A lack of efficient communication in a firm can collapse the workplace. If there does not exist marketing collateral and internal communication then there are chances that organizations will find it very difficult to survive in the given scenario. It is for this reason that professional communication helps in workplace (Beebe and Mottet 2013). If the employees can let the top management know that they are capable of contributing to the welfare of the organization, then they will be able to prosper in their career as any workplace needs the employees who are able to contribute to the welfare of the organization.
Building Effective Teams through Professional Communication
Professional communication at work not only contributes towards effective relationships and team building in the organization, but helps in the career advancements of the employees (Gartmeier et al. 2015). In simple terms, those employees who are good at communicating at work and appear confident and composed at all times are often able to impress the owners at workplace and this may help the employee in receiving a promotion which is a good step towards development professionally.
When I was interning at Samsung as a sales intern, I had closely observed one such enthusiastic individual who was extremely professional in his communication aspect. The person had other good qualities as well like he was very hardworking, confident and good at convincing people. However, according to me, the professional charm was what went a long way in impressing other people whether it was his senior at work or the customers. The managers always sought after taking this employee in their team as he was a star performer. He had that aura about him which helped him to convince anyone and his professional communication skills along with management helped him to advance in his career considerably. During my internship period of 6 months, he was promoted twice.
This is a considerably good aspect of professional communication which clearly helped him to advance at his workplace.
Many business enterprises are now opting to use the social media medium in order to reach out to their target audience. As the technology has advanced tremendously more organizations are taking the route of social media in order to reach out to the customers.
Social media is useful in the following manners:
- It helps to reduce the advertisement costs of the firm as social media advertisements are comparatively cheaper than traditional advertising methods which comprised of print media, television and radio advertising.
- It helps to reach the target market of the firm as the previous method of marketing did not help the firm to reach out to the target audience of the firm in the manner the social media does (Armstrong et al.2015). If offline method are used, it works like a blind shot where the company is not sure whether the firm will be able to gain the attention of the target market or not but social media helps the firm, to gain the attention of the target audience directly as it helps to increase the conversions and receive a higher return on investment on the firm`s side.
- Using performance analysis, the firms can see to it whether the ad is actually able to gain the attention of the target market or not. Analysis of the performance is possible as it allows the firm to know where they are going wrong (Kotler 2015).
Social media helps the firm to reach out to the audience in the following manner:
- It helps to understand where the customers have been spending their time. If the firm is able to know that using social media tools and analytics, they can then use that particular medium to hit their target audience.
- Through the likings of the customers on the various social media and networking websites, the companies can easily identify their target audience as it is easier to spot them out. This is one of the biggest advantages of social media.
- Social media also helps to understand the content which will be most reasonable and consist of the ability to connect to the target audience. This is connected to the previous point as the firm comes to know which product the customer issues and the kind of advertisements they prefer. Once the company has this kind of information, they can use their mediums better in order to increase their revenues (Wamba and Carter 2016).
- Facebook is one of the most popular media websites and used by millions around the globe. Using this various firms can get connected to their target audience directly and then the company can update information and advertisements on their page so that the customers will be able to directly view their favorite advertisements
Example
An effective utilization of the social media tools will be advertisements used by Marc Jacobs. Marc Jacobs has understood how the social media websites are very important and thus it uses three primary mediums like Twitter, Facebook and Instagram to showcase the various products which the company sells. It has organized a Tweet shop, which generally allows the users to shop the brand`s products using their social media posts (Econsultancy 2018). This idea greatly helped the company to gain popularity among the target market and this campaign made the business even more popular.

HootSuite helps the firm to add accounts, manage and schedule the posts on all social media channels and mediums (DeLellis and Sauer 2015). The company also serves as a ro-busting platform that helps the firm to manage its different tools.
Managing Employees with Professional Communication
Hubspot
This helps to monitor as well as publish closed loop reporting data. This helps the business organizations to check how the channels drive the engagement but also helps in tracking the funnel to realize which product actually helps in making the sales.
TweetDeck
The given social media tool helps the companies to make multi columned layout and follow several conversations at one go (Sheth and Sisodia 2015). This helps greatly the firm to manage their Twitter accounts.
Sprout Social
One of the most popular tools available, this medium allows the firms to manage their social media accounts and helps them to track the customer social media mentions, advocate brand advocates and utilize various reporting tools to enable certain future strategies.
Google Analytics
Google came up with this social media management tool so that the data from various platforms can be out together and the traffic from Reddit can be converted to subscribers (Smedescu 2013). They help the firm in financial aspects and help them to realize the various returns on their investments.
The following strategy can be used to respond assertively to Chris:
- Not getting aggressive
If I get aggressive in order to solve this issue with Chris, then there will be no solution to the given situation and taking in consideration the kind of person Chris appears to be, he will be taking advantage of the given situation and take the situation in a wrong direction. Hence, to be assertive, the most important tool is to remain calm and avoid aggressiveness. If I am able to deal the situation in a calm manner, then there are chances that I will be able to deal with the problem in a more positive manner (Keller and Kotler 2016).
- Approaching Chris directly discussing the situation with him calmly
The kind of problem in hand hints that the situation cannot be avoided. Chris needs to be made to realize that the kind of behavior he is reflecting is incorrect and that he needs to respect the view f the other party. For this reason, I will be approaching Chris directly and make him realize that his behaviour towards me is in appropriate and not called for. I will try to make him understand, that the manner in which he is behaving in is disrespectful and that he needs to change his ways.
Feedback methods:
The given feedback methods can be used by Chris and me for an effective communication system:
- Criticize in Private- Chris and I should see to it that if we find a fault in each other`s behaviour, then we should criticize in private and not insult one another in public or in front of other members of the organization.
- Give positive inputs as well- We should also follow a system of giving positive feedbacks to one another (Sims 2017).Even if the views shared by each other are not agreeable then we should try to look out for the positive aspects and respect each other’s opinion.
- Follow up- We can follow up one each other’s work and help each other out.
