Concept of Purpose in Communication
Communication is the basis for any business transaction to occur. But for the business transactions to be successful, effective communication is the crucial factor. Effective communication is carried out in the sense that there is a flow of intended information from the sender to the recipient in the expected form emphasizing more on listening than talking. The recipient articulates the emotions of the communicator making the communication much more effective than just understanding. A essay aims at discussing various weekly communication concepts, a literature review of one of them and the application of two of the concepts in the achievement of business’s growth is not observable without competition. Therefore, a business enterprise needs to attain communication competency to outshine its competitors. This future career goals. The following are some of the weekly concepts that are very important to me:
n week 1, the most important idea was the purpose of communication. This refers to the reason for which communication is done. Some scholars refer this concept as the importance or use of communication. Communication provides the basis for problem-solving and decision making (Kernbach & Bresciani, 2015). In my workplace, the knowledge about the purpose of communication helps me converse with my workmates in case of any disagreements or disputes and later come to a solution. We meet, discuss lengthily and accommodate each other’s ideas, views and perspectives. We air out our opinions on the different ways of handling various work aspects through communication and at the end emerge with the best decisions and solutions. Eventually, our occupation looks easy and everyone performs his or her tasks without quarrels. This contributes to effective work coordination and cooperation. Communication has also helped me as an employee to come into a consensus with my employer recently concerning the delay in my salary.
Listening was the most important concept I learned in week 2. It refers to the ability to receive and interpret a message when individuals are engaged in a communication process (Eack & Minshew, 2015). Ineffective listening will automatically lead to misapprehension. Communication is incomplete without involving listening and speaking. These are the basis for dissemination of information to take place. Listening is essential because it enables one to make sense of out another person’s speech or statement. It is through listening that the intended audience understands what the sender of the message is trying to put across (Harris, 2017). In my workplace, I can interact well and share ideas with my colleagues and clients at work through listening. I exercise a lot of listening than speaking because the essential thing in a conversation is understanding and interpreting the intended message. Recently, the manager of our organization held a meeting with all employees to explain to them why their salaries were delayed. I personally listened to him, interpreted his arguments and found them meaningful and patiently waited for the salary on the promised date.
Importance of Listening
The concept that caught my attention in week 3 was the difference that exists between the reader and the writer of business communication. The writer is the one who composes the information which is sent via a channel to the audience which in this case is the reader. I have lately come to notice that in my workplace, I significantly play the role of a reader the entire business communication. Every day I go to work, I read all new notices and memos on the notice board directed by the manager to the workers. It is through reading that I get informed of what the top authority needs me to do in my field of specialization.
In week 4, “the audience for written academic documents” was the concept that really taught me much. The audience, in this case, is generally the readers of the material. This audience may be either instructor, decision makers or even students. The papers should always meet the expectations of the reader, that is, the audience. In other words, business communication should be audience-centered and should majorly put into consideration the interests of the audience (Penrod & Hartman, 2017). When I was looking for a job in my current workplace, I had carried with me an envelope containing all my certificates that shown that I really qualified for the task. The audience for my written and printed documents was a panel of members of the board who interviewed me.
The most significant concept learned in week 5 was the writing of a self-reflective essay. This is an essay explaining someone’s personal experiences in life which is dependent on the type of target audience. It mostly uses the pronoun “I” This kind of essay is very important because it helps one to express his or her views in a written form. Through knowledge from this concept, I can now express myself confidently with a lot of integrity. Whenever we hold a meeting with either staff or clients, I confidently express my view and also accommodate other people’s opinions in case of differing points of views and also participate in decision making.
Understanding and overcoming communication apprehension was another essential concept learned in week 6. This refers to the idea of avoiding misinterpretations or misunderstandings in the communication process. This concept is nowadays greatly helping me in my daily work activities. I first identify the type of audience I am entitled to serve. It assists me in meeting my set objectives and delivering the best from my work. For instance, I always ensure my work is well organized and engage well with people at work. I also apply positivity in every situation. In the case where I am participating in the written communication, I ensure that I use simple terms that do not contain any ambiguity that might lead to misinterpretation of the intended message.
Difference between Reader and Writer in Business Communication
In week 7, the concept that emerged to be fundamental to me was the exploration of the ways of developing various intercultural communication competence. This concept helps me to communicate daily with my workmates who come from multiple tribe roots and cultures. As a senior official in my organization, it is my responsibility to ensure that I serve all people fully to a satisfaction level irrespective of their varying cultures. This topic has consequently equipped me with the ability to understand different cultures apart from mine and also enabled me to communicate effectively to the different cultures and accept and accommodate people irrespective of these distinct variations.
Internal and external communication was the best concept learned in week 8. Internal communication is the one carried out within the boundaries of a particular organization. This type of communication is common between employees and their employers. On the other hand, external communication refers to the communication between or among a company and other companies or individuals who are not part of the organization (Reilly & Larya, 2018). The two types of communication have contributed significantly to my relationship with my team within my workplace and also with other colleagues working in different companies. I can comfortably engage with my colleagues, share ideas and knowledge for the best output of our daily activities.
Recognizing the importance of team building was a concept I learnt in week 9 and which has contributed very much to the productivity of my work. When we get to understand one another at work, we get to boost our performances without necessarily working to outshine others or even competing. It also encourages collaboration and motivation at work. In my workplace, we all aim at growing one another as a team. I personally acknowledge the importance of team building. Some challenges in the workplace are just too ambiguous to handle alone. Whenever I need a big task done, I seek help from my friends at work, and this act makes work easier.
Week 10 definition of assertive communication emerged to be the best concept I learned that week. This refers to the type of communication where one expresses positive or negative emotions or opinions freely and openly (McQuail & Windahl, 2015). Assertive communication has enlightened me on the importance of appreciating and accepting other people’s diversities and allowing the truth to take its course. When I am wrong, I admit my mistakes and stand by the fact.
The following is a literature review about recognizing the importance of team building.
Audience for Written Academic Documents
Team building contributes very positively to the overall performance at work. It involves emphasizing on working together for the improvement of work efficiency rather than interpersonal relations (Hargie, 2016). It is the reason many team building tasks aim at dealing away with any interpersonal problems in a work setting.
Team building allows for sharing of ideas, building useful and conducive working environment and problem sharing especially those that affect the team. The general outcome of a group is higher than that of an individual (Noorderhaven & Vallejo, 2016). But again teamwork at some point hinders individual expression and growth at a work environment. Everything is presented as a team and not an individual. It discourages some personal traits from exposing which could be very important to the tasks undertaken (Gulati & Soni, 2015). As much as one is tied to a team, then he or she is expected to accommodate other peoples’ views at the expense of one’s opinions.
The modern work environment is currently very dynamic. These changes in the work environment are what calls for team building to sustain the work to the peak level. An individual alone cannot maintain this. The work environment itself is very competitive. To outshine in this competitive environment calls for combined effort, ideas, and knowledge which is only achievable through a team (Strnadová & Parmenter, 2014). Individuals have different opinions, views, and perspectives on handling different aspects and therefore bringing these deviated ideas together and coming up with the best ideas is the most critical contribution from a team.
In summary, an individuals’ work alone cannot be as productive as a team. To boost the performance at work is what calls for the need of establishing team building. Generally, the total work output from an individual is less compared to that from a team. In a team, there is assurance of team participant’s growth, unlike the individual participant who grows alone. Team building emphasizes the general growth of everyone in the team (Kumar, 2014). It creates a sense of belongingness among team members and the organization in general.
In my future career aspirations, team building will help me understand my teammates, act as a motivation tool, cooperate with my teammates, boost my creativity and team performance at work to a higher scale. With this integration, I believe that in 5 years’ time, I will be placed in a better place in my place of work and the organizations’ objectives will also be attained. On the other hand, exploring intercultural communication will help me serve, appreciate and relate with people from different cultures. It will boost my career aspirations to greater ladders because the population is diverse and with this competence, I can reach and serve every person irrespective of their culture diversities. It will also participate in building social cohesion within my team and even externally providing a conducive environment for my personal growth and the growth of my area of work.
Conclusion
Conclusively, it is evident from the above discussion that effective communication is very critical in every institution may it be at work, school, home and at the market. One can address their interests and needs only through communication. Therefore, effective communication should be all round varying from the different institutions and circumstances only achievable through being competent. Conveyance is the fundamental component for any business or work to be successful which can be either orally, visually or even written communication as far as it is useful and targets the meets the interests of the target party.
