Reduction in the wasteful communication
Discuss about the advantages of personal communication and its importance for the manager to make effective communication.
Communication plays a great role and it has been seen that without communication it is not possible for the company to conduct the activities in a proper manner. Also, if the proper communication does not take in the workplace then it can result in the conflicts. Personal communication is an interaction that takes place with the help of letters, emails and also through personal interviews. Personal communication takes place when the individuals are aware of each other and they communicate in a proper manner.
Grapevine communication is the communication system which is also known as the informal communication system. In this type of communication gossips and also rumors takes place. With the help of grapevine system it has been analyzed that wide information can be transmitted (Guerrero, Andersen and Afifi, 2017). This communication is done on the social media platform and also it is linked with the freedom of speech and also with the normal activity. It is important for the managers to make effective communication as a priority.
The managers should emphasize on the proper communication channel in the organization so that activities can be conducted effectively. This paper will focus on the personal communication. For this paper, the issue which is selected is personal communication channel. There are various issues related to the personal communication challenges but also there are various advantages of personal communication and the importance can also help the manager to make effective communication.
It is important for the managers to make effective communication a priority. In this section, the focus will be given on the advantages related to personal communication as it can help to create effective communication. The advantages are related to
It has been seen that by focusing on the personal communication the managers can reduce the wasteful communication and talk about the essential information. When personal communication takes place it has been evaluated that point to point discussion takes place. It helps the communicator and also the person who is a part of the communication. This process helps to save the time and the information which should be conveyed is only conveyed. This platform helps to increase the satisfaction level of the employees and also personal communication is done. The communication which is done between the two people brings clarity (Khan et al., 2015).
Flexibility
It can be evaluated that face to face interaction helps to show flexibility in the speech and also gives positive results. Personal communication can be a help to attain the positive outcome. Like it has been seen that communication which takes places on phone calls can enhance conflicts, so personal communication helps to reduce miscommunication and also grapevine communication can be reduced through this method of communication. By focusing on these concepts it has been analyzed that it is essential for the managers to make effective communication (Duncan and Fiske, 2015).
If the focus is given to personal communication it has been seen that it helps in considering the follow-ups that will help the managers to make communication more effective. When communication takes place on a personal level it can assist in gathering the views and also helps to know the mindset of the individual. It is the best way that can help the managers to consider communication as their first priority (Ruesch et al., 2017).
It is important for the managers to gather the views so that the decisions which are taken by the top management can give focus to the views given by the employees. Personal communication is only the platform that offers an opportunity for the managers to collect the views. There is no other method which is effective to gather the views and opinion of the other employees. Through this method, one can collect accurate information about the behavior and also of their views (McQuail and Windahl, 2015).
Overthinking
There are various issues or the drawbacks which are related to personal communication. The first issue is related with overthinking. It has been analyzed that there are many people who are not confident at the time of interacting the manager or with their boss. In this situation the individual’s starts overthinking and also it increases the tension among the employees who are not able to share their feelings (Van Zant and Kray, 2014). Also, it has been analyzed that grapevine communication takes place when people think too much or at the time of frustration possessed in them. So, in this, it is important for the managers to analyze the behavior or the attitude of the employee so that communication can take place effectively (Bonaccio et al., 2016). To achieve goals and objectives it is important for the managers to focus on minimizing the issues related with overthinking.
To take follow up and to understand the mindset
Overthinking can also give negative impact on the activities conducted by the employees. It is one of the issues that should be reduced by the managers so that positive results can be achieved in context to the overall productivity level of the company. If overthinking is reduced then it can be simple to achieve a positive outcome. The responsibility is of the managers to focus on this factor so that problem can be reduced effectively (Habermas, 2015).
Tough to practice in the large organizations
Next factor is related to the difficulty which is faced at the time of conducting the activities in big companies. Personal communication cannot take place in the large companies and also there are various employees who are completing their operations in the company so it is not possible for the manager to communicate with each other and they appreciate them through written communication. Like the communication done through emails and messages.
So, it creates the major issue in the workplace and also it does not motivate the employees. To reduce this issue it is important for the manager to focus on giving direction to the employees at the time of conducting the activities and the manager should also not conduct praise or communicate with the employees through written emails and messages (Certo, 2018). They should conduct interaction session with the employees so that motivation can be given to each and every worker.
Not effective in many people
It has been seen that personal communication is not effective for the big companies and there are many people and the information can also be not conveyed easily. In the large companies it enhances the thinking related to discrimination and also negative results can be seen. There are also many large companies in which if personal communication takes place with selected employees then other people create the feeling of partiality (Strauss, 2018). Therefore, it is important for the manager to focus on an individual who requires feedback or suggestion and also in these written messages should also be given after having face to face interaction so that the employee can know about the activities that should be conducted. If this strategy is taken into consideration than it can be simple for the employees to conduct the activities with efficiency and also the problem related to personal communication can be reduced (Goffman, 2017).
Less attentive listeners
There are many people who give ideas bit the problem related to personal communication is that the listeners are less attentive. In the workplace, there are many people who are given feedback but when points are discussed briefly then they get frustrated and feeling of dissatisfaction is enhanced in the employees. In this scenario, to make communication effective and also to reduce the issue the managers should give feedback but the feedback that is given to the employees should be in such a manner that employees do not feel irritated and can also enhance their knowledge in an effective manner. Also, in this, the nature of the employees plays a great role. Therefore, the duty is of managers to focus on giving feedback in a proper point so that employees can also understand the issue and also they can implement in a proper manner (Luo et al., 2016).
Conclusion
So, by focusing on the entire paper it can be seen that communication plays an important role at the time of conducting the activities. Without communication, no business or the company can achieve success in context to the activities conducted. The manager should make effective communication as a priority as it helps to enhance the success of the company. The effective communication or the personal communication offers various advantages that are discussed in the paper and it is beneficial to accomplish goals and objectives. Also, the issue which is written with the personal communication is elaborated with the strategies that should be taken into consideration so that communication can take place effectively.
