Evaluate the benefits, weaknesses and complexities inherent in group decision making and examine a range of effective group decision-making techniques.
The purpose of this report is to provide brief information about a specific issue and the decision implemented by the organization with regards to this issue. The report initially talks about the analysis of the problem situation that is given in the case, further it talks about the decision actually implemented by the group considering all the available factors. The group decision helps the management of an organization in identifying all the available dynamics related to the case and then initiating the decision that is good for the organization. Furthermore, the latter part of the report explains the way in which the decision was initiated by the group and the analysis of ways in which the individual decision taken in part one of the assignment helped are restricted its use in the group decision methodology process.
Decision is an important task that should be accurately completed by the organization in order to gain success in the target market. The decision making process is the most crucial process among all other processes as it helps the organization to eliminates risks and work effectively. However, if the decision is not taken wisely in the organization then it might increase the threat to the organization in external market (Saunders, 2017). Group decision is one of the significant ways with the help of which the organization can take a strategic decision. As diverse minds will come together to work on a task collectively, then it will eliminate the problem and barriers available in the process. Further, more details about the report are discussed below:
Before analyzing the problem situation for other organization, it is important to evaluate the problem that the organization might face in initiating a group decision and successfully advising other organizations as well. Being a team of fewer group members the company won’t face many problems of communication gap or conflicts but there are several other issues that might hinder the workings of an organization in effectively achieving a strategic and effective decision (Khasawneh, & Abu-Shanab, 2013). Further, these problem situations where the employees face conflicts at work place are discussed below:
- A large and extended team requires delegations of responsibilities and authorities to each and every employee of the company but a team of two members does not need to delegate responsibilities. As both of the people can collectively create a roadmap on the basis of which they will work to bring successful future outcomes. These two employees need to collectively consider the important work that they need to initiate in order to satisfy the client (Al-Tarawneh, 2012). While initiating such actions, many times the team might forget to implement some actions. In a team of a large number of employees, the organization needs to delegate work and monitor the growth of the work performed by them but in a small team, all the employees need to work themselves and monitor the growth of their work themselves. So, while initiating such actions one person of the team might think that the other person will initiate actions and the other person of the team might think the same. Under this case, the problem might occur for the organization collectively when both the members of the team do not perform one important action. Thus, relying on each other in a small team increases as there is more work to do and fewer people to perform (Ahmed, & Omatunde, 2012).
- The above mentioned is one situation that might occur as a problem for the team. Also, it should be noted that the difference in the thinking style and decision making style of people is another one of the major issues that affects the effective decision making process of the organization. The company can also face problem in implementing the decision due to efficiency of both the team member to come on the same page. It is important for both the member to collective approve a decision (Rothman, 2017). Age difference and gender difference also affects the decision making process of two individual. As an aged person will think of using traditional techniques to initiate the problem of staff downsizing whereas a young person will think of initiating more innovative ways than outdated format to initiate the staff downsizing effect in another organization successfully. Both the team members are right at their place but they need to choose on action that is best for the organization who they are advising. Thus, it is another situation that can arise in the organization while working on a project. As discussed above that relying on each other in a small organization can also affect the activities of the organization as one of the employees might forget doing an act. Further, it should be noted that if in a large team if one employee does not perform well then other employees of the company can collectively perform his duty but this cannot occur in a small organization as both the employees need to strictly follow their duties to complete the activities successfully (Dahl, 2017).
With the collective decision of all the members of the group, the following results were evaluated by the organization:
Before taking any decision for the staff downsizing issue of the organization, the organization considered taking various for the management of the internal activities of the organization. The company took the group decision that they will assign duties to each other and at the end of the day; they will report the work done in the record book. Any team member can check the record book; this process will initiate responsibility as well as accountability of work in the organization (Certo, 2018).
- The group should collectively make an implement the decision, the decision should be taken by unanimous agreement of the employees of the company then only the decision will hold accountability and effectiveness.
- Group decision making facilitates a business to generate more new ideas that can bring creativity in solving the concerned issues. It is very difficult for an individual to examine a problem from different scenarios and generate ideas accordingly. By following group decision process, leaders and employees can learn a lot from differences in knowledge and can think innovatively form the perspectives of each other (Kabak, & Ervural, 2017). So the organization should implement the decision that is innovative and successfully helps the organization in effectively downsizing the employees of other organization. Further, one more decision was implemented considering the conflict management in the organization. The company should carry a proper format in order to initiate activities in the organization.
- The company adopted the various decision-making model to address the problem present in their organization and initiate activities accordingly. These methods will adequately support the organization in initiating decisions effectively when they face any dispute in the organization (Tang, Wen, & Wei, 2017).
- Further, it should be noted that with respect to the other organization for which the group needs to implement decision, the company successfully developed the decision that will help them in sustaining growth in the external market. The company aims to reduce the number of employees to 300 employees. The company effectively initiated the downsizing event of the staff of the organization according to their requirement. The company eliminated the non-performing employees how were hidden behind the heads of the departments. This process was a tough decision but it will not affect the regular activities of the organization (Jato-Espino, et. al., 2014).
Weaknesses and Complexities of Group Decision Making
The group decision making process is used by the organization to evaluate the current circumstances and initiate best actions to advise the organization. Further, the process that the group undertook to reach the final decision is discussed below:
- Assigning duties: In order to implement the right decision in organization, the group members assigned duties to each other on the prior basis. Not much people are in the group except two people so the whole work pressure was levied on two people only. Further, according to the capabilities of each member, the team members assigned duties to themselves. This is one of the initial steps of the process of taking a group decision. While assigning duties it should be considered by the team members that they should be provided burdensome responsibilities to one person make the other person free from responsibilities and accountability. He works should be divided among people equally on the basis of their capabilities to perform that work. Thus, work should be assigned to the members of the team on the initial level (Xu, 2015).
- Use of Bounded rationality theory of decision making: After assigning the duties and responsibilities to the team member, the group should collectively initiate the bounded rationality theory of decision making process. This theory refers to the process under which an individual or a group take decision, track decision making problems and then look for the available ideas present in the market (Sanayei, Mousavi, & Yazdankhah, 2010). The employees want to opt for the best option that helps the organization in initiating their staff downsizing matter effectively and not harming the interest of any other person. Under this method, the employees look for better option even after finding a good replacement on the basis of which they can work. Nevertheless, under their process, the management needs to decide an action on the basis of which work is easily performed and no person gets disinterested. Thus, it should be noted that under this process, the management of the company successfully finds out the way solution for the people (Xu, & Wang, 2016).
- Selection of best option: from the above mentioned list all the alternative solutions, the group needs to find out the best solution that best fit the activities of the organization. The company needs to implement the process of staff downsizing for which they need an accurate decision that does not hamper the image of the company. Thus, the decision making team needs to find out the best way with the help of which the organization can easily implement their determined goal (hiclana, et. al., 2013). This decision should integrate all the research and other activities implemented by the team members and then apply a decision. The decision should be the best choice among all the other options available and it should also reflect the unanimous support of all the team members towards achieving the objective. As the organization needs to implement the decision within the given time resulting to which they require the support of all the members of the team to effectively support them in group decision making process (Morente-Molinera, et. al., 2017).
- Minimizing ethical issues: A decision becomes strategic only when all the members work together in the accomplishment of the event and the decision does not hold any type of unethical practice within it. Thus, after initiating a group decision, the organization needs to ensure that the act is ethical in general terms or not. Ethics is the most important part of the decision making the process of an organization as it reflects the actual working of an organization (Pérez, et. , 2014). The decision to eliminate to number of employees from the organization is genuine as it increases the level of productivity for the organization. This process does not harm the interest of the company in any way but it does hamper the employees in ethical terms. The company should eliminate the employees who are under the hidden profile of their manager. Under this process, the whole management works except few people. Thus, with the help of this process, the management should eliminate such employees that do not work under the shadow of their employer (Alonso, et. al., 2010).
- Evaluating organizational situation: Further, it should be noted that under the process of group decision making, the organization needs to consider various possible outcomes of the event. The group should analyze the possible outcomes that the organization might face the effect of staff downsizing. It should be noted that the process of downsizing can negatively portray the activities of the activities in the external environment, resulting to which the company should initiate actions that make staff downsizing effect with facing any barriers in the growth of the company. Thus, the organization should identify different organizational situations that might occur with them while implementing a decision in the organization. This aspect should be strictly monitored while implementing the group decision making process in the organization (Dong,Chen, & Herrera, 2015).
- Removing the barriers: Under this aspect, the brainstorming process should be used by the organization. The brainstorming process refers to the process that finds out an easy and innovative way to initiate a decision making process in the organization. With the help of this method of group decision making process, the organization should aim to remove the barriers to growth (Yücenur, & Demirel, 2012). Further, the organization should brainstorm different ideas to remove the barriers present in the growth process of decision making. Decision making is an important aspect that should be evaluated, understood, and undertaken in the same manner, the way it was formed; then only it will show effectiveness (Elwyn, et. al., 2012).
- Implementing decisions: Thus, in this way, the organization should implement the decision making process in the organization. Under this group decision making process, the company initially organized all the resources available with the case, then assign duties to people on the basis of which they have to act. These duties are to be assigned on the basis of qualities of the employee. Further, this process eliminates the confusion and issues in the organization. It also identifies the non performing employees and eliminates them. This process brings the implementation of new ideas and achievements in the organization Saaty, & Peniwati, 2013).
The decision making methodology is discussed below:
Primary data is based on survey results, reports of meetings, notes of commissions etc. Primary data is more relevant as it is collected and analyzed personally. Primary data is also not based on an assumption. It reflects actual facts and figures that enable the decision maker to make more accurate and efficient decision. Collecting primary data is more expensive as compared to consider secondary data (Ho, Xu, & Dey, 2010).
On the other hand, data is called secondary in nature when someone uses the data collected by others for their use. Secondary data can be collected from journals, government reports, online resources, research papers etc. In comparison to primary data, secondary data in more reliable because it is made available to the general public after a number of checking processes and proof readings. However, it is required to consider that the sources of secondary data should be reliable and considerable for the purpose of decision making process (Lunenburg, 2011).
Further, according to the part, one of assignment prepared, it should be noted that there are various methods, models, and frameworks that can help a group in initiating the decision. It cannot completely be said that these models are of no use while implementing a group decision but these processes are of use but to some extent. It depends upon the type of situation, nature of members of group and many other factors that affects the decision. So, a group cannot completely follow these models however they are helpful in protecting the group from taking wrong decisions. These models provide a proper format for implementing various activities on the basis which the member can save themselves from taking any wrong decision.
Lastly, it should be noted that the information given in the assignment first adequately supported in the completion of the part second of the report. Although the process of implementation of group decision and individual decision is different as in group decision one has to take care of all the member of the organization while vice versa applies in individual decision making process. The decision making methodology of this task is supported by the decision making methodology of part A. Also, the initial assignment supported in initiating an accurate decision for the organization by applying various models in them. Thus, it should be noted that process neither break completely nor supports completely to the group decision making models and theories present in part A of task (Hwang, & Lin, 2012).
Effective Group Decision-Making Techniques
Conclusion
From the above report, it can be concluded that group decision making is a time consuming process but at the same time results of group decisions are more reliable and effective as compared to the results of individual decision making. However there are some complexities faced by the leaders of the group but following above mentioned techniques, most of the complexities can be eliminated and a fair decision can be made. All the techniques and system have their own importance and are suitable according to the group structure as well as the business structure. The use of techniques also depends upon the organizational intelligence. A leader would always like to use a technique in his group which helps in the engagement of organizational intelligence. Sometimes it gets difficult for the leaders to apply such techniques because of diversified views of the group members. But the ultimate goal of adopting such techniques is to facilitate the decision which may result in increased business outcomes. Further, this report also concludes that the opinion of employees during the meeting are always based on data derived either from external sources or external sources. Both the sources have its own advantages and shortcomings and one can use these sources on the basis of the decision that is to be taken. The above discussion states that accuracy of data is more required irrespective of the method of collecting data. An overview can be framed after the discussion that for an effective group decision making process, only leader and group members are not responsible but the selection of techniques and their implementation also matters. Group decision making should also be performed in such a manner that it may result in enhancing the group performance as well as the productivity of the organization
