Understanding individual differences at the workplace

Managing people in organizations helps organizations to improve effectiveness and allows employees to engage in team work. Furthermore, managing effectively helps in the productivity and growth of the organization (Fong et al., 2016). The assignment will elucidate on the four major entries with the help of DIEP framework.
Individual differences in workplace are a very common aspect as different employees comes from varied backgrounds and have their own culture and traditions. Therefore, in order to cope up with the individual differences, managers should learn to cope up with certain differences that include diversity, attitudes, personality, emotional Intelligence and Perception (Marsick & Watkins, 2015). This would be illustrated with the help of DIEP framework.
Being a new Manager in a Multinational Company, I had to face many new challenges, as there was no proper system and employees were always at problem such as arguing, miscommunication, manipulative and more. Moreover, what I experienced was that as employees were from diversified groups, they do not tend to respect each other’s cultures, and this has hampered the team productivity. Accordingly the perception of the employees towards their colleagues and to the organization does not show any positivity, as they were not motivated and encouraged towards their work and that results in employee turnover (Cascio, 2018). Moreover employees in the organization had a negative attitude towards their supervisor and that had hampered the productivity of the company. I experienced difficulty in my new company while dealing with employees as everyone has unique personality as some of them are introvert, arrogant and employees lacks their basic emotional intelligence.
I found myself in a very disturbing situation as I was not very aware and experienced to deal with all these issues. Moreover, the organization has lot of expectations that I would be able to handle the situation and would able to increase the growth and productivity of the organization. The issues let me discovered that I need to learn values and required to implement valuable strategies that would help the organization to increase its growth. Though at the first instance I was very reluctant how to deal with the incident, but later I gained strength and courage and focussed on the major issues in order to handle effectively.
In order to deal with those issues, it has been have decided to trained staffs regarding cultural awareness and also offered ongoing cross cultural training to avoid miscommunication among employees (Aquino & Robertson, 2017). I have also advised the HR management at the time of recruitment, employees should be aware of the diversified work culture. As per the Henry Mintzberg on Decision making process, he has explained three approaches to decision making process (Mintzberg, 2015). By implementing his strategy I started focussing on the basic problems and then planned methods accordingly. In order to bring positive attitudes among the employees, I have started motivating and encouraging employees by introducing reward system and this helped to deal with conflicting values. However to deal with different personality I have applied the “Big Five” theory. The theory includes extroversion, agreeableness, conscientiousness, emotional stability and openness to experience (DeYoung, 2015). Accordingly with the help of MBTI method I tried to understand the perspectives of the people like how they tend to see things around them. Lastly with the EI test by Daniel Goleman, I analysed the rate of EI among employees and accordingly started increasing their self-awareness and social skill.
Challenges of a new manager in a multinational company
After implementing all the above mentioned strategies, I receive positive outcomes and that helped the organization to generate more profit. However, this increased my strength and courage and I have planned to implement effective strategies in order to deal with the employees. Moreover, the theories helped me to understand the nature of the employees for instance, it helped me to see whether the employees are satisfied or not. One thing I have learnt that to experience higher profit, it is important to prove a good work culture to the employees, to keep them happy and motivated.
Communication in an organization is an effective process that helps employees to communicate effectively in order to share their values and problems (Wechsler et al., 2018). This will be elaborated with the help of DIEP framework.
I have been newly hired in one of the retail industries in Australia and have been in-charge of the customer service department. As I was new to the job, I did not have any idea regarding the job role and prior to that I was not provided with any training facilities. This had let me to various troubles as I was not been able to communicate with the customers effectively and was not been able to supervise my team members effectively. This had demotivated me as customers were not happy with the quality of my service provided by me and they given negative feedback regarding the services they received. Moreover, this had also hampered the productivity of the retail company as many customers were turned out as their demands were not fulfilled. However, my Manager noticed my situation and decided to help me out from the situation and with the help of my Manager I overcame my problem and today I am able to handle my job effectively.
Accordingly from the above experience, I realized that effective communication helps in developing better communication with customers and with colleagues. I have also realized that communication helps in building trust and empathy within the workplace and with effective communication, there are no chances of miscommunication among the employees. In most of the times communication involves errors that means the receiver do not get the clear idea what the sender tries to interpret (Simon, 2018). This type of miscommunication I have experienced, as in many cases, customers were not been able to understand the meaning of the message. My manager helped me to deal with this and has given me proper training by understanding my personality and perception so that I could able to communicate properly with customers and employees. I have also implemented personal communication strategy through face-to-face communication, as this is effective in giving fast feedback.
After experiencing my problem, I think this incident teaches me a lot that is how to communicate effectively with the colleagues and also with the customers. I also got aware of my major weaknesses and with the help of my Manager I was able to overcome my situation, so that I do not repeat the same mistake twice. My manager implemented the basic model of communication that helps to understand the process of effective communication that does not involve errors. With the implementation of the MBTI method, my Manager tried to focus on my personality, like how I communicate with people around me and accordingly he has provided me with training. Apart from that, he has introduced the VARK learning styles through which he evaluated my learning styles. As I preferred learning through verbal, this also helped me in my communication process. I have also started communicating through symbols that helps in providing valuable information. Emotions also plays an important role while communicating, therefore it is necessary to show emotion while dealing with people.
Strategies for dealing with employees’ individual differences
Planning makes things easier, as I have learnt the process of effective communication; I have planned to implement those strategies with my team members. Active listening is a major skill, and I tend to listen actively to my customers so that I could fulfil their demands. As it has been stated only 30-40% of the people listen effectively, therefore this needs to be increased (Robertson, 2016). I have also implemented the effective listening and empathy skill as it would help me to understand what the other person trying to convey, by putting myself on other person’s shoes. Moreover, organization in the present day follows horizontal communication as this helps in sharing communication effectively across different levels in the organization.
The Evolution of the Management thinking was developed long before, but from the twentieth century, it started involving workers for achieving their targets and objectives (Ang, 2017). This would be explained with the help of DIEP framework.
I was newly hired as a supervisor in one of the multinational company in Australia and I was not aware of the management system within the organization. This created a major problem as I was not being able to manage the team efficiently. Though the thinking of management has evolved long before, but with the involvement of the employees every organization follows different management system. Accordingly my organization follows scientific management system, and as I was new to the organization, I did not have any proper idea to implement the strategy effectively. Moreover, I was not been able to supervise the employees effectively. However, in order to overcome my problem, I decided to gather knowledge regarding the type of management follows, ideal type of bureaucracy and the administrative principles.
In order to deal with my issues, I have decided to learn on my own by gathering vast information related to the management procedure of the organization. In order to supervise effectively, the management follows scientific management. With the help of this management system it becomes easy to design an innovative work system, where employees would be free to develop creative ideas and would also encourage for high productivity among the employees (Mayes et al., 2018). I have also realized my weakness and implemented better ways to deal with things such as; our organization follows Weber’s ideal type of bureaucracy that provides a structure to the organization. Another strategy is the administrative principles that make an effective planning for effectively managing and coordinating employees within the organization (Lucietto & Berry, 2017). Therefore, I have decided to implement those strategies in order to plan and organizing strategy effectively.
While evaluating all those management strategies, and by implementing the Hawthorne Electric Plant Studies, I realized that employees are more important than money therefore it is necessary to motivate and encourage them. By realizing this, I have focussed more on the management style and also incorporated the Maslow Hierarchical Needs, through which incentives and rewards are provided to the employees based on their performance. McGregor’s Theory X & Theory Y is one such theory that measures human motivation and management, this theory has proved an efficient theory while managing the management system (Mayes et al., 2018). As per this theory, managers always should not be superior to the employees, and by understanding the criteria and assumptions of the employees, realistic strategies should be applied.
Effective communication in organizations
Accordingly from the above issues, I realized that in order to supervise my team effectively, I need to focus on the employees’ perception and accordingly need to implement effective strategy to motivate the employees. I have also planned to provide a healthy work culture to the employees by providing them their basic rights. With this learning experience, I realized that human relation is more important than money; therefore I decided to focus more on the well beings of the employees, as it would also help to increase the organization’s productivity.
Organizations are likely to have better performances, when their team members’ work together as a team, as teamwork encourages employees to take responsibility in order to work effectively.
As I joined my team after completion of my training, I could not see any effective teamwork and no employees were related to one another and there was not any kind of social interaction. This has resulted in the lowest productivity of our team amongst all the other team members (Ghaferi & Dimick, 2016). I was having difficulty while dealing within the situation as none of the employee was willing to help regarding any particular work. This continued for months and there were no such changes, though I started to interact with everyone, but it seems team members were busy among themselves, and this has also hampered my productivity. However, our previous team lead resigned and a new lead joined the team, and that was the turning point for our team, as the team lead understood the problem and implemented effective strategies to bring all the members together.
It is important to note that the issues had realized me that for better performance, it is very important to have an effective team where all the members will work together and will share the common goals. My new team lead focussed on the major problem and implemented strategies to motivate and encourage the team members to work in team that will increase team participation and commitment towards the team. However, team effectiveness model also being incorporated by the team lead that deals with the role of employees within the team. In order to work as a team, rewards have been introduced to motivate and encourage employees to work as a team (Lucietto & Berry, 2017). Apart from that team lunch has been introduced as it gives opportunities to interact with different cultures employees within the team. As per the Tuckman Model, there are five stages for an effective team development that includes forming stage, storming, norming and performing and adjourning (Natvig & Stark, 2016). By implementing this model of effective teamwork, the team lead observed positive outcomes that initiate better teamwork.
The strategies that were implemented by our team lead, helped in making a better and efficient team that interacts and communicates with other team members and most importantly work together to compete with other teams. Prior to that the strategies implemented also created a sense of loyalty among the team members and thus it resulted in highest productivity among all the other teams. Apart from them, we have also started interacting with diverse cultures employees and that helped us to learn about different cultures. Strong and effective team also helped in eliminating the major problem that teams usually face such as conflict, coercion and more.
Accordingly from the above issues I realized the importance of an effective team work, as it helped to communicate freely with diverse culture employees. Apart from that, effective teamwork also helped me in increasing my productivity and I have decided that in future if I become a team lead, I would implement all such strategies that would help me to develop a better team where employees would trust each other and there will be a sense of loyalty within them. Most importantly, employees within the team group will not compete among themselves but they would like to compete with other team members.
Conclusion
It could be concluded that in order to increase the productivity of the organization, it is necessary to manage the employees and should ensure effective team work, where employees will work together to achieve common goals.
